Create an agency hosting staging site by cloning the live WordPress installation into a separate environment, testing changes there, and deploying only the approved files or database changes. Start in your hosting dashboard if it provides a staging control; otherwise use a cloning plugin or a manually configured subdomain. The exact menu, plan eligibility, copied data, and synchronization options depend on the provider.

The critical rule is to protect production data before deployment. A database sync can overwrite newer orders, comments, signups, posts, or other activity that occurred after the staging copy was made, so treat every push as a controlled release rather than a routine copy.

What an agency staging site is

A staging site is an isolated working copy of a live, or production, WordPress site. It normally has its own URL, files, database, and configuration so an agency can change a theme, update plugins or WordPress core, test custom code, or rebuild layouts without exposing unfinished work to visitors.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Staging is not automatically a complete or harmless snapshot. Depending on the service, the clone can include user accounts, configuration, API keys, and database records. A store clone may also contain customers, products, and orders. Treat the copy as sensitive client data, restrict access, and decide which credentials and integrations should be disabled before testing.

The safest operating model is one-way during development: production remains authoritative while the agency works in staging. At release time, move only the approved changes, after checking what changed on production since the clone was created.

Choose the right way to create the environment

Approach Setup and eligibility Control when deploying Main issue to verify
Built-in hosting staging Availability depends on the provider and plan. Some managed WordPress services expose a Create staging action in the site dashboard. Often supplies a managed clone and a push or sync workflow; the available scope differs by host. Confirm plan eligibility, what content is copied, whether files and database can be selected separately, and how the staging URL is protected.
Cloning plugin WP STAGING documents a free subfolder clone; its Pro workflow adds subdomain and external-host destinations. Separation depends on the destination and plugin configuration. A subfolder is quick, while a subdomain or external host gives stronger isolation. Check directory write permissions, URL and database mapping, and whether the destination is truly separate from production.
Manual subdomain Standard WordPress hosting can use a separately configured subdomain. DreamHost’s documented method uses a dreamhosters.com subdomain. You copy files and database content yourself and repeat that process for deployment. DNS, SSL, file paths, and every database URL must point to the staging address without changing production.

Do not infer availability from another agency account or another provider. A staging feature can be restricted to a particular plan, region, CMS edition, or site type.

Preflight checks before cloning

Complete these checks before pressing a create, clone, or copy button:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Identify the stack. Record the CMS version, hosting provider, plan, PHP version, database type, active theme, plugins, and any server-side caching or CDN layer.
  • Confirm permissions. You need a site administrator account or the hosting role that can create environments. WordPress.com states that any administrator on the site can create a staging site; its support page was last reviewed September 14, 2026.
  • Check capacity. Ensure there is enough disk space for another copy of uploads, backups, and the database. Large media libraries can make a clone much larger than the visible page count.
  • Plan the staging address. Choose a recognizable subdomain or provider-generated URL, obtain HTTPS if available, and document the address for the client and team.
  • Inventory live activity. Note recent orders, comments, form submissions, memberships, appointments, user registrations, and scheduled jobs. This list is the baseline for deciding whether a later database push is safe.
  • Back up production. Keep a restorable backup outside the staging environment and verify that it can be downloaded or restored.
  • List integrations. Mark payment gateways, email services, webhooks, analytics, CRON jobs, search indexing, and API keys that must be disabled or changed in staging.

Create staging with a hosting dashboard

Use the provider’s general workflow

  1. Open the hosting account and select the website or WordPress installation.
  2. Open the site dashboard and locate an environment selector, a Live or Production control, or a similarly named staging action.
  3. Choose Create staging, Add staging site, or the provider’s equivalent. Read the confirmation screen for the destination URL and the list of copied data.
  4. Wait for the clone to finish, then sign in through the staging administrator URL rather than the production URL.
  5. Record the staging URL, credentials, creation time, and the production revision from which it was copied.

Some hosts copy the entire database and users; others offer choices for files, tables, or content. Do not assume that a staging environment is current after it is created. Every subsequent production change creates a possible divergence.

WordPress.com dashboard path

On WordPress.com, the documented path is Hosting Dashboard → select the site → Production dropdown → + Add staging site. Staging is available on Business and Commerce plans according to the provider’s Create a Staging Site in WordPress documentation.

  1. Open Hosting Dashboard and select the site.
  2. Open the Production dropdown.
  3. Select + Add staging site and follow the setup prompts.
  4. Wait for the environment to be provisioned, then use its separate dashboard and URL for testing.
  5. Review the copied users, settings, API keys, and database records before enabling external services.

WordPress.com says staging sites are blocked from indexing by default. Verify that setting after creation, because a provider’s default does not establish the behavior of another host and an override can make the site crawlable.

