There is no single best free Excel replacement. Choose according to how you work: Google Sheets is the strongest starting point for browser-based collaboration; LibreOffice Calc is the clearest no-cost, open-source desktop option; Zoho Sheet combines collaboration with Windows and macOS applications and offline files; and Excel for the web is the natural choice when you want Microsoft’s online ecosystem without a paid desktop license.

Those choices are not interchangeable. Before moving a workbook, check whether you need local storage, simultaneous editing, XLSX fidelity, VBA-style automation, pivot and data tools, print control, or work without an internet connection. The guide below maps each requirement to the option that best fits it and gives you a safe migration process.

Quick recommendations by workflow

Start with the row that matches your main task, then read the product section before moving important files. “Free” refers to the offerings described by the vendors in the linked pages; limits, account requirements and add-ons can change.

Primary need Best first choice Why it fits Important qualification
Several people editing one file in a browser Google Sheets Google documents real-time collaboration, Drive autosave, version history, formula suggestions, filters and Apps Script in its Excel-versus-Sheets comparison. The cited comparison presents Sheets as web-oriented. Confirm that your required features work in a browser and that your organization permits the necessary account and sharing settings.
Local desktop calculations and analysis LibreOffice Calc The Document Foundation describes Calc as a feature-rich spreadsheet for analysis, calculations and visualizations, and LibreOffice is available at no cost as open-source software. The product page does not establish complete Excel-format or feature parity. Validate complex workbooks before switching permanently.
Collaboration plus desktop and offline files Zoho Sheet Zoho advertises free use, Windows and macOS desktop applications, local offline work, real-time teamwork, version history and support for common spreadsheet formats. Zoho identifies some capabilities as add-ons or plan-dependent. Its compatibility statements are vendor claims, not independent testing.
Online access while staying in Microsoft’s ecosystem Excel for the web Microsoft lists Excel among its free online Office applications. The cited Microsoft page does not say that the web edition contains every desktop Excel feature.

ONLYOFFICE Desktop Editors also appears in broad alternative lists and has an official product page, but the inspected page did not provide enough detail to make a responsible feature ranking here. Treat it as a candidate for your own evaluation rather than as a proven recommendation.

Which spreadsheet capabilities actually matter?

A replacement can look convincing for a simple budget and still fail on a financial model, an operational tracker or a shared reporting process. Compare alternatives against the work you actually perform, not against a generic feature-count list.

Collaboration and control

Ask whether several people must edit at the same time, whether viewers and editors need different permissions, how comments are handled, and whether you can inspect or restore earlier versions. Google’s comparison explicitly lists real-time collaboration, Drive autosave and version history. Zoho describes real-time teamwork together with audit and version controls. If your workflow depends on an approval trail, confirm how those controls are exposed in the current free offering rather than assuming every history feature is unlimited.

Desktop and offline work

Some teams need a local application because internet access is unreliable, policy prohibits cloud storage, or large files are easier to manage on a workstation. LibreOffice Calc is a desktop-first candidate. Zoho describes native Windows and macOS applications and offline work on local files. Google’s cited comparison is web-oriented, so do not infer a complete local-desktop workflow from it. Excel for the web is also an online edition; establish what happens when you lose connectivity before making it your only tool.

Importing and returning Excel files

If colleagues, customers or regulators exchange XLSX files, test the complete round trip: import, edit, save, reopen in Excel and inspect the result. Zoho states that it supports spreadsheet formats including XLSX and that imported charts, formulas and formatting remain intact. That is a vendor claim, not independent compatibility testing, and “intact” does not guarantee that every formula, external link, pivot, print setting or macro behaves identically. LibreOffice and Google Sheets can also open common Excel files, but the supplied official pages do not establish universal parity, so representative testing is essential.

Automation and advanced analysis

Automation is often the hidden reason an organization cannot switch. Google identifies Apps Script as its macro and automation counterpart in its comparison. Zoho’s comparison distinguishes VBA from Apps Script and marks some capabilities as add-ons. Do not promise that VBA macros will run unchanged in another application: macro languages, object models, security prompts and supported functions can differ. List every macro, query, pivot, add-in and external connection in your workbook and verify each one separately.

Cost, accounts and add-ons

“Free” does not mean identical terms. A service may require an account, place files in a provider’s cloud, reserve certain automation or AI functions for a paid add-on, or separate personal and business administration. Zoho’s English-language product page, for example, identifies AI-powered insights as a paid add-on. Check the current plan description, storage location, sharing policy and any feature labels before committing a team workflow.

Google Sheets: best for browser collaboration

Google Sheets is the most straightforward starting point when the central problem is getting people into the same spreadsheet. Google’s official comparison with Excel lists real-time collaboration, Drive autosave, version history, formula suggestions and filters, and identifies Apps Script for automation: Google’s Excel and Sheets comparison.

Where Sheets fits

  • Shared planning: Multiple contributors can work in one browser document instead of emailing successive attachments.
  • Recoverable edits: Version history and Drive autosave provide a way to review or restore earlier states.
  • Light-to-moderate automation: Apps Script can automate tasks, but it is not the same programming environment as VBA.
  • Fast access: A browser workflow avoids installing a desktop suite on every computer.

