You can build this as an n8n workflow that validates each lead, enriches its company record, scores it against explicit ideal-customer-profile (ICP) rules, and routes the result. Use n8n’s AI Agent node for bounded interpretation and tool selection—not as an unchecked authority to change CRM records or contact prospects. Keep data checks, score calculations, approvals, and logging in predictable workflow steps so each decision can be inspected.
What the agent should—and should not—do
Think of the system as a lead-processing workflow with an AI-assisted step, rather than one autonomous prompt that owns the whole process. The workflow should produce a validated record, an explainable fit assessment, and a routing decision. An agent can help interpret unstructured company information or select among connected tools, but an LLM-generated score is not evidence that the score predicts sales outcomes.
n8n’s current AI Agent documentation describes an agent connected to a chat model and one or more tools, with the model deciding which connected tools to call. The documentation says a tool sub-node is required and that current AI Agent nodes work as Tools Agents; the older agent-type setting is deprecated from n8n 1.82.0. Confirm your deployed n8n version before following older tutorials or screenshots. Read n8n’s AI Agent node documentation.

Define the ICP and record format before building
Write down the criteria that actually indicate a good prospect before assigning points. Depending on the business, these can include industry, country or region, employee or revenue bands, technology signals, the contact’s role, relevant pain points, and disqualifiers. Decide which criteria are mandatory, which are positive signals, and which should trigger review rather than automatic rejection.
An n8n workflow template uses industry, country, company size, revenue, and pain points in an illustrative HIGH/MEDIUM/LOW qualification scheme. It explicitly expects users to customize scoring for their own ICP; its example is not a validated model. See the n8n B2B lead-management template.
Set a data contract for both the submitted lead and the enriched company record. For every enriched or inferred value, retain its source and retrieval time; for uncertain values, retain confidence or a review flag. A practical record can include:

- Company attributes: domain, industry, geography, size, revenue band, and other ICP signals your team has chosen.
- Provenance: source/provider, retrieved-at time, and confidence or match status for each externally obtained or inferred attribute.
- Decision: score, tier, factor-level rationale, missing-data flags, and the rule or model version used.
- Workflow trace: run identifier, tool or provider outcome, routing result, and any human override.
Treat missing, stale, or conflicting information as unknown until a defined rule resolves it. Do not silently award a favorable score because a field is blank, and do not overwrite a stronger existing CRM value merely because a new source returned a different one.
Build the workflow in a predictable sequence
Choose an intake appropriate to your system. The template identifies test data, a CRM, a webhook, and Google Sheets as possible starting points; its specific integrations and credentials must be adapted to your environment. n8n documents cloud, npm, and self-hosted deployment paths, without making one universally appropriate. Consult the n8n documentation for your deployment.
- Accept and normalize the lead. Map incoming fields into your data contract, normalize domains and country values, and retain the original payload or a reference to it for audit purposes.
- Validate and check exclusions. Confirm required fields and contact-data format, detect duplicates, and apply your organization’s suppression and disqualification rules before enrichment or routing.
- Enrich with permitted sources. Call approved vendor nodes or APIs for the fields your ICP needs. Store the provider, retrieval time, and match status alongside each result. Handle empty, conflicting, throttled, and failed responses as distinct outcomes.
- Calculate fit and qualify uncertainty. Apply deterministic rules to the normalized record, returning a score or tier plus factor-level reasons. Flag insufficient or conflicting data instead of forcing a confident result.
- Use the AI Agent only where useful. Give it bounded tools and a specific output contract—for example, classifying a supplied company description against your defined criteria. Validate its returned structure and allowed values before using the result.
- Route and record the outcome. Send qualified leads to the appropriate queue or CRM process, send ambiguous cases to review, and log the inputs, enrichment outcomes, decision, and any override.
The template’s overall pattern includes intake and validation, API enrichment, scoring and tiering, routing, event logging, and reporting. It lists Postgres, SMTP, an AI API, Slack, and optional enrichment APIs among its dependencies; treat those as components of that example, not required choices for every implementation. Its displayed example analytics are not independently measured benchmarks.

