Square Free is the strongest starting point for most US businesses seeking a POS with no monthly software subscription. It still charges payment-processing fees, and you may need a reader, terminal, accessories, or paid add-ons. The right choice depends on your payment channels, inventory and staff requirements, online sales, hardware, and any restaurant-specific workflow.

What “free POS” actually means

A free POS generally means $0 for the core software subscription. It does not mean that accepting payments, buying equipment, connecting ecommerce, or adding advanced features costs nothing.

  • Payment processing: You pay a fee when a customer pays by card or another supported method.
  • Hardware: A phone or computer may be enough for some workflows, while card-present checkout can require a compatible reader or terminal.
  • Optional upgrades: Advanced reports, ecommerce tools, employee controls, loyalty, or industry features may be paid additions.
  • Implementation: Installation, setup, migration, and support terms vary by provider and package.

This article focuses on the US market and pricing information available on September 30, 2026. Vendor terms can change, so confirm the current rate card, country eligibility, supported devices, and contract terms before signing up.

Best free POS systems compared

System Subscription status Fees or costs established here Best fit and cautions
Square Free $0 monthly subscription for the Free plan Square lists 2.6% + 15¢ for in-person payments, 3.5% + 15¢ for manually entered card payments, and 2.9% + 30¢ for online-store payments in the US. Hardware options start at $59. Best starting point for many small retailers, services, and simple in-person operations. Processing fees still apply, and some physical checkouts need hardware.
Shopify POS Not a free no-monthly-fee plan in the US Shopify lists Basic at $39 per month; POS Pro adds $89 per month per location. Relevant when your business already runs on Shopify ecommerce. Treat it as a paid comparison or upgrade path, not a free POS.
Toast Package-specific; no universal free offer established here Hardware and implementation costs vary. Toast services require approved compatible devices; support is included in software subscriptions according to Toast. Consider for restaurants only after confirming the current package, hardware, implementation, and processing terms.
Loyverse, Helcim, SpotOn, Odoo, PayPal POS Plans and limits differ A September 2026 independent comparison evaluated these options, but current detailed terms were not verified from each provider’s primary pricing page. Potential alternatives to investigate. Do not assume a listed feature, limit, or $0 plan remains current without checking the vendor.

Why Square Free is the practical first choice

Square’s Free plan has no monthly subscription cost, making it easy to start without committing to recurring POS software fees. Square also states that hardware is not required for several payment methods, including invoicing, payment links, Virtual Terminal, and Tap to Pay. That flexibility is useful for mobile operators, appointments, invoices, and businesses testing demand.

#1 Best Overall
Sale
Square Register (2nd Generation) - Powered by POS
  • A complete countertop point of sale — Combine dual responsive touchscreens, built-in POS software, and durable hardware for a fast, reliable checkout experience.
  • Serve customers faster — Run smoothly through busy shifts, complex menus, and big orders with high-speed processing, memory, and responsive touchscreen displays.
  • Accept every way they pay — Take all major cards at one simple rate, with no hidden fees or long-term contracts. Receive funds as soon as the next business day.
  • Handle real-world demands — Resist everyday spills, dust, and wear with a durable, IP54-rated design.
  • Stay reliable through every rush — Maintain strong connectivity and consistent performance through your busiest hours.

Hardware-free methods do not mean every in-person checkout can operate without equipment. A countertop retail checkout, for example, may still need a card reader or terminal for a fast card-present experience. Square lists hardware options starting at $59, while the actual setup depends on your phone, tablet, operating system, payment method, and desired peripherals.

When a paid POS is the better value

Shopify for an existing online store

Shopify is not a free POS in the US. Shopify lists its Basic plan at $39 per month, and POS Pro costs an additional $89 per month per location. The sensible reason to choose it is integration: a business already using Shopify may prefer one catalog, online storefront, and in-person system rather than combining separate products. Calculate the subscription against the time and reconciliation work saved.

Toast for restaurant operations

Restaurants often need workflows that a general free POS may not cover well, such as menu modifiers, kitchen routing, table service, coursing, and restaurant-specific hardware. Toast’s hardware and implementation costs vary by package, and its services are limited to approved compatible devices. Confirm the complete quote and contract before treating Toast as an option; the available evidence does not support calling Toast universally free.

How to choose a free POS without a costly surprise

  1. List every payment channel. Separate in-person tap or dip payments, keyed transactions, online checkout, invoices, and payment links. Use the rate for each channel, not just the headline rate.
  2. Estimate transaction costs. Apply the percentage and per-transaction charge to a typical order and your expected monthly volume. A $0 subscription can still be expensive at high volume if processing rates are unfavorable.
  3. Map your checkout hardware. Identify whether you need a phone, tablet, reader, terminal, cash drawer, receipt printer, or barcode scanner. Confirm operating-system and POS compatibility before buying accessories.
  4. Check core workflows. Verify the functions you actually use: item catalog, inventory counts, variants, discounts, refunds, taxes, staff permissions, shifts, reporting, and customer records.
  5. Separate online and in-person needs. If you sell online, check catalog synchronization, shipping or pickup, and online payment pricing. Do not assume a free in-person plan includes a full ecommerce operation.
  6. Price the next stage. Read the upgrade path for additional locations, advanced reports, employee tools, loyalty, integrations, or industry modules. Switching systems later can require retraining and data migration.
  7. Review terms before activation. Confirm country, supported hardware, payout timing, dispute rules, cancellation conditions, and whether support is included or separately charged.

Hardware and accessories to plan for

Start with the least hardware your workflow can reliably use. A service provider may only need a phone and Tap to Pay, while a retail counter may need a reader, cash drawer, receipt printer, and scanner. Shopify’s POS materials list barcode scanners as optional checkout accessories; confirm exact compatibility with your chosen POS, tablet, and operating system before purchasing a “POS barcode scanner.”

  • 100% LIFETIME GUARANTEE: Contact us if you are not satisfied with our cash drawer tray for checkout counter and we will send you a new replacement.

For restaurants, hardware is more specialized. Approved-device requirements and implementation services can materially change the initial cost, so obtain the package-specific details rather than comparing a restaurant system with a general free plan by subscription alone.

A simple decision framework

Choose Square Free when

  • You primarily need payment acceptance and basic POS functions without a monthly software charge.
  • You can use Square’s supported hardware-free methods or accept the cost of a reader or terminal.
  • Your business does not yet require specialized restaurant workflows or a deeply integrated ecommerce suite.

Choose Shopify when

  • Your online business already depends on Shopify and unified commerce is worth the monthly cost.
  • You need Shopify’s catalog and storefront ecosystem more than a $0 POS subscription.

Investigate Toast or another specialist when

  • Your operation has restaurant, hospitality, or other industry-specific requirements.
  • You are prepared to compare the full package: software, processing, hardware, implementation, support, and upgrades.

Common mistakes to avoid

  • Calling a product free because its app can be downloaded at no charge.
  • Ignoring keyed and online rates when most of your sales are not card-present.
  • Assuming hardware-free payment methods cover a staffed countertop checkout.
  • Buying a scanner, printer, or drawer before checking compatibility.
  • Choosing a plan without pricing the features and locations you will need next.
  • Presenting a vendor’s merchant count as independent market-share evidence. Square’s claim of more than 4 million merchants, published in 2025, is a company-reported figure.
