An AI voice agent is useful to a distributor only if it turns an inbound call into a correctly identified, catalog-matched order that reaches the right point in the ERP workflow. Answering the phone is the easy part. Customer identity, account-specific pricing, product and unit matching, confirmation, and a safe path for exceptions determine whether the order can be trusted.
Before choosing a system, decide whether it should prepare orders for review, submit them, or place them in a held queue. Those are different levels of authority—and different operational risks.
What should an AI voice agent deliver?
The target outcome is a structured order—or a review-ready draft—connected to the distributor’s existing order process. A transcript or call summary alone still leaves staff to interpret the request and enter it. A well-scoped workflow captures the customer and requested items, validates them against the relevant account and catalog data, records the result, and either submits it or routes it to a person for approval.

“ERP integration” can describe anything from generating an ERP-ready draft to reading account data and writing a completed sales order. Ask what the system actually reads and changes, and who approves the result. The label by itself does not establish the agent’s access or authority.

How an inbound order call should move through the workflow
- Identify the caller and account. Resolve the customer and, where needed, the correct customer number and ship-to location. If multiple accounts or destinations could match, ask a clarifying question or route the call to staff rather than guessing.
- Capture each requested item and quantity. Record the caller’s wording as well as the proposed catalog item. Check aliases, part numbers, units, pack sizes, and any substitution rules that matter to the business.
- Validate account-specific details. Use the applicable customer pricing and relevant account or catalog information, if the integration supports it. An unclear product, unusual quantity, unavailable item, or pricing exception should trigger a defined clarification or human-review path.
- Read back the proposed order. Give the caller a useful summary of the matched items and quantities, and capture their confirmation before the workflow proceeds. The business should be able to review the associated call and order record later.
- Submit, hold, or hand off. Follow the configured authority level: create a draft, place the order in a staff-review queue, or submit it. If the conversation or system connection fails, the call needs a fallback such as a warm transfer or a monitored queue—not a silent failure.
Decide in advance which exceptions the agent can resolve by asking a question and which require a person. That boundary is part of the ordering workflow, not an optional courtesy feature.
Integration levels: draft, review queue, or direct submission?
Compare systems by what they are permitted to do, not just by whether a vendor says it “integrates” with an ERP.

| Integration level | What happens | Operational trade-off |
|---|---|---|
| ERP-ready draft | The agent captures and structures the request for entry or review; the evidence available for a particular product may describe a prepared quote or order without establishing automatic submission. | Staff retain control, but someone still needs to validate and complete the order. |
| Read data, then queue for review | The agent can consult information such as SKU, customer number, or ship-to data, then places the order in a held queue for a person to check. | Staff get more context and retain a checkpoint; confirm which records are readable and what the queue contains. |
| Write or submit an order | The agent writes a completed sales order or places an order into the ERP, subject to the configured workflow. | More of the process can be automated, so identity, matching, authorization, confirmation, audit records, and exception handling need particular scrutiny. |
These levels are not interchangeable. A vendor may support one, several, or a different workflow depending on the ERP and deployment. Verify the actual data access, write permissions, approval points, and failure behavior for your systems.
Phone-only agent, order desk, or integrated phone-system approach?
Some products focus on calls and voicemail; others describe a broader order desk that handles multiple channels or related requests. A phone-system-integrated deployment may add call routing, warm transfers, or failover. Choose based on your order operation, not on channel count alone.

