Fathom is the clearest choice when you need AI notes across multiple meeting platforms and an editable follow-up email draft. Fireflies is better suited to teams that want action items and meeting data routed into CRM, project-management, ATS, or Slack workflows. Microsoft Teams intelligent recap is the practical option for organizations already licensed for Teams. Before switching, check whether Google Meet’s own “Take notes for me” feature is already included in your Workspace edition or Google AI plan.
The best choice depends less on video quality than on what happens after the call: a recap in Google Docs, a draft email for human review, assigned tasks, or structured data sent to another business system.
What to compare in an AI meeting-notes tool
AI meeting products do not all produce the same kind of follow-up. Compare the output your team actually needs:
Recommended Free Tools
- Meeting coverage: Can it process only Google Meet, or also Microsoft Teams and other major meeting platforms?
- Notes: Does it create a narrative summary, a transcript, decisions, or all three?
- Follow-up: Does it draft an email, assign tasks to participants, or send information into a CRM or project-management system?
- Access and licensing: Is the feature included in your existing suite, restricted to a paid tier, or dependent on an administrator setting?
- Governance: Can your organization meet its requirements for consent, retention, access, and data use?
Vendor pages document capabilities, not equal accuracy. None of the products below should be treated as independently tested against the others. A polished summary is not automatically a reliable one, so judge each option by how much checking and reformatting your team still has to do.

Separate the meeting tool from the follow-up tool
A meeting assistant can create several different artifacts. A transcript is a searchable record of what was said. A summary compresses the discussion. An action-item list identifies work and, ideally, an owner. An email draft turns those items into communication that somebody can approve. An integration writes information into a system where it becomes part of a sales, hiring, support, or project process. These outputs solve different problems, and a product that excels at one may not provide the others.
Also distinguish a recommendation from an automatic write. “Recommended tasks” still require a person to confirm them. Likewise, a follow-up email draft is not the same as an email that has been sent. That distinction affects approval controls, accountability, and the risk of sending an incorrect commitment to a customer.
Quick comparison
| Option | Best fit | Documented outputs | Important requirement or limit |
|---|---|---|---|
| Google Meet “Take notes for me” | People already using an eligible Google Workspace edition or Google AI plan | Google Doc notes, recap link, “Summary so far” for late arrivals | Eligibility and administrator settings apply; one supported spoken language at a time |
| Fathom | Cross-platform meetings and reviewable follow-up emails | AI summaries, action items, transcripts, follow-up email drafts | Supports Google Meet, Microsoft Teams, and another major meeting platform; Free limits advanced AI features to the first five calls each month |
| Fireflies | Teams that need meeting information connected to business workflows | Live notes, transcripts, action items assigned to participants, summaries, recording | Confirm the specific integration and plan limit before purchase |
| Microsoft Teams intelligent recap | Organizations that hold meetings in Teams | AI-generated notes and recommended tasks in recap | Teams Premium or Copilot license required according to Microsoft documentation |
| Other meeting-suite AI features | Existing customers evaluating a native add-on | Capabilities vary by product and plan | The available evidence does not establish a complete, current feature or licensing comparison |
Use the table as a starting point, then verify the exact plan, tenant settings, meeting type, and connector permissions for your organization. Vendor pricing and feature names change, so record the page and date you checked when making an internal recommendation.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Check Google Meet before adding another tool
Google Meet may already cover a basic notes-and-recap workflow. Google’s “Take notes for me” automatically captures notes in Google Docs and provides a recap link to the organizer. A “Summary so far” can help people who join late catch up.
Access is not universal. Google requires an eligible Workspace edition or Google AI plan, and an administrator may need to enable the feature. Confirm eligibility in your organization’s current Google documentation and admin console before assuming it is available. Two people in the same company may see different options if they have different licenses or if a policy has not been enabled for their organizational unit.
Language constraint
The listed supported languages are English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish. The feature supports one language at a time; it does not currently support multiple languages spoken in the same meeting. If participants switch languages during a call, treat the resulting notes as potentially incomplete and review them manually. A multilingual team should test its normal meeting pattern rather than relying only on a short, single-language demonstration.
When Meet is enough
- Your meetings are already in Google Meet.
- Notes should remain in Google Docs.
- You need a recap and late-arrival summary rather than a cross-platform recording bot.
- Your organization already has the required edition or plan.
Choose an alternative when your team needs a platform-neutral workflow, a ready-to-edit email draft, or automatic routing into systems outside Google’s suite. Meet is also the simplest choice when introducing a separate bot would create another recording notice, storage location, and access policy to manage.
Fathom: best documented cross-platform option for follow-up drafts
Fathom’s support documentation lists support for Google Meet, Microsoft Teams, and another major meeting platform. It documents AI action items and AI follow-up email drafts, making it the strongest fit here for people who want one note-taking layer across different meeting services.
What the follow-up workflow actually does
Fathom does not establish automatic email sending in the cited documentation. Its documented process is to generate a draft from the meeting’s action items and let you copy it into the email client you choose. The vendor describes it this way: “Using the action items from your meeting, Fathom generates a follow-up email that you can copy and paste into the email client of your choice.”
That distinction matters. A draft still needs a person to check names, commitments, deadlines, tone, and confidential content before sending. It is useful when the bottleneck is writing the first version, not when you want unattended outbound messages. Make the reviewer explicit: the meeting owner, account manager, or project lead should approve the final wording and verify that every promised next step appears.
Free-plan boundary
Fathom’s current pricing page lists unlimited recordings, storage, and transcription on its Free plan. It limits advanced summaries and certain advanced AI features to the first five calls each month. Paid tiers list follow-up email features and other advanced capabilities. Plan names, prices, regional availability, and inclusions can change, so verify the pricing page at the time you subscribe. The Fathom Help Center page describing free versus premium individual features was edited June 4, 2026; use that date as a reference point, not a permanent guarantee.
“Unlimited transcription” does not necessarily mean unlimited access to every enhanced summary or workflow. Estimate how many calls each user handles, identify which calls need advanced outputs, and confirm whether the allowance is counted per user, workspace, or another unit on the plan you are considering.

