To send an out-of-office reply while your Mac is asleep or the Mail app is closed, turn it on in your email provider’s settings—not in Apple Mail. For iCloud Mail, use Auto-Reply on iCloud.com; for Gmail, use Vacation responder in Gmail’s settings. A rule in Apple Mail can reply only while Mail is open.
Choose where to set the reply
| Method | Where to configure it | Works when Mail is closed? | Scheduling and repeat behavior |
|---|---|---|---|
| iCloud Mail | iCloud Mail on the web | Yes; the setting is provided by iCloud Mail. | Optional date range; at most one reply to each sender in 24 hours. |
| Gmail | Gmail Settings > See all settings > General > Vacation responder | Yes; the setting is provided by Gmail. | Start and end dates; may send another reply after four days or when you edit the reply. |
| Apple Mail rule | Mail > Settings > Rules | No; Apple says automatic replies from Mail rules are available when Mail is open. | Depends on the rule and account; no general vacation schedule is established in Apple’s guidance. |
Apple advises users who need replies while Mail is not open to check with their email provider. Apple’s Mail for Mac guidance explains the distinction. If your provider is not iCloud Mail or Gmail, look for its own automatic-reply or out-of-office setting.
Set up an automatic reply for iCloud Mail
- Go to icloud.com/mail and sign in with the Apple Account that owns the iCloud Mail address.
- Open Settings from the top of the mailbox list.
- Select Auto-Reply in the sidebar.
- Turn on “Automatically reply to messages when they are received,” then enter your reply.
- Optionally set a start and end date. Apple says the reply is active from the first date through the last date in the range.
- If you did not set a date range, return to Auto-Reply after your absence and clear the checkbox to stop replies.
The setting can be used even if you forward iCloud Mail to another account. Each sender receives no more than one automatic reply in a 24-hour period. Before leaving, check your available iCloud storage: Apple warns that a full iCloud account will not receive new mail. See Apple’s instructions for setting up an automatic reply in iCloud Mail.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsSet up Gmail’s Vacation responder
- On a computer, open Gmail and select Settings, then See all settings.
- Under General, find Vacation responder and turn it on.
- Enter the start and end dates, subject, and message. You can optionally restrict replies to people in your contacts.
- Select Save Changes. Gmail displays a banner at the top of the inbox while the responder is active; use it to end the reply early if needed.
Google says the responder starts at 12:00 a.m. on the start date and ends at 11:59 p.m. on the end date, unless you stop it earlier. Usually, a sender receives a reply the first time they write during the active period. They may receive another if they write again after four days while it remains active, or if you edit the reply. Gmail does not send the vacation response to messages marked as spam or to mailing lists you subscribe to. The steps and timing are described in Google’s Vacation responder help.

Why an Apple Mail rule may not work as an out-of-office reply
Apple Mail rules are configured at Mail > Settings > Rules. You can create conditions and actions, including an automatic reply, but Apple says these replies are available when Mail is open. If the Mac is off, asleep, offline, or Mail is closed, a rule is not a dependable way to handle incoming messages. Google likewise cautions that client-side automatic responses may fail when the computer goes offline and recommends using Gmail’s own Vacation responder instead.
Use a Mail rule only when you specifically need a rule-based action while Mail is running. For an absence, use the provider’s setting so the service—not the Mac app—handles the reply. For accounts other than iCloud Mail or Gmail, consult the provider’s current help for its supported procedure; the exact Outlook for Mac steps are not established here.
