AI and gateway describe different parts of an email-defense system. A gateway is generally an inline inspection point in the mail flow; AI is a set of detection techniques. An inline secure email gateway (SEG), an API-connected service, and Microsoft 365’s native controls can all combine signatures, reputation, sandboxing, behavioral analysis, threat intelligence, policy rules and language-model techniques. The right choice depends on when you need a message stopped, which mail flows you must cover, how much routing change your team accepts, and what your existing Microsoft 365 licensing already provides.
This guide compares those architectures without treating “AI gateway” as a standardized product category. It also explains how to evaluate performance claims, licensing, operations and deployment fit.
What “AI email security gateway” and “traditional SEG” actually mean
A secure email gateway is an inline service that inspects messages as they enter or leave an organization. It can reject, quarantine, rewrite or deliver a message before it reaches a mailbox. An API-based service connects to a cloud email platform, such as Microsoft 365, through application permissions. It can inspect mailbox content and detect or remediate a message after delivery. Native cloud-mail controls operate inside the platform itself.
Proofpoint summarizes the distinction this way: “API-based email security connects directly to cloud email platforms such as Microsoft 365. A secure email gateway (SEG) inspects messages inline as they enter or leave an organization.” That is a vendor description of deployment models, not a claim that one model is always more secure.

“AI” describes how a system analyzes evidence, not where it is deployed. Machine learning, behavioral and relationship analysis, natural-language or large-language-model analysis, sandboxing, signatures and policy rules can coexist in an inline SEG, an API service or a cloud provider’s native stack. Conversely, a product marketed as AI-enabled may not be an inline gateway at all.
How each architecture handles a message
Inline secure email gateway
Mail is routed through the SEG before delivery. The service can evaluate inbound, outbound and, where configured, internal traffic. It is suited to organizations that require a pre-delivery decision, centralized routing, outbound policy enforcement or a consistent control across more than one mailbox platform.
- Timing: primarily before delivery.
- Control: reject, defer, quarantine, modify or deliver in the mail path.
- Administration: usually requires MX or mail-flow changes, certificates, connectors and careful failover planning.
- Typical strengths: deterministic routing, outbound inspection and a single policy layer across heterogeneous mail systems.
API-integrated email security
An API service connects to the cloud tenant without placing itself in the SMTP path. Proofpoint describes its API approach as avoiding a mail-routing or MX-record change and supporting post-delivery detection and remediation. Exact permissions, latency, supported workloads and remediation behavior vary by product, so confirm them in current documentation.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Timing: can detect after delivery and then remove, quarantine or otherwise remediate messages.
- Control: less dependent on changing SMTP routing, but dependent on API permissions and platform events.
- Administration: often faster to pilot in a cloud-only tenant; access reviews and tenant consent remain security-sensitive.
- Typical strengths: post-delivery cleanup, cloud-native deployment and reduced impact on existing MX records.
Native Microsoft 365 controls
Microsoft’s cloud-mail security stack is built into the service and expanded by Defender for Office 365 plans. It is not a separate gateway architecture in every tenant; it is a platform control set that can provide filtering, investigation and response within Microsoft 365.