Choose Fathom when
- People move between Google Meet, Microsoft Teams, and another supported meeting platform.
- You want an editable follow-up email rather than an automatically sent message.
- You can review and send the draft from your normal mail client.
- Your expected call volume fits the Free-plan limit, or you have budget for a paid tier.
Check before rollout
- Confirm that your meeting platforms are supported for the account type you plan to use.
- Check which summaries and AI features count toward the Free plan’s first-five-calls allowance.
- Run a real meeting with technical terms, names, and multiple speakers.
- Inspect the generated action items and draft before sharing externally.
- Document who can access recordings, transcripts, and summaries under your organization’s policy.
- Decide whether users may copy drafts into any mail client or only an approved corporate account.
Fireflies: best for connected meeting workflows
Fireflies emphasizes capturing meeting information and moving it into the tools where work is managed. Its product documentation describes live notes, a real-time transcript, summaries, and action items that can be assigned to participants.
Documented workflow outputs
Its Notepad is described as a place to review the summary, transcript, recording, and action items. Users can review, edit, share, and send notes to other tools. The product page also describes CRM auto-fill, project-management task creation, ATS connections, and Slack notes or alerts.
This makes Fireflies a better match than a simple recap tool when the meeting is only the starting point for a sales update, hiring record, project task, or team notification. The documentation does not establish that every integration is included on every plan, so verify the exact connector, permissions, and usage limits before selecting it.