Checks before choosing it

Confirm that all collaborators can use the required Google account arrangement and that your organization permits Drive storage. Test your largest workbook, external links, charts, pivot tables, named ranges and print layouts. If your work depends on desktop-only functions or strict local-file controls, a web-first tool may add friction even when basic formulas work.

A practical Sheets migration

  1. Make a duplicate of the original XLSX and keep the untouched file outside the test folder.
  2. Import the duplicate into Drive and note any conversion warnings.
  3. Recalculate key totals and compare them with the original using a short checklist of expected values.
  4. Inspect conditional formatting, charts, filters, pivot tables, named ranges, external references and print settings.
  5. Have each role—owner, editor and viewer—open the file and test sharing, comments and version recovery.
  6. Run every required Apps Script automation in a non-production copy and record any manual replacement steps.

LibreOffice Calc: best for no-cost, open-source desktop work

LibreOffice Calc is the clearest desktop choice in the reviewed primary sources for people who want a spreadsheet application installed on their own computer without a subscription. The Document Foundation describes Calc as a feature-rich spreadsheet for data analysis, calculations and visualizations and describes LibreOffice as free and open source: LibreOffice Calc.

Where Calc fits

  • Local files: Workbooks can remain on your computer or controlled storage rather than being inherently browser documents.
  • Offline continuity: You can continue editing when there is no internet connection.
  • Open-source deployment: Organizations that prefer software they can install without recurring license fees have a strong reason to evaluate it.
  • Analysis and visuals: The official description specifically positions Calc for calculations, data analysis and visualizations.

Compatibility limits to investigate

The official Calc page does not establish complete Excel compatibility. A workbook that opens successfully may still differ in formula interpretation, formatting, chart rendering, pivot behavior, external links, print areas or macro execution. If an Excel-based process is shared with others, make Calc one stage in a round-trip test rather than assuming that a successful first open proves equivalence.

When Calc is the better trade-off

Choose Calc first when local control and offline availability matter more than seamless browser co-editing. It is also a sensible fallback for a user who needs a full desktop spreadsheet but does not want to purchase a desktop subscription. For a team that edits one file simultaneously, pair Calc with a separately managed file-sharing and locking process—or choose a collaboration-first service instead.

Zoho Sheet: collaboration with desktop and offline options

Zoho positions Sheet as a free alternative to Google Sheets and describes browser collaboration, Windows and macOS desktop applications, local offline work, version history and compatibility with spreadsheet formats including XLSX: Zoho Sheet’s product and comparison page.

Where Zoho fits

  • Mixed environments: A team can combine online collaboration with desktop applications and local files.
  • Offline scenarios: Zoho describes working with local files when disconnected, useful for travel or restricted networks.
  • Excel exchanges: Zoho says imported charts, formulas and formatting remain intact and lists XLSX among supported spreadsheet formats.
  • Review and recovery: The vendor describes real-time teamwork and audit/version controls.

Read the plan labels carefully

The same page distinguishes included capabilities from paid add-ons. In particular, it identifies AI-powered insights as a paid add-on on the inspected English-language page. Do not treat every feature shown in a comparison chart as part of an unconditional free plan. Check whether your required storage, administration, automation or analytics function is included for your account type.

How to validate Zoho’s compatibility claim

  1. Choose a representative workbook, including the most complicated formulas and formatting used in production.
  2. Import a copy and compare calculated outputs, charts, conditional formatting, filters and pivots with the source.
  3. Save the edited copy back to XLSX and reopen it in the Excel version used by your recipients.
  4. Check external links, data connections, named ranges, print areas and page breaks.
  5. Test both collaborative editing and the local offline workflow, then reconcile changes made in each mode.

That process tests your files rather than relying solely on a vendor’s broad compatibility statement.

Excel for the web: the Microsoft-compatible online route

Microsoft lists Excel among its free online Office applications on its “Free Microsoft 365 Online” page: Microsoft’s free Office web-app page. This is the logical option when your colleagues already use Microsoft accounts, OneDrive or Office sharing conventions and you want to stay inside that ecosystem without buying a desktop license.

What the free web edition does—and does not prove

The cited page establishes that Microsoft offers Excel online, but it does not establish that the web edition contains every desktop Excel feature. Treat web availability and desktop parity as separate questions. Test macros, add-ins, data connections, advanced analysis, page setup and any workflow that normally depends on installed Excel.

When to choose it

Excel for the web is a strong first comparison when avoiding format conversion is more important than changing platforms. It may reduce friction for recipients who already expect Excel files, but you still need to verify browser limitations and offline behavior. Keep a desktop-capable fallback if a critical process depends on features the web edition does not provide.

What about ONLYOFFICE and Apple Numbers?

