AI email assistants can make a crowded inbox easier to manage by summarizing long threads, finding details in messages, drafting replies, and surfacing possible priorities or action items. Gmail’s Gemini features and Copilot in Outlook offer overlapping tools, but what you can use depends on your email account, plan, region, language, and—at work—administrator settings.
What an AI email assistant can—and cannot—do
An AI email assistant is software that helps manage inbox tasks. In practice, it can turn a long conversation into a shorter recap, answer questions about information in messages, help compose or revise a reply, and identify topics or potential next steps. These features can reduce the effort of sorting and catching up, but they do not guarantee that every important email will be found or interpreted correctly.
Google and Microsoft describe these capabilities in their product documentation, but those sources do not establish a controlled head-to-head accuracy test or a measured amount of time saved. Treat generated summaries and suggested actions as aids to review, not as a substitute for reading messages that matter.
Which inbox jobs can AI help with?
Catch up on long conversations
Gemini in Gmail can summarize long email conversations with key points and replies. Copilot in Outlook can scan a thread and provide a summary; it may include numbered citations that open the corresponding messages. Use the summary to orient yourself, then open the original emails before acting on decisions, dates, or commitments. Microsoft Support explains how thread summaries work.

Find a detail buried in email
Instead of guessing which message contains a confirmation number, receipt, or project detail, you may be able to ask a natural-language question. Google describes Gmail AI as able to find details such as purchase information and compare vendor bids or availability across emails. Microsoft gives prompts such as “Find the last email from [name] about the budget report.” Check the answer against the source message, especially if a date, amount, or name will affect a decision. Google’s Gmail AI page describes search and comparison examples.
Draft or improve a reply
Gmail Gemini can draft or refine text from a prompt, while Outlook Copilot can draft, rewrite, and adjust a message’s tone. The assistant provides proposed text; you remain responsible for whether it is accurate, appropriate, and in your voice. Read the whole draft before sending, and verify names, figures, attachments, promises, and context.

Spot priorities and action items
Gmail’s AI Inbox can surface priorities and topics for eligible accounts. Outlook Copilot supports prompts such as “Do I have any action items in my unread emails today?” These features can help create a review queue, but they should not be treated as a guarantee that every deadline or request has been detected.

What AI Inbox requires
Google’s AI Inbox setup documentation says personal accounts need Google AI Plus, Pro, or Ultra. Work or school accounts need Workspace Enterprise Plus with Gemini Beta access enabled by an administrator. AI Inbox is currently limited to the US and English, and Smart features must be enabled. Google says a first set of to-dos and topics may take up to seven days to appear after setup. In AI Inbox, users can review related source information, mark items done, remove to-dos, and provide feedback. These conditions apply to AI Inbox specifically; they should not be assumed to describe every Gemini feature in Gmail. See Google’s AI Inbox setup and availability details.
Personalized writing features may have a separate rollout
In a February 19, 2026 announcement, Google described personalized Help me write as using past emails, chats, and Drive files to provide context and reflect a user’s writing style. The announcement described access through Gemini Alpha testing before broader availability in the coming months. That is rollout context, not confirmation that the feature is available to every account today; use Gmail’s current Help information to check access. Read Google Workspace’s announcement.

Outlook with Copilot: what to expect
Microsoft lists Copilot tasks in Outlook that include writing or replying to email, moving messages to folders, finding a sender’s message, summarizing a thread, setting an out-of-office message, and finding action items in unread email. Microsoft says features vary between Microsoft 365 business and personal or family subscriptions, so the same instructions may not apply to every account. For work accounts, organizational policies and administrator controls can also affect access. Consult Microsoft’s Outlook AI email assistant page for its current feature and subscription information.
To summarize a conversation, select the email thread and choose Summarize. Copilot scans the conversation and returns key points; where numbered citations appear, select one to open the related message. Microsoft also notes that language behavior on Mac and mobile may default to the language of the message. The precise experience can vary by platform and account. See Microsoft’s thread-summary instructions.

| What to compare | Gmail with Gemini | Outlook with Copilot |
|---|---|---|
| Email system | Best fit to investigate if your messages are already in Gmail. | Best fit to investigate if your messages are already in Outlook. |
| Documented tasks | Thread summaries, natural-language search answers, writing help, suggested replies, and—in eligible accounts—AI Inbox. | Thread summaries, drafting and rewriting, folder movement, sender searches, out-of-office messages, and action-item prompts. |
| Eligibility | Varies by feature, account, plan, region, language, and rollout. AI Inbox has specific US-English and account requirements. | Varies between personal or family and business subscriptions; work access can also depend on organizational settings. |
| Verification | Review the related email or source information before relying on a summary, answer, or proposed to-do. | Open the thread messages behind a summary or citation and verify generated text before sending. |
This is a feature-and-fit comparison, not a controlled performance ranking. Start with the inbox you already use, then confirm that your account includes the specific feature you want. If your priority is automatic prioritization, check the narrower AI Inbox eligibility rules; if your main need is a quick recap of a particular Outlook conversation, use the thread-summary flow and inspect its cited messages where available.
Privacy: read the commitment that applies to your account
Privacy claims below are statements published by the vendors, not independent audit findings. They apply to the products and contexts described by each source; do not assume that a statement for one account type or feature automatically covers another.
Quick Recap
- Personal Gmail: In an April 7, 2026 post, Google said it does not train its foundational AI models, including Gemini, on personal emails. Google also said Gemini in Gmail processes information for the specific request and does not retain it afterward. These are Google’s stated practices for the described Gmail use. Read Google’s explanation of Gemini in Gmail privacy.
- Google AI plan users: Google Workspace Help says Workspace content used by Gemini for Google AI plan users is not used to train or improve generative AI models, and prompts or generated output are not stored without permission. The page notes a separate privacy notice for people enrolled in Workspace Experiments, so that context matters. See Google’s Workspace data-protection information.
- Outlook: Microsoft says Copilot does not use provided data to train foundational models and describes encryption in transit and at rest, separation of people’s and organizations’ data, sensitivity labels, and audit logs. For work accounts, administrator settings and organizational policies can affect what is available and controlled. These are Microsoft’s published commitments. Review Microsoft’s Outlook AI and privacy details.
A practical way to use AI without losing control of your inbox
- Confirm access first. Check the feature’s current eligibility for your account, subscription, region, and language. For a work or school inbox, ask your administrator if the feature is unavailable or its controls are unclear.
- Use AI for a bounded task. Ask for a summary of one thread, a specific detail from email, or a draft reply. A focused request is easier to check than asking an assistant to make broad decisions about your whole inbox.
- Open the source. Follow any citation or related-message link and verify the details that matter, including dates, names, amounts, and requested actions.
- Edit before sending or changing anything. Read generated replies in full. Confirm that a proposed action or folder change matches your intent before relying on it.
- Keep normal inbox checks in place. Continue reviewing important messages directly; AI summaries and detected action items can miss context or fail to surface a message.
What to verify when a feature is missing
- Account and plan: Confirm whether the feature supports your personal, family, business, or school account.
- Administrator access: For managed accounts, ask whether the feature is enabled and whether organizational policy restricts it.
- Region and language: Check the feature-specific requirements rather than assuming all AI tools in the email app share one availability rule.
- Settings and rollout: Google’s AI Inbox requires Smart features and may take time to populate its first topics and to-dos. Other Gmail features have their own conditions and rollout status.