Choose an explainable scoring design
Start with rules a sales or operations owner can read and challenge. Set weights or thresholds against your actual ICP, record why each factor contributes, and decide how the system treats missing data. A useful output distinguishes “not a fit” from “not enough evidence to decide.” If you later use an LLM to interpret unstructured text, keep the resulting interpretation separate from the deterministic score and validate its output before storage.

| Approach | Useful for | What to control |
|---|---|---|
| Deterministic rules | Known fields such as geography, size bands, and explicit disqualifiers | Document thresholds, missing-value handling, conflicting sources, and rule versions. |
| LLM-assisted interpretation | Turning supplied unstructured text into a bounded classification or evidence summary | Constrain output to a schema, preserve the evidence text and source, validate allowed values, and route uncertain answers to review. |
| Human review | Ambiguous records, overrides, and calibration examples | Capture the reviewer’s decision and reason so you can assess where rules need adjustment. |
Before relying on a tier to prioritize sales effort, compare automated decisions with human-reviewed examples and, over time, with relevant business outcomes. Track false positives, false negatives, missing-data frequency, and changes in enrichment coverage. The cited n8n template supplies customizable example tiers but no validation study or conversion-lift evidence.
Keep agent permissions narrow and reversible
Because the AI Agent chooses among connected tools, its available tools define a meaningful part of its authority. Start with read-only lookup and transformation tools. Keep CRM writes, deletions, and outreach outside the agent’s direct control until the workflow has been tested and the organization has decided which actions may be automated.

- Validate every agent result against a schema and an allowlist of valid classifications.
- Put deterministic checks between an agent result and any consequential update.
- Require human approval for uncertain cases or actions that are difficult to reverse.
- Make updates idempotent where possible, so retries do not create duplicate records or repeat actions.
- Log the model/tool context and the final result sufficiently to investigate a bad decision.
These are safeguards for a tool-using workflow, not a guarantee that an agent is safe or accurate. Test failure paths as deliberately as successful runs, including API timeouts, duplicate leads, malformed model output, and a CRM write failure.

The template describes branches for interested, follow-up-later, not-interested, and unclear cases, with unclear cases flagged for manual review. Adapt those labels to your sales process, and make sure every lead reaches a recorded end state—even when enrichment fails or a required field is unavailable.
For an audit trail, record the normalized input, provider responses or references, score rationale, run context, routing result, and reviewer override. Keep operational logs useful for investigation without retaining more personal data than your process requires. Define how staff can correct a bad source match and how the correction affects later runs.
Keep outreach separate from qualification
Scoring a record and contacting a person are different decisions. The cited template’s LinkedIn and WhatsApp sends are simulations, not active integrations; it says to replace them with real integrations if needed and to adapt suppression and geographic logic. Do not treat a score or an agent’s generated message as authorization to send.
Before activating an outreach channel, review the data source’s permitted use, notice and legal-basis requirements, retention, suppression handling, and channel-specific rules for the jurisdictions and people involved. The European Commission’s page explains the general EU data-protection framework; it is not a legal assessment of a particular lead workflow. Read the European Commission’s EU data-protection framework overview.
Secure the data flow and credentials
Map where a lead payload can travel: n8n, enrichment providers, the model provider, your CRM or database, and notification services. Review what each system receives, stores, and logs, and set access and retention controls accordingly. Use n8n’s credential handling rather than embedding secrets in workflow fields or code.

For self-hosted n8n, its security guidance recommends OAuth where possible and discusses TLS, encryption at rest, security audits, and risks associated with community nodes and powerful capabilities. These are security practices, not a certification that a deployment complies with every applicable law. Review n8n’s privacy and data-security guidance.
Before going live, verify credential scope, access to production data, provider permissions, error handling, duplicate behavior, and recovery from partial failures. Run the workflow on representative test records, inspect every route, and keep consequential actions disabled until the results and approval process are acceptable.
