There is no single best note-taking app. The right one depends on how you capture ideas, how you need to find them later, which devices you use, and whether you work alone or with a team. This guide covers 12 apps that the 2026 comparisons from ClickUp and Dupple treat as distinct choices, grouped by the job each one does best. It does not present a verified ranking of 20 products: the published comparisons we drew on cover fewer distinct apps than a 20-app list would require, so we have not padded the list.
Five questions to answer before you choose
- What are you capturing? Quick thoughts, web pages, handwritten lecture notes, meeting summaries, and long-form research each favor different tools.
- How will you find it again? Opening an app quickly matters less than finding a three-month-old note. Test whether search covers text, images, PDFs, and handwriting if you need those.
- Which devices do you use? Apple-only capture, Windows and Android, and iPad handwriting are different requirements and should be evaluated separately.
- Do you work alone or with others? Shared databases and wikis help teams but ask you to build more structure up front.
- Can you take your notes with you? Check file ownership and export options before you commit a large archive.

Microsoft OneNote: freeform notebook and handwriting
Best for: people who want a flexible page canvas for typed notes, sketches, and handwriting. ClickUp describes it as a free notebook for Windows and Android users.
Tradeoff: its freeform pages suit loose capture better than a rigid system of databases and properties.
Apple Notes: fast capture inside Apple’s ecosystem
Best for: people who stay within Apple devices. The 2026 comparison highlights Quick Note for capturing from anywhere and use with Apple Pencil for handwriting.

Tradeoff: the structure that makes retrieval powerful takes time to design. A quick scribble can feel like paperwork in a database-first tool.
Obsidian: local Markdown files and linked notes
Best for: readers who want their notes stored as local Markdown files, connected by links, and who value owning those files. Both comparisons position it this way.
Tradeoff: linking and plugins reward setup effort. Users who expect a polished out-of-the-box experience may find it slower to start.

Goodnotes: handwriting and PDF markup on iPad

Best for: people who save web pages and articles and want to search that material later. Both comparisons position it for clipping and retrieval.

Google Keep: quick lists and reminders
Best for: simple lists, reminders, and short notes. Dupple describes it as a simple choice for this kind of quick capture.

Tradeoff: it is not designed for deep, structured research archives. Keep notes short and task-focused, and move longer material to another app.
Granola: meeting notes (specialist tool)

Tradeoff: Granola is a meeting-notes specialist rather than a general notebook. Use it alongside a general app if you also need to track ideas outside meetings.
Logseq: open-source outliner and daily notes

Tradeoff: these tools are less established in the 2026 comparisons we reviewed. Check each product’s current feature set and data-handling terms directly before relying on automated organization for important notes.

Is Notion better than OneNote for notes?
Neither is better in general. Notion is stronger when you want notes organized as databases with properties you can filter and share, which suits project notes and team wikis. OneNote is stronger when you want a freeform canvas for typing, sketching, and handwriting without designing a structure first. If your notes are mostly meeting records shared with colleagues, Notion fits better. If your notes are personal and mixed in format, OneNote is usually the more comfortable starting point.
Which note-taking apps work offline?
The 2026 comparisons do not establish offline behavior for each app, so this guide does not make offline claims app by app. Apps that store notes as local files, such as Obsidian, are the most straightforward to check because the files live on your device. For any app, verify offline use with a simple test:

- Open the app on the device you plan to use and sync it while online.
- Turn on airplane mode.
- Open an existing note, edit it, and create a new one.
- Turn airplane mode off and confirm the changes sync without duplicates.
If the app refuses to edit or loses changes, check its help documentation for offline mode before depending on it.
Free plans and pricing
Plan prices and free-tier limits change often, and the sources do not establish current limits for every app. ClickUp describes OneNote as a free notebook for Windows and Android users. Dupple’s price comparison is dated June 2026, so treat it as a snapshot. Before you subscribe or rely on a free tier, open the app’s official pricing page and confirm the current limits on storage, sharing, and export.
Move your archive safely
Switching apps is where notes are most often lost. The 2026 comparison highlights file ownership and export as selection criteria, so test the move before committing your full archive:

- Export the test set from your current app using its export option and note which formats it produces.
- Import the test set into the new app.
- Check that text, attachments, links, tags, and handwriting search all survive the move.
- Only after the test passes, export and move your full archive, and keep the original export as a backup.
Choose by job first, then confirm the details that change over time. The apps above are good starting points, and the chooser will get you to a short list quickly.
