The best phone system for a remote team depends on whether you need a simple business number, a cloud PBX, or a broader communications platform. RingCentral, Nextiva, Dialpad, Zoom Phone, and 8×8 cover different needs; none is a universal winner. Compare the features and total cost of the specific plan your team would use, then test its call flows across your employees’ devices and networks.
First decide what kind of phone system your team needs
Remote-work phone services range from a virtual business number that forwards calls to existing phones, through cloud PBX systems with extensions and call routing, to unified communications and customer-experience platforms that combine calling with messaging, meetings, integrations, analytics, or contact-center tools. When a simpler virtual number may be enough
If you are a solo owner or run a very lean team, Grasshopper may fit better than a full communications suite when the main need is a business number and forwarding to phones you already use. The cited comparison presents it as a lighter virtual-number option, not as equivalent to a full UCaaS platform with desk-phone administration, video meetings, queues, and analytics. How to compare systems for a distributed team
Check access on the devices employees actually use
Desktop and mobile apps let remote employees handle calls without a traditional desk phone. A physical phone may still suit particular workflows, but it is not automatically required. A USB headset is optional, not a prerequisite established by the cited guides. Try the service on the mix of computers, phones, headsets, home Wi-Fi, and mobile data your staff rely on.

Confirm country and calling coverage
For a distributed team, check the countries where you need to assign numbers, the destinations employees must call, and any applicable compliance requirements. Do this for the exact countries and plan in question: a general claim of global coverage does not prove that a particular number or calling feature is available where you need it.
Compare the complete cost, not a headline price
Calculate the total for the plan and seat count you need. Account for the billing term, contract, taxes and fees, add-ons, international calling, and any hardware. Test real calls before moving the team

- Test after-hours routing against the schedule your business needs.
- Repeat with the call flows, countries, and devices that matter to your team.
Record what works and what does not, then compare providers on the same scenarios. That makes differences in routing, app usability, and coverage easier to evaluate than a feature list alone.