Connected workflows increase the value of accurate notes but also increase the cost of an error. A mistaken company name in a private summary is inconvenient; the same mistake written into a CRM opportunity, candidate record, or project board can mislead colleagues for weeks. Keep an edit or approval step between the transcript and any system of record until your team has demonstrated reliable results.
Questions to answer during an integration test
- Does the connector write to the correct workspace, pipeline, project, or channel?
- Can a user edit the AI output before it becomes a permanent CRM or task record?
- Are action-item assignees mapped to the correct accounts?
- What happens when a meeting contains sensitive customer or candidate information?
- Is the integration available on the plan assigned to the people who will use it?
- Does a failed connection create an alert, a duplicate, or no visible record at all?
- Can administrators limit which teams, channels, or meeting types are allowed to sync?
Choose Fireflies when
- Action items need owners, not just a paragraph of notes.
- Meeting results must reach CRM, project-management, ATS, or Slack workflows.
- Your team is willing to configure and test integrations rather than keeping notes in one document.
- You want a transcript and recording alongside the summary for later verification.
Microsoft Teams intelligent recap: the native choice for Teams organizations
Microsoft documents AI-generated notes and recommended tasks in Teams recap for supported calls and meetings. For an organization that already conducts its work in Teams, this can avoid adding another meeting bot, storage location, and permission model.
Licensing requirement
Microsoft’s documentation says users need a Teams Premium or Copilot license. Treat that as a licensing checkpoint, not a guarantee that every organization has the feature enabled: verify the current plan, tenant settings, meeting type, and administrator policy. A user seeing recap in one meeting does not prove that every meeting type or participant group in the tenant is covered.
Choose Teams recap when
- Teams is already your organization’s meeting and collaboration hub.
- Notes and recommended tasks should stay within the existing Microsoft environment.
- Your users already have the required Teams Premium or Copilot entitlement.
- You prefer a native feature over adding a separate transcription service.
Consider Fathom instead when participants regularly use different meeting platforms, or Fireflies when the primary requirement is routing structured outputs into several business systems. If your organization is deciding between a new third-party subscription and an existing Microsoft entitlement, calculate the total administrative cost as well as the per-user license price.

1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesWhat about Zoom AI Companion?
Zoom’s support material located for this comparison describes meeting-summary emails with links that open content in AI Companion for the web. That confirms a summary-related workflow, but it does not establish all of the note-taking, action-item, follow-up, eligibility, or licensing details needed for a like-for-like ranking here.
If your company is Zoom-first, verify the current official documentation for the exact meeting summary, transcript, language, admin, and plan features you need. Check whether the summary is available for your meeting type, where the content is stored, who receives the email, and whether action items or follow-up drafts are included. Until those points are confirmed for your account, treat Zoom as a product to investigate rather than a documented winner in this comparison.
How to choose by follow-up outcome
You need a recap in a document
Start with Google Meet’s native notes if your organization is eligible and meetings are held there. The resulting Google Doc and recap link keep the workflow simple.
You need an email someone can approve and send
Fathom is the best-documented fit. Its output is a draft based on action items, not an autonomous email. Build a human review step into the process.

You need CRM or project-system updates
Fireflies is the option in this comparison with explicit documentation for CRM auto-fill and project-management task creation. Test field mapping and approval controls before allowing automatic writes.
You need one tool across meeting platforms
Fathom explicitly lists Google Meet, Microsoft Teams, and another major meeting platform. Confirm current support and account limitations before committing to a cross-platform rollout.
You need a transcript for dispute resolution or coaching
Fathom and Fireflies document transcripts, while Google Meet’s native feature is presented primarily as organized notes and a recap. Confirm recording access, retention, search, and export rules before promising that a transcript will be available later.
A practical selection and rollout process
- Inventory your meetings. List the platforms, languages, meeting types, participant groups, and average monthly call volume.
- Define the required artifact. Decide whether success means a Google Doc, a concise recap, an email draft, assigned tasks, a transcript, or updates to another system.
- Check existing entitlements. Verify Google eligibility, Microsoft licensing, and the current third-party plan pages. Do not infer access from a colleague’s account.
- Run a controlled pilot. Use meetings with permission from participants and include names, decisions, deadlines, and at least one action item.
- Measure review effort. Record how long a person spends correcting names, owners, dates, and missing decisions. A feature is useful only if it reduces total follow-up work.
- Test the destination workflow. For integrations, confirm where records land, who can edit them, and how duplicates or failed writes are handled.
- Set a publishing rule. Require a named owner to review notes before they become customer records, employee records, project commitments, or external email.
- Document retention and consent. Tell participants when recording or transcription is active, define who may access outputs, and align retention with organizational policy.
- Review the pilot after several meetings. Compare the time saved with subscription cost, administration, corrections, and any duplicate storage. Keep a fallback process for meetings where the assistant fails or a participant declines recording.
Privacy, consent, and governance checks
The product documentation establishes features and licensing, not a comparable privacy or security ranking. Before adoption, ask each vendor and your administrator for current information about consent notices, recording indicators, retention periods, deletion, access controls, data use, regional processing, and enterprise administration.
Meeting notes can contain customer data, personnel information, product plans, or legally sensitive statements. Limit access to the people who need it, avoid placing confidential material in an unapproved destination, and make human review mandatory before AI-generated content is sent outside the organization or written into a system of record.
Consent should be operational, not just a policy link. Decide who announces the assistant, how a participant can object, what happens when a guest is present, and whether recording stops when sensitive subjects arise. Also define whether summaries are discoverable, how long recordings remain available, and who can delete them.