| Approach | What to establish | Best fit to consider |
|---|---|---|
| Phone-focused voice agent | Whether it handles only new orders or also reorders, status questions, quotes, product availability, and voicemail; what account and catalog data it can use; and how it transfers exceptions. | Teams whose priority is inbound calls and whose other ordering channels already have a workable process. |
| Multi-channel order desk | Which channels and request types are actually supported, whether customer and order context carries across them, and whether the same review and exception rules apply. | Teams that want to manage calls alongside other wholesale order requests in a shared workflow. |
| Voice agent integrated with the phone platform | How warm transfers, call routing, and failover work, and whether the agent’s ERP access and order authority are separately defined. | Teams for whom call handling and continuity are central, provided the ERP workflow is also verified. |
Vendor descriptions illustrate different approaches, not independent proof of performance. Canals describes answering calls and processing voicemail, transcribing in real time, and preparing ERP-ready orders for representative review. Ordana describes a broader wholesale order desk and, for industrial and MRO distribution, natural-conversation capture, catalog matching, and writing completed sales orders to an ERP. Niun describes a food-distribution workflow involving caller recognition, customer pricing and history, product and quantity matching, ERP placement, confirmation, and routing unusual cases to a person; that sector-specific proposition should not be assumed to apply to every wholesale catalog. A Viirtue distributor case study describes querying ERP data for SKU lookup, ship-to disambiguation, and customer-number resolution, then placing orders in a held review queue, alongside phone-platform transfer and failover features. Each is a provider description or case study, not a guarantee for another deployment.
Buyer checklist: questions to resolve before choosing
- Call scope: Which call types are in scope—new orders, reorders, order status, quotes or RFQs, availability questions, or voicemail? What happens to requests outside that scope?
- Customer identity: How does the system distinguish customers, customer numbers, and ship-to locations? What does it do when the caller cannot be confidently matched?
- Catalog matching: Can it resolve aliases, part numbers, units, pack sizes, and approved substitutions against your catalog? How are ambiguous matches presented to a caller or reviewer?
- Pricing and account rules: Does it read the correct account-specific pricing and relevant history? How are exceptions handled, and can the agent apply a price or discount without approval?
- ERP permissions: Which ERP or order-management systems are supported in your configuration? Is the connection read-only, draft-producing, review-queue-based, or able to submit orders? How are inventory and ship-to data accessed?
- Escalation and continuity: What conditions prompt a clarification, human approval, or transfer? What information goes with the handoff? What happens during a telephony or integration failure?
- Confirmation and audit: What does the caller hear before the order proceeds? How is confirmation recorded? Where can staff inspect calls, orders, corrections, and unresolved exceptions?
- Ongoing ownership: Who maintains catalog mappings and business rules, monitors failed conversations, manages fallback queues, and updates the system when products, pricing, or processes change?
- Evidence: Can the vendor provide dated customer references, a clear definition of success, and the method and baseline behind any outcome figures?
How to evaluate performance claims and run a useful pilot
Published vendor figures should not be treated as a forecast for your operation unless the vendor supplies dated references, definitions, baselines, and a calculation method—and the conditions are comparable to yours. Canals lists “90%” time savings, “2.8X” hit rate, and “-59%” returns; the page does not state a year or, in the material available, a study method or baseline. Ordana lists a “95%” decrease in order-entry errors, “4×” more orders per agent, and “Zero” unanswered order calls; these are vendor marketing claims, and the page does not state a year. Datablooz reports about 9% lower order-input errors and order entry taking seconds in a Würth field-sales case study, but that describes a voice assistant listening to sales calls and extracting details—not an inbound autonomous ordering agent.

Set the pilot boundaries
- Choose a bounded group of call types, products, customers, or locations, and state which calls must always go to staff.
- Use representative calls that include routine orders as well as ambiguous products, unusual quantities, multiple ship-to locations, pricing exceptions, and integration interruptions.
- Agree on what counts as success before the pilot begins. Separate a call answered from a correct customer match, correct SKU and quantity, correct price, valid order record, successful confirmation, and appropriate escalation.
- Track corrections and failure reasons by stage so a wrong match is distinguishable from a telephony problem, an unclear request, or missing account data.
- Compare results with an explicitly defined baseline from your own process, then review whether the workflow and controls are acceptable before expanding the agent’s authority.
A pilot on your own call mix is the most relevant way to test fit. A high call-answer rate cannot compensate for incorrect order details or exceptions that reach neither a reviewer nor the caller.