Create a clone with a WordPress plugin

A plugin is the practical fallback when the hosting plan has no built-in environment feature. The WP STAGING guide documents a free clone in a subfolder and Pro options for a subdomain or an external host. Its own documentation reports a subfolder clone taking “under a few minutes” in a typical shared-hosting test; that is vendor-reported experience, not a general benchmark or guarantee.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Install and activate the cloning plugin on production, using an administrator account.
  2. Choose the destination type. A subfolder keeps the clone under the same domain; a prepared subdomain or external host provides more separation.
  3. For a subdomain or external destination, create the DNS record, web directory, and HTTPS certificate first. Confirm that the target directory is writable by the web server.
  4. Start the clone and review the plugin’s file and database mapping options. Make sure replacement URLs affect only the destination copy.
  5. Open the generated staging URL in a private browser window. Confirm that links, images, login, forms, and uploads resolve to staging rather than production.
  6. Restrict access with the plugin’s password protection, hosting authentication, or an allowlist, and disable indexing.

If the clone fails, inspect PHP and web-server logs for permission, timeout, memory, or database errors. A successful file copy with incorrect database URLs can produce a site that appears broken or silently sends visitors back to production.

Create a manual subdomain staging site

Manual staging is slower but works on standard hosting when no managed feature or suitable plugin is available. The DreamHost procedure uses a dreamhosters.com subdomain and specifically requires database URL updates during the copy.

  1. Create a new subdomain and point it to a directory that is separate from the live site’s document root. Enable HTTPS before testing.
  2. Create a separate database and database user for staging. Do not point the clone at the production database.
  3. Copy WordPress core files, the active theme, plugins, uploads, and configuration into the staging directory. Import a production database backup into the new database.
  4. Update the staging configuration with the new database name, user, password, and host.
  5. Run a controlled search-and-replace in the staging database to change the production URL to the staging URL. Include serialized data safely; an unsafe text replacement can corrupt settings.
  6. Log in to staging, resave permalinks, clear caches, and test media and internal links.
  7. Protect the site from public access and search engines before sharing the URL.

Deployment reverses the process: copy only the approved files or database records back after a backup, update URLs where required, and verify that production configuration and integrations remain intact.

Understand what the clone contains

Ask the provider or plugin exactly which components are copied. A staging site can include:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • WordPress core, themes, plugins, custom code, uploads, and generated cache files.
  • Users, roles, options, scheduled tasks, API keys, and other configuration values.
  • Posts, pages, comments, forms, and custom post types.
  • For WooCommerce, customers, products, orders, coupons, tax settings, and store configuration.

Copied secrets are a security concern. Disable payment processing, outbound email, webhooks, subscription renewals, and destructive scheduled jobs in staging. Replace production API keys with test credentials where the integration supports a sandbox. If the provider cannot omit sensitive rows, use access controls and a short retention period.

Test changes methodically in staging

Use a written test list so an agency can reproduce results and show the client what was approved.

Core functionality

  • Update the planned theme, plugins, and WordPress core one at a time where practical, recording version numbers and warnings.
  • Check the home page, navigation, search, archives, custom post types, responsive breakpoints, and accessibility-critical controls.
  • Submit every important form and verify validation, confirmation messages, notification routing, spam protection, and storage.
  • Exercise login, password reset, role permissions, membership rules, checkout, account pages, and any client-specific workflows.
  • Test scheduled tasks, imports, feeds, webhooks, analytics events, and caching after clearing staging caches.

Visual and performance checks

  • Compare representative pages against production at desktop and mobile widths.
  • Check images, downloadable files, embeds, fonts, redirects, canonical tags, and structured data.
  • Review error logs and browser console errors, then test with cache and optimization features enabled as they will be on production.

Access and indexing

Use password protection or an allowlist, remove indexing directives only when the site is ready for release, and confirm the staging robots and canonical settings. A no-index default is useful but is not a substitute for authentication.

Plan the push before touching production

First identify whether the change lives in files, the database, or both. Theme templates, CSS, JavaScript, and many plugin updates are file changes. Page content, widget settings, menus, form entries, orders, comments, and user data are database changes. Some plugin updates write new database tables or options even when the visible change appears to be code.

Push scope Typical use Risk
Selected files or folders Theme code, stylesheets, templates, images, or a controlled plugin build that does not depend on new database values. Database-backed settings or content changes will not come across.
Selected database tables or records A narrowly defined configuration or content migration when the host supports table-level selection. Dependencies can be missed, and table-level selection may not map cleanly to a plugin’s data model.
Full files and database A coordinated release where staging intentionally represents the complete target state. Newer production activity can be overwritten.

Kinsta’s push-environments documentation describes selecting specific files or folders and database tables, distinguishes file-only from database pushes, and creates a backup of the target before a push. Use the narrowest scope that contains the approved change. When pushing a database, run the provider’s search-and-replace process so environment URLs are updated correctly.