The feature is missing
Check the edition, add-on license, administrator setting, meeting type, and supported region. Native features are often entitlement-dependent rather than universally available.
Notes are incomplete in a multilingual meeting
Google’s documented native feature supports one language at a time. Keep the meeting in one supported language when possible, or plan for manual notes and review.
The email sounds confident but is wrong
Review every commitment, date, person, and customer reference against the transcript or recording. Treat the draft as a starting point, not a record of truth.
Tasks are assigned to the wrong person
Require the meeting owner to confirm assignees before syncing tasks or sending a recap. Check participant-name matching during the pilot.
Integration output is in the wrong place
Test with a non-production project, CRM pipeline, or channel. Verify workspace permissions and plan-level connector availability before enabling automatic routing.

People assume a draft was sent
Label generated emails clearly as drafts and assign one person responsibility for sending them. Copying text into a mail client is a human step, not proof of delivery.
A native feature creates duplicate records
Decide which system is authoritative before enabling more than one assistant. If Meet, Teams, or a third-party bot all produce notes for the same call, archive or delete duplicates according to a documented rule.
Bottom line
Check Google Meet first if your team only needs notes and a recap inside Google’s ecosystem. Choose Fathom for cross-platform meetings and a human-reviewable follow-up email draft. Choose Fireflies when action items and meeting information must flow into CRM, project-management, ATS, or Slack workflows. Choose Teams intelligent recap when your organization already works in Teams and has the required Premium or Copilot license. In every case, judge the tool by the follow-up work it removes, then verify licensing, integrations, consent, and retention before making it standard.

Frequently Asked Questions
Is Google Meet itself enough for AI meeting notes?
It can be if your organization has an eligible Google Workspace edition or Google AI plan and an administrator has enabled “Take notes for me.” Google creates notes in a Google Doc, a recap link, and a “Summary so far” for late arrivals. It supports one listed language at a time, so multilingual meetings need extra review.
Which alternative is best for follow-up email drafts?
Fathom is the clearest documented fit. It creates a draft from meeting action items that you copy into your email client. The documented workflow does not establish automatic sending, so a person must verify and send the message.
Which tool is best for CRM or project-management workflows?
Fireflies documents CRM auto-fill, project-management task creation, ATS connections, and Slack notes or alerts. Confirm that the specific connector, permissions, and usage limits are included in your plan, and test field mapping before production use.
What does Fathom’s Free plan include?
The current pricing page lists unlimited recordings, storage, and transcription, while limiting advanced summaries and certain advanced AI features to the first five calls each month. Paid tiers list follow-up email features. Check current pricing and plan definitions because they can change.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Do Teams users need a separate license for intelligent recap?
Microsoft documentation says Teams Premium or Copilot is required. Verify your tenant’s current license, administrator settings, meeting type, and feature availability rather than assuming that every Teams user has access.
Can these tools send follow-up emails automatically?
The documented Fathom workflow produces an editable draft that you copy into an email client. Fireflies and Teams documentation emphasizes action items, notes, and integrations rather than proving unattended email sending. Treat human approval as mandatory unless current product documentation explicitly says otherwise.
How should a company handle consent and retention?
Tell participants when recording or transcription is active, provide an objection process, define who can access notes and recordings, set retention and deletion rules, and prevent unreviewed AI output from becoming an external email or system-of-record entry.
The Bottom Line
For Google-only teams, check Meet’s eligibility first. Pick Fathom for cross-platform notes and reviewable email drafts, Fireflies for connected business workflows, and Teams intelligent recap for licensed Teams organizations. Pilot the workflow, verify current plans, and require human review.
