There is no single best backup product for every nonprofit. The right choice depends on where your data lives, what must be restored first, how quickly you need it back, and who will manage and test recovery. A practical plan covers both staff computers and the cloud services your organization uses, keeps an independent or offline copy, and proves that important files can be restored.

What should a nonprofit back up first?

Start by listing the information and systems your organization cannot operate without. Depending on your mission and setup, that may include donor and beneficiary records, finance and payroll, email, shared documents, program databases, staff computers, and on-premises systems. These are prompts for your inventory, not a universal list.

For each dataset, record where it lives, who owns it, how sensitive it is, any retention obligations, what other systems it depends on, and how much data loss or downtime is acceptable. CISA recommends identifying critical data and system dependencies so recovery can be prioritized; your organization must set its own recovery targets. Keep asset documentation secure and maintain offline copies where appropriate. See the CISA StopRansomware Guide.

Turn the inventory into recovery priorities

Decide which systems must come back first and what information they need to function. For example, restoring a program database may depend on identity access, network services, and a particular staff device. Include those dependencies in the plan, and assign a responsible person to each system.

Is cloud storage or sync the same as backup?

No. Cloud availability, synchronization, retention features, and a one-time export do not automatically provide a separate, recoverable copy with the history and restore options your nonprofit needs. A file deleted or damaged in one place may be reflected elsewhere, and an export may not capture changes continuously or be ready when you need immediate recovery.

Cloud providers and customers share operational responsibility. Microsoft’s nonprofit security guidance says customers own their data and identities and are responsible for customer data and configurations: Microsoft’s security overview for nonprofits. That is why a plan should specify what the organization itself can restore, rather than assume provider availability alone answers every recovery need.

How to choose a nonprofit backup solution

Match the method to the location of the data. A cloud-to-cloud service may protect collaboration platforms; a computer backup tool or external drive may protect files stored on staff devices; an organization-controlled export or archive may support portability or retention needs. One vendor can simplify administration, but keeping every copy within the same account or provider can create correlated risk. CISA recommends frequent backups and advises considering multi-cloud for cloud-to-cloud backups when a vendor account could be affected.

Compare candidates against these requirements

  • Coverage: Identify the exact services, accounts, devices, shared drives, mailboxes, databases, and metadata included. Check relevant workloads such as Teams, SharePoint, OneDrive, Exchange, Google Drive, Gmail, and calendar items.
  • Recovery: Confirm whether admins can restore an account, individual files, messages, permissions, and earlier versions, and ask how the provider handles the volume you may need to recover.
  • Retention and deletion: Understand how long recovery points remain and what happens when an employee leaves, a license expires, a subscription ends, or a retention window closes.
  • Isolation and security: Look for an offline, immutable, separately administered, or otherwise isolated copy. Evaluate encryption, access controls, audit logs, and data-residency requirements.
  • Operations: Assign responsibility for failure alerts, backup-job reviews, administrator credentials, and restore drills. Account for staff time or managed-provider support.
  • Cost: Include storage, per-user or per-workload charges, possible restore or egress fees, required licenses, and expected data growth. Verify nonprofit eligibility and current offers directly.
  • Portability and concentration: Ask whether you can recover data if your identity provider, cloud account, or backup vendor is inaccessible. A separate provider or offline copy may reduce a material single-provider dependency.

Microsoft 365 backup options and cost

Microsoft 365 service availability and security controls do not, on their own, specify how your nonprofit will recover its data. Microsoft’s security guidance identifies customer data, configurations and settings, and identities and users as customer responsibilities across the listed service models. Review the Microsoft Learn security overview alongside your own recovery requirements.

Microsoft 365 Backup pricing

Microsoft Learn lists Microsoft 365 Backup at $0.15 per GB per month on a page checked October 7, 2026. The charge is based on protected content, which includes live site, OneDrive, and mailbox data plus specified deleted and versioned data in recycle bins or mailboxes. It may therefore exceed the size users see in active files; the recovery window affects how long deleted or versioned content remains counted. Validate current pricing and configuration before budgeting. Details: Microsoft 365 Backup pricing.

Google Workspace: shared drives and Data Export

Google says eligible organizations can get Google Workspace for Nonprofits at no charge; its nonprofit edition page lists 100 TB of storage shared across users. These are collaboration-plan details, not an independent backup service. Availability and edition terms can vary by country and change; confirm them on Google for Nonprofits Help.

Keep team-owned files in shared drives where appropriate

Google says files in shared drives belong to the organization and remain there if their creator leaves. That helps preserve ownership continuity, but does not create an independent backup. See Google Workspace Admin Help on shared drives.

Use Data Export for portability, not instant recovery

Google’s organization-wide Data Export tool sends organization data to Google Cloud Storage. An export to a Google-provided bucket is automatically deleted 60 days from the beginning of the export; organizations that need longer retention can select their own Cloud Storage bucket. An export is available no earlier than 48 hours after initiation; Google says it typically takes 72 hours and can take up to 14 days depending on size. These timings make it an export workflow, not continuous point-in-time recovery. Check data coverage and process requirements before relying on it. See Google Workspace Admin Help on Data Export.

When evaluating a third-party service, review how it protects and manages its copy of your data. Google’s account-copy sharing guidance says a recipient of a copy is responsible for managing and protecting it; that page concerns Google Account copy-sharing and should not be mistaken for a complete Workspace backup policy. Read Google Account Help.

Back up files stored on staff computers

Cloud collaboration backups do not necessarily protect files that exist only on laptops or desktops. CISA recommends frequent backups of locally stored device data to an external hard drive or a properly vetted cloud service. If you use an external drive, store it safely and disconnect it when it is not actively backing up; a permanently connected drive may be exposed to ransomware that can delete or corrupt copies. This is a useful, scoped case for an external hard drive for computer backup, but the appropriate capacity and setup depend on your devices and data volume. See CISA’s device-data guidance.

A local drive does not automatically protect SaaS data such as hosted email or shared documents unless you configure a workflow that copies that data to it.

Make sure your nonprofit can actually restore data

A backup policy is not complete until someone has restored representative files and documented the steps. Test the recovery paths your organization would need: for example, a single file, a former employee’s work, or a priority system. Confirm that the recovered data is usable and that the people responsible can access the necessary accounts and instructions. CISA recommends frequent backups, but the cited guidance does not establish a universal restore-test schedule or retention period; set a practical cadence based on your risks and operational capacity.

Before committing to a provider, verify current prices, nonprofit eligibility, data residency, contract terms, supported workloads, restore performance, and recovery procedures. The sources cited here establish decision criteria and platform details, not an apples-to-apples product test or a recommendation tailored to every nonprofit’s jurisdiction, records, budget, or staffing.
