Choose travel management software by matching it to your company’s travel volume, locations, finance systems, support requirements, and total cost—not by picking a platform with the longest feature list. Build a shortlist, then ask each provider to demonstrate the same booking, change, cancellation, approval, and reimbursement workflows and provide a written quote.
Start with your travel program, not a vendor list
Before comparing platforms, document how your organization travels and what the software must connect to. The right fit for a small team booking occasional trips may be different from the fit for a distributed company with multiple policies, entities, or finance workflows.
- Travel volume: Estimate trips and bookings by month, including the number of employees who travel.
- Traveler locations: List the countries where employees are based and the destinations they visit. Ask vendors to confirm service availability for each relevant market.
- Policy complexity: Note how many policies, approval paths, departments, and legal entities you need to support.
- Current workflow: Map how employees book, request approval, change or cancel trips, pay, submit expenses, and get reimbursed.
- Systems and requirements: Identify required accounting, ERP, HR, payment, reporting, and duty-of-care connections.
- Support expectations: Decide what help travelers need during disruptions, outside business hours, and when a booking must be changed.
This baseline helps distinguish essential requirements from features that sound useful but do not solve a current problem.

Business travel tools can cover different parts of a trip program. Some focus on booking and policy controls; others connect travel with expenses and payments, or combine software with travel-management services. Define which jobs you expect the vendor to perform and which remain with your team.

- Booking and policy controls: Useful when the main problem is bringing reservations into a company-approved process and applying travel rules.
- Expense and payment workflows: Important when the goal includes handling travel spend, receipts, approvals, or reimbursement—not just reservations.
- Managed travel services: Consider how travelers will get help when plans change, and whether you want a provider to supply service alongside its software.

Compare platforms against the same criteria
Use a scorecard to record what each provider demonstrates, what it confirms in writing, and what remains unclear. Do not treat a feature name as proof that a workflow will work for your organization.

Score each area as a requirement, a preference, or not needed. That makes it easier to reject a platform that is strong in an irrelevant area but weak on a must-have workflow.
Use demonstrations to test real workflows
Give every shortlisted vendor the same scenarios. Ask the vendor to show the workflow in the product, explain who acts at each step, and identify any manual work or extra charges. Record what is demonstrated separately from what is promised for a later implementation.

- Book a representative trip: Have an employee search and book air, hotel, and ground travel under the relevant policy.
- Test an approval: Show a booking that needs approval, including the notification, approver action, and outcome if it is declined or delayed.
- Change or cancel the trip: Demonstrate the traveler’s path and the support team’s role, including any steps handled outside the platform.
- Review payment and expense: Follow the booking through payment, receipt capture, expense review, and reimbursement or accounting handoff.
- Inspect reporting: Show how a finance or travel manager finds the trip and spend information needed for oversight.
- Confirm integrations: Walk through the relevant systems and specify what data passes between them, how often, and whether setup or ongoing fees apply.
Ask vendors to demonstrate exceptions as well as the ideal path: an out-of-policy choice, an urgent change, a missing receipt, or an integration failure. These cases often reveal whether the platform fits your actual operating model.
Compare total cost, not just the subscription
A low or zero monthly platform fee does not necessarily mean the lowest overall cost. Compare the expected annual bill using your own booking volume and user count, and include each charge that could apply.

Perk’s official US pricing page lists Starter at $0 per month plus 5% per booking, Premium starting at $6 per active user per month plus 3% per booking, and Pro starting at $8 per active user per month plus 3% per booking. The page states that booking charges have a $2 minimum and $30 maximum. These are vendor-published US plan prices, not a market-wide price benchmark; features and limits vary by plan, and terms may change. For every quote, ask the vendor to price the same annual user count and booking assumptions. Request a breakdown of recurring and variable charges, clarify which charges apply to changes or cancellations, and review the contract terms before comparing totals.

Build a shortlist without treating vendor claims as independent ratings
Vendor comparison pages can help identify product areas to investigate, but they are not independent tests. SAP Concur’s comparison resource discusses Complete by SAP Concur and Amex GBT alongside Navan and Spotnana across booking, traveler support, expense management, and spend visibility. Make the decision on fit and evidence
After demonstrations, compare vendors against the requirements you set at the start. Give more weight to workflows that the team has seen working, written confirmation for country coverage and integrations, and itemized costs that match your assumptions. For gaps, ask whether the limitation is a firm product constraint, a configuration choice, or a separately priced service.
Choose the platform whose booking, support, finance, and reporting model fits your organization with the fewest unresolved assumptions. If two options remain close, use the final round to test the highest-risk scenario for your team and request clarification in writing before signing.