Detection layers: AI is one signal among many
Proofpoint characterizes AI email security as using machine learning, behavioral analysis and natural-language processing to assess behavior, intent and communication patterns rather than relying only on rules or known signatures. That framing should not be interpreted to mean that established SEGs never use machine learning or behavioral analysis.
Microsoft’s current taxonomy illustrates a layered approach: domain and IP reputation, file and URL detonation, impersonation detection, large-language-model content analysis and prompt-injection protection for instructions hidden in inbound email that target an AI assistant. A mature system therefore combines conventional and newer signals instead of choosing “rules” or “AI.”
Proofpoint describes Core Email Protection as adding behavioral AI, attachment and URL sandboxing, unusual-sender-behavior analysis and contextual warnings. These are the vendor’s stated capabilities; they are not independent proof of detection rates.
Architecture comparison
| Decision area | Inline SEG | API-integrated service | Native cloud controls |
|---|---|---|---|
| Inspection point | Before delivery in the SMTP path | Directly in the cloud tenant; may act after delivery | Inside the provider’s mail platform |
| MX or routing change | Usually required | Often not required; verify permissions and connectors | Uses existing platform configuration |
| Pre-delivery blocking | Core capability | Product-dependent; often supplements rather than replaces the mail path | Available within the platform’s filtering pipeline |
| Post-delivery remediation | May be limited once a message is delivered | Core differentiator for many services | Available at different levels by license and configuration |
| Inbound, outbound and internal coverage | Can cover all three when routed | Depends on APIs and supported workloads | Primarily the provider’s supported mailboxes and flows |
| Multi-platform mail | Often a practical advantage | Depends on connectors and APIs | Usually strongest inside one cloud ecosystem |
| Primary operational concern | Routing, certificates, failover and false positives in the path | Permissions, event timing and remediation scope | License entitlements, configuration and provider limits |
Microsoft 365: establish the baseline before buying another layer
Microsoft says organizations with cloud mailboxes receive built-in protections intended to stop broad, volume-based and known email attacks. Defender for Office 365 Plan 1 adds protections including impersonation protection, Safe Attachments and Safe Links. Plan 2 adds deeper investigation, hunting, response and automation. Which features are included depends on the exact Microsoft 365 subscription, add-ons and tenant configuration.
Before comparing an external gateway with native controls, document the tenant’s actual licenses and enabled policies. A gap may be an inline mail-flow requirement, a need for post-delivery cleanup, a compliance or encryption policy, or an investigation-and-response capability—not simply a lack of “AI.” Microsoft also recommends SPF, DKIM and DMARC records to improve spoofing protection; those authentication controls remain relevant whichever inspection architecture you choose.
Questions for a Microsoft 365 tenant review
- List every Microsoft 365 and Defender entitlement assigned to users, shared mailboxes and service accounts.
- Export the enabled anti-phishing, Safe Links, Safe Attachments, impersonation and quarantine policies, including exceptions.
- Confirm whether outbound and internal mail are inspected to the same standard as inbound mail.
- Check who can investigate, release, remediate and audit messages, and whether those actions are logged for your compliance needs.
- Measure current false positives, post-delivery incidents and analyst time before adding another service.
How to compare products without being misled by “AI” claims
1. Locate the enforcement point
Ask whether analysis happens before delivery, after delivery, or both. Determine whether a suspicious message can be blocked, held, removed from every mailbox, or merely flagged. Request a flow diagram for inbound, outbound, internal and forwarded mail.
2. Map the detection stack
Inventory authentication checks, reputation, signatures, attachment and URL detonation, behavioral and relationship signals, language-model analysis, threat intelligence and administrator policies. A longer AI feature list is not a substitute for knowing which signal caused an action and how an analyst can override it.

Compare investigation timelines, message search, campaign views, user-reported-phish handling, false-positive review, bulk remediation and SIEM or SOAR integration. An API service may reduce routing work but increase the importance of tenant permissions and post-delivery automation. An inline SEG may centralize policy while adding certificate, connector and failover maintenance.

- MORE THAN A DOOR ALARM: Check open/closed status and door activity history, set left-open reminders and use motion events in your routines. AlarmFob provides four programmable buttons for configured alarm modes, scenes and compatible device controls, so everyday actions are close at hand.
4. Check coverage and dependencies
Verify support for shared mailboxes, distribution lists, mobile clients, journaling, encrypted messages, internal mail, outbound data-loss controls and collaboration services connected to email. “Microsoft 365 support” alone does not establish that every workload or message path is covered.
5. Compare licensing and policy requirements
Price the actual users, mailboxes, retention, investigation seats, archiving, encryption, DLP and support tiers in your agreement. A native feature that is already licensed may be cheaper and simpler than a second control; an external service may still be justified by multi-platform routing, compliance or remediation requirements.
What current performance evidence does—and does not—show
Performance figures are meaningful only with their test population, period, denominator and definition of a miss. Microsoft’s July 2025 benchmark announcement used real-world email threats rather than synthetic tests, but it noted that Microsoft and SEG vendors used different miss definitions. In the cited comparison, a SEG threat counted as missed when it was not caught before delivery or not removed shortly afterward; Microsoft applied a stricter standard and still counted a threat as missed if it was removed after delivery.

