The best email marketing features for a small business are the ones that support its real workflow: collecting contacts, targeting the right people, sending useful follow-ups, and learning from results. Before choosing a platform, compare those capabilities with your list size, sending cadence, team, and reporting needs—then verify the limits and plan details for your location.

Which email marketing features matter most?

Start with the jobs your business needs the software to do, rather than a long feature checklist. A feature is useful only if it fits your audience, data, and day-to-day process.

Contact capture and list management

Look for signup forms and contact records that let you collect and organize subscribers. Basic list management should make it practical to keep audience information usable as your contacts grow. Check whether contact storage has a cap: Brevo, for example, publishes contact limits alongside its sending plans.

Segmentation and personalization

Segmentation lets you send to groups based on information or activity you actually track. Confirm which criteria are available and whether the number of custom segments or dynamic email content changes by plan. On Constant Contact’s US feature page, Lite includes one custom segment, Standard includes ten, and Premium includes unlimited custom segments; dynamic email content is listed for Premium. Campaign creation and scheduling

A drag-and-drop editor and templates can help a small team build campaigns without starting from scratch. Scheduling and subject-line testing are also worth checking if you plan campaigns ahead or want to compare approaches. Make sure the editor is comfortable for the people who will use it, not just present in a feature list.

Automation

Begin with the journeys you will actually use, such as a welcome message or a follow-up after a purchase or event. Compare the number of workflows and templates, eligible contacts, and the plan that unlocks them. Brevo’s plan documentation lists multi-channel automation for up to 2,000 contacts on Free and automation for unlimited contacts on Standard. Check Brevo’s current plan limits.

Measurement and reporting

Basic open and click reports may be enough to decide whether a campaign reached its audience and prompted action. If you need more detail, compare advanced or drill-down reporting and identify which measurements will change your next campaign. Constant Contact lists basic reporting on Lite and advanced open/click reporting on Standard.

Integrations and team access

Check that the platform connects to the website, online store, CRM, or event tools your business already uses. Also check user-seat limits if multiple people will create, review, or send campaigns. Constant Contact lists 300 integrations on its US page, with user counts that vary by tier.

How to compare plans without choosing by feature count

Use the same operational questions for each provider. A feature name alone does not tell you whether the plan covers your audience or how you work.

Choose features in the order your business needs them

  1. Estimate your audience: count current contacts and allow for likely growth.
  2. Estimate your cadence: work out expected monthly sends, including automated messages.
  3. Map your workflows: list the welcome and follow-up journeys you need, and who will maintain them.
  4. Identify targeting and reporting needs: decide which contact data, segments, and results would change what you send next.
  5. Check the operational fit: confirm integrations and user access for your team.
  6. Verify the plan locally: compare contact and send limits, overage or pause behavior, billing basis, and the specific tier needed for each required feature.

Vendor feature pages establish what those vendors say their products include. They do not establish independent comparative performance, including which service has the best deliverability, or identify a universal winner for small businesses.