ONLYOFFICE Desktop Editors

ONLYOFFICE Desktop Editors appears in broad lists of Excel alternatives and has an official product page: ONLYOFFICE Desktop Editors. The inspected page did not provide enough readable detail to substantiate a feature-by-feature comparison for this guide. If you are considering it, evaluate installation requirements, supported formats, macro behavior, collaboration model, offline operation and licensing directly against your own files.

Apple Numbers

Apple Numbers surfaced in secondary search results, but the reviewed primary-source material did not establish its current availability, plan conditions or platform coverage well enough for a definitive recommendation. Treat it as a separate candidate to verify for your devices and sharing requirements rather than assuming that a search-list appearance means it is the best free replacement.

A migration checklist that avoids expensive surprises

Use this process regardless of which alternative you select. It is designed to expose incompatibilities while the original workbook remains safe.

  1. Inventory the workbook. Record file type, size, sheet count, formulas, named ranges, charts, pivot tables, external links, data connections, macros, add-ins, protection rules and print settings.
  2. Preserve the source. Make a read-only or clearly labeled backup. Never use the first imported copy as the only copy of a business-critical file.
  3. Select a representative sample. Include a simple sheet, a typical operational sheet and the most complex model. Testing only a small, easy file gives false confidence.
  4. Import or open a duplicate. Note conversion messages, unsupported-function warnings and changes in file size or sheet structure.
  5. Reconcile calculations. Compare key outputs, subtotals, dates, rounding, error handling and blank-cell behavior. Use known expected values rather than visual inspection alone.
  6. Inspect presentation. Check fonts, merged cells, conditional formatting, charts, hidden rows and columns, freeze panes, filters, page breaks, headers, footers and print-to-PDF output.
  7. Exercise data tools. Refresh pivots and queries, verify sorting and filtering, and confirm that external links point to the intended files or services.
  8. Test automation separately. Run each macro or script in a disposable copy. Record what still works, what needs rewriting and what must become a manual step.
  9. Test collaboration and permissions. Have the owner, an editor and a viewer perform their normal actions. Confirm comments, sharing, version recovery and accidental-edit protection.
  10. Test offline behavior. Disconnect deliberately, make a harmless edit, reconnect and confirm how synchronization and conflicts are handled.
  11. Round-trip the file. Save to the format your recipients use, reopen it in their application and inspect the same critical areas again.
  12. Document the operating procedure. State where the authoritative file lives, who can edit it, how versions are named, how backups are made and what to do when a feature is unavailable.

Common failure modes and practical fixes

A workbook opens but totals differ

Compare formulas cell by cell around the first incorrect result. Differences can come from unsupported functions, date systems, locale separators, rounding rules or blank-versus-zero handling. Keep the original formula and output in your test record, then replace or redesign only the affected calculation.

Formatting or charts change after conversion

Check whether the target application supports the chart type, theme, conditional-format rule or font used by the source. Simplify only after confirming that the visual is not carrying a business meaning. For regulated or client-facing reports, retain a tested export path to PDF or the recipient’s native format.

Macros stop working

Assume that a macro requires porting unless the target explicitly supports the same language and object model. Inventory its inputs and outputs, then decide whether to rewrite it in Apps Script, use another supported automation method, or replace it with a documented manual procedure.

People edit conflicting copies

Define one authoritative location and a naming convention before launch. Browser collaboration can prevent attachment sprawl, while desktop tools may require file locking or a check-in process. Do not mix both methods casually for the same live workbook.

A “free” feature is unavailable

Recheck the current plan label, account type and add-on status. Zoho’s documentation, for example, distinguishes paid AI-powered insights from its broader feature set. If a required capability is not included, choose a simpler workflow, budget for the add-on, or select another product rather than assuming the limitation is temporary.

A compact decision tree

  • Do several people need to edit in a browser at the same time? Start with Google Sheets; compare Zoho Sheet if desktop and offline access are equally important.
  • Must files stay local and work without internet? Evaluate LibreOffice Calc first, then test Zoho’s desktop/offline workflow if collaboration is also required.
  • Must recipients receive familiar XLSX files? Compare Excel for the web and Zoho Sheet, and perform a round-trip test with representative workbooks.
  • Do you depend on VBA, add-ins, external connections or complex pivots? Do not switch on feature lists alone. Test the exact workbook and retain the current desktop workflow until every critical process is validated.
  • Are you choosing for a business account? Confirm administration, storage, privacy, sharing and add-on terms—not just the word “free.”

Bottom line: match the tool to the work

For shared browser editing, Google Sheets is the strongest first choice in the documented comparison. For a no-cost, open-source desktop application, LibreOffice Calc is the clearest fit. Zoho Sheet is worth comparing when one team needs collaboration plus Windows or macOS applications and offline local files, provided you verify which functions are free and which are add-ons. Excel for the web is the least disruptive online route for people already organized around Microsoft accounts and formats.

Whichever option you select, the reliable way to decide is to test a duplicate of a representative workbook, inspect calculations and presentation, exercise automation and sharing, and keep the untouched original until the new process has passed its real-world checks. Reconfirm free-plan terms before deployment because product capabilities and limits can change.