No independent, category-wide head-to-head test establishes that AI-enabled gateways universally outperform traditional SEGs. When reviewing a claim, ask who ran the test, which products and editions were included, how threats were labeled, whether post-delivery removal counted as success, how long the observation period lasted and whether the denominator was users, messages or campaigns.

Choosing an architecture by environment
Choose an inline SEG when pre-delivery control is non-negotiable
An inline design fits organizations that must enforce outbound policy before transmission, route several mail platforms through one control, or require a hard pre-delivery quarantine point. Budget time for MX changes, connector testing, certificate management, fail-open or fail-closed decisions and a rollback plan.
Choose API integration when cloud deployment and remediation speed matter
An API approach is attractive for a Microsoft 365 tenant that wants to avoid changing MX records and needs to find and remove messages after delivery. Confirm the service’s permission model, event latency, coverage of shared and delegated mailboxes, and behavior during API or provider outages.
Use native controls when the tenant already meets the requirement
If your subscription and configuration provide the needed impersonation, link, attachment, investigation and automation controls, adding another layer may increase tuning and false-positive workload without closing a defined gap. Validate this with incident data rather than a generic feature checklist.
Combine layers when risks and governance justify them
Some organizations use native Microsoft 365 controls plus an external SEG or API service for independent analysis, multi-platform coverage, compliance, or specialized remediation. Define ownership for quarantine, user notifications, incident response and policy conflicts before deployment.
Deployment checklist and acceptance test
- Document mail flow: draw inbound, outbound, internal, forwarding and third-party sender paths.
- Define success criteria: pre-delivery blocking, post-delivery removal time, false-positive rate, analyst effort, audit evidence and availability targets.
- Confirm prerequisites: DNS, MX, connectors, certificates, API consent, service accounts, SPF/DKIM/DMARC and identity controls.
- Pilot safely: use a representative group, staged policies and a tested rollback; include executives, shared mailboxes and high-volume workflows.
- Test detections: validate impersonation, malicious links, weaponized attachments, unusual sender behavior, prompt-injection text and legitimate bulk mail.
- Test remediation: measure how quickly a delivered message can be located, removed from all copies and reported to investigators.
- Review evidence: record the product edition, policy settings, threat samples, date range and definition of a catch or miss.
Common failure modes
- Assuming “AI” means gateway: ask for the deployment diagram and enforcement timing.
- Leaving old routing active: parallel MX paths can bypass inspection or create loops; remove unintended routes after validation.
- Overlooking outbound and internal mail: phishing is not the only risk; data loss and lateral impersonation require those paths to be covered.
- Granting excessive API permissions: use least privilege, document consent and review access regularly.
- Counting post-delivery cleanup as pre-delivery prevention: report those outcomes separately.
- Trusting an undifferentiated catch-rate claim: demand methodology, denominator, period and independent validation.
- Ignoring false positives: measure legitimate newsletters, invoices, automated alerts and executive communications during the pilot.
Bottom line
There is no universal winner between AI-enabled email security gateways and traditional SEGs because the comparison mixes two dimensions: detection technique and deployment location. Select an inline SEG for enforced pre-delivery routing and broad mail-flow control, an API service for cloud-native deployment and post-delivery remediation, native Microsoft 365 controls when the licensed tenant already meets the requirement, or a layered design when a documented gap justifies its operational cost. Make the decision from your mail flow, licenses, incident telemetry and a test whose definitions you can audit.
