Which Claude alternative should your team evaluate first?
Start with your existing work environment, not a claim that one model is best at every task. Email, documents, meetings, permissions, and administrator setup can make a tool built into your current suite a more practical fit.
- Microsoft-first team: Evaluate Microsoft 365 Copilot in the Microsoft 365 apps and organizational data your staff already use.
- Google-first team: Evaluate Gemini in Workspace apps such as Gmail, Drive, Docs, Sheets, and Meet.
- Cross-suite or standalone workspace: Evaluate ChatGPT Business, which lists connections to services including Google Workspace, Slack, GitHub, and Microsoft 365.

Do not treat a vendor’s general privacy statement as proof that every control applies to every plan. Check the terms and feature availability for the precise product, tier, workload, and region under consideration.

- Identity and administration: Check SSO, MFA, domain controls, user provisioning, role-based permissions, and centralized administration on the plan you would buy.
- Data governance: Confirm retention settings, audit logs, DLP, encryption options, data residency, and how generated content is stored and shared.
- Grounding and permissions: Confirm which company sources the assistant can access and whether retrieval respects existing user permissions.

- OpenAI: Its business pricing page says business data is not used for training by default. OpenAI lists additional Enterprise controls including SCIM, EKM, user analytics, domain verification, role-based access controls, custom retention policies, encryption at rest and in transit, and data residency support in ten regions. Do not assume every listed Enterprise control is included with Business. OpenAI Business pricing.
- Microsoft: Microsoft says Copilot inherits Microsoft 365 security, permissions, DLP, auditing, and compliance controls, and that customer data is protected by Enterprise Data Protection. Its comparison page notes an EU Data Boundary exception for Anthropic models deployed in specified Copilot experiences; organizations with residency obligations should examine the current terms for the specific workload. How to run a useful pilot
A short pilot with approved data is more informative than choosing from feature pages alone. Agree on success measures before the trial so the team compares tools against the same work and standards.

- Choose routine tasks: Select representative jobs the team actually performs, such as drafting, summarizing, finding information in approved company content, or preparing a first-pass analysis.
- Use approved data and access: Test only with data your organization has authorized for the service, and verify that document access follows the intended permissions.
- Apply the same rubric: Score accuracy, usefulness, the human review burden, workflow fit, and operating cost for each tool.
- Include administration: Have the people responsible for security and IT verify identity, retention, audit, licensing, and configuration requirements on the candidate plan.
