Bookkeeping organizes business transactions and the documents behind them so you can see income and expenses and prepare useful financial information. You can manage it yourself with paper records or suitable software, or hire help as transactions and handoffs become more complicated. Georgia registration and tax obligations vary by business structure and activity, so confirm which requirements apply to your business.

What bookkeeping does

Bookkeeping records and organizes a business’s financial activity. A dependable system should summarize transactions and clearly show income, deductions, and credits. It should also preserve the documents that support recorded entries and items reported on tax returns. The Internal Revenue Service says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” IRS guidance on business records explains the core principles; it does not prescribe one universal format for ordinary business records.

Bookkeeping can help an owner monitor business progress, prepare financial statements and tax returns, identify sources of receipts, and track expenses. It does not, by itself, guarantee compliance, reduce taxes, or produce a particular business result.

What records should a Georgia business keep?

Bank and credit-card activity is useful, but it is not the entire record. Supporting documents help explain what a transaction was for and substantiate tax-return items. Keep records in a way that makes it possible to trace an entry to its supporting evidence.

How to record transactions: paper or software

A paper journal or ledger can work if it captures transactions accurately and lets you summarize them clearly. A suitable electronic system can do the same. The IRS says electronic records must meet the same basic recordkeeping principles as paper records; using software does not remove the need to keep supporting documents. Its transaction-recording guidance describes journals, ledgers, and electronic records.

Choose a method you can maintain consistently. For a paper system, record transactions in an organized journal or ledger and retain the related documents. For an electronic system, organize transaction data and supporting files so they remain accessible and can be matched to entries. The right method depends on your business and workflow; a bound ledger is not required.

How bookkeeping needs change as the business grows

There is no single revenue threshold at which a business must change its bookkeeping method. Complexity is a more useful signal: each new type of transaction or responsibility can add records to maintain, accounts to reconcile, or information to pass to a tax professional. The IRS identifies records for gross receipts, purchases, expenses, assets, and employment taxes, and says the business type affects what is needed. Publication 583, Starting a Business and Keeping Records also explains why businesses keep records and discusses accounting methods.

These are practical indicators to reassess the system, not a fixed checklist that applies identically to every business. A tax professional can help determine what information is needed for your circumstances.

Georgia registration and tax context

Georgia requirements depend on factors such as business structure, activity, geography, and whether the business has employees. Georgia.gov says small-business state tax filing requirements vary on those factors and points businesses to the Georgia Tax Center to file and manage taxes. That page was last updated June 2026.

The Georgia Department of Revenue’s new-business registration guide asks businesses to consider their entity structure, whether they need an EIN, their NAICS code, applicable tax types, Georgia Tax Center registration, and employee withholding where relevant. Some businesses may need one or more tax-specific identification numbers, permits, or licenses; not every business needs the same registrations. The department describes its website as informational rather than legal or accounting advice and recommends consulting an attorney or CPA for appropriate guidance. Verify current requirements with the relevant agency or a qualified adviser.

Choose the right kind of bookkeeping help

Self-managed records, outsourced bookkeeping, tax preparation, and CPA services are different choices, and a provider’s label alone does not establish what work is included. Compare the actual scope and fit before engaging someone.

Route What it may suit What to confirm
Paper records managed by the owner A business with activity the owner can record and summarize consistently. How transactions and supporting documents will be organized and summarized.
Software managed by the owner An owner who prefers electronic capture and organization of records. Whether the system supports the business’s transaction types and keeps records and supporting documents accessible.
Outsourced bookkeeping support An owner who wants another person to handle some or all routine bookkeeping tasks. Which tasks are included, what records the client provides, how often books are updated, and which reports are returned.
CPA or tax professional Work requiring tax advice, return preparation, or other professional services within the provider’s scope. Credentials, specific services offered, and whether bookkeeping is included or separate.

There is no standard service package established for Georgia providers. Ask each provider to specify what they will do rather than assuming that terms such as “bookkeeping” or “accounting” mean the same thing everywhere.

Questions to ask before hiring a provider

  • Scope: Does the engagement include transaction categorization, reconciliation, accounts payable or receivable, payroll records, monthly close, or reports? Which tasks are excluded?
  • Business fit: Have they worked with your transaction types, industry, employees, inventory, and accounting workflow?
  • Records and deliverables: What documents and access must you provide? What reports will you receive, and how often will the books be updated?
  • Credentials and boundaries: Are you hiring for bookkeeping, tax-return preparation, CPA services, or audit, review, compilation, or other attest work? Verify relevant credentials and the provider’s authority for the specific service.
  • Communication: How will you handle questions, missing documents, corrections, and handoffs?
  • Price and contract: Request a written scope, fee basis, onboarding requirements, and terms for ending the engagement and accessing your records.

Bookkeeping is not the same as every regulated accounting service. Georgia’s accountancy rules in Chapter 20-8 address specific public-accountancy firm licensing contexts. If a provider offers CPA or attest services, check current rules and credentials for that particular work rather than assuming ordinary bookkeeping carries a CPA license or that all accounting services have identical licensing requirements.