Protect live data during deployment

  1. Freeze the release. Record the staging creation time and the exact files, tables, settings, and content approved for production.
  2. Back up the target. Create and download a production backup immediately before the push. Confirm its timestamp and restoration method.
  3. Compare production activity. Review orders, comments, posts, form submissions, registrations, memberships, and forum activity created after staging was copied.
  4. Choose a low-traffic window. For a database migration, use a maintenance page or temporarily pause writes so visitors cannot add data during the operation.
  5. Reconcile differences. Export or manually recreate new pages, products, settings, or other records that must survive. Do not overwrite them simply because the staging database is newer in another area.
  6. Push the selected scope. Use the host’s file, table, or full-environment control, or perform the documented copy manually.
  7. Run URL replacement and clear caches. Confirm that internal links, media, canonical URLs, and environment-specific values now reference production.
  8. Verify immediately. Test homepage, authentication, forms, checkout, email, redirects, logs, and the highest-value client journeys before removing the maintenance page.

A database push can permanently remove production changes made after staging was created. Kinsta specifically lists comments, new content, ecommerce purchases, membership signups, and forum posts among the data that can be overwritten. WordPress.com gives the same warning for stores: staging receives WooCommerce customers, products, and orders, and syncing back can lose production activity when the two environments diverged.

Store-specific release procedure

For a WooCommerce site, pause new orders before a database sync, compare customers, products, inventory, coupons, and orders, and decide whether the theme change can be recreated manually instead. For a small set of new pages or products, exporting and importing those items may be safer than replacing the entire production database.

Verify, document, and roll back

After deployment, keep the production backup until the client confirms the release. Check payment and email sandbox settings, restore production API keys where appropriate, and re-enable scheduled jobs only after confirming they cannot run twice or process staging data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Open the site in an incognito window and test both logged-out and logged-in journeys.
  • Submit a low-risk form and confirm delivery, storage, and notifications.
  • Complete a controlled checkout or payment test using the gateway’s approved test method.
  • Inspect server, PHP, WordPress, and security logs for new errors.
  • Check analytics, search visibility, robots rules, canonical URLs, sitemap generation, and redirects.
  • Record the release scope, backup location, deployment time, test results, and any deferred work.

If a critical fault appears, place the site in maintenance mode, restore the pre-release backup or reverse the selected file changes, clear caches, and repeat the verification list. Do not attempt a second broad database push while the cause of the first failure is unknown.

Troubleshoot common staging failures

The staging button is missing

Check the plan, site type, account role, and whether the provider calls the feature “Add staging site,” “Create environment,” or another label. If the plan does not include it, use a documented plugin clone or manual subdomain instead.

The clone stops partway through

Check available disk space, PHP memory and execution limits, database size, directory ownership, and server logs. Exclude old backups or cache directories from the copy when the tool allows it, then retry with a smaller scope.

Links redirect to production

The database still contains production URLs or a hard-coded value in a theme, plugin, or configuration file. Run the provider’s safe search-and-replace on staging, inspect serialized options, clear caches, and test links again.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Images or uploads are missing

Confirm that the uploads directory was copied, file permissions allow the web server to read it, and the database attachment URLs match the staging domain. Regenerate thumbnails only after the original files are present.

Forms, email, or payments affect real users

Disable outbound services immediately, switch integrations to sandbox keys, block public access, and remove production webhooks. Never use a staging checkout to process a real customer transaction.

The push overwrote new content

Stop additional writes, restore the target backup if necessary, and compare the staging and production exports. Reapply only the approved changes, using a file-only or narrowly selected table push where possible.

Time, plan, and cost expectations

There is no universal creation time or price. Built-in staging may be included only with a specific managed plan, while a plugin or manual subdomain adds setup and maintenance work. The “under a few minutes” figure published by WP STAGING describes its own typical shared-hosting subfolder test, updated June 4, 2026; large sites, slow databases, limited resources, and external destinations can take much longer.

For agency planning, estimate separately for provisioning, data transfer, URL correction, integration isolation, testing, client review, deployment, and rollback readiness. A simple clone can be quick; a busy store requires a coordinated release window and data reconciliation even when the environment itself is created instantly.

Agency staging checklist

  • Confirm provider, plan, CMS, administrator access, and available storage.
  • Choose built-in staging, a plugin clone, or a manual subdomain and document the destination.
  • Create a verified production backup before cloning and before deployment.
  • Protect staging with authentication and verify its indexing behavior.
  • Disable real payments, email, webhooks, scheduled jobs, and production API credentials.
  • Test updates, layouts, forms, permissions, integrations, and key customer journeys.
  • Inventory production changes since the clone was created.
  • Select the smallest safe deployment scope and run URL replacement when a database is moved.
  • Use a low-traffic or maintenance window for database changes.
  • Verify production, preserve the backup, and document the release and rollback plan.
