Before you quote a fixed-scope software project, write down five things: the verifiable outcome, exclusions, revision rules, client dependencies and acceptance checks. Agreeing on those details—and on how later requests will be handled—gives both you and the client a clearer basis for pricing and delivery.
1. What is the one-sentence outcome?
Describe what the client will be able to do when the work is complete, in a way a person who did not build it could verify. A loose description such as “build a booking site” leaves important questions unanswered. A stronger outcome might specify that visitors can choose an available appointment and submit a booking, and that the owner receives the booking details.
This sentence is the anchor for the quote. If you cannot describe the result clearly, ask questions before estimating; a feature list may conceal different assumptions about what “done” means.

List work the quote does not include. Naming exclusions is not a prediction that the client will ask for them; it makes assumptions visible before they affect the price or schedule.

- Creating third-party accounts, configuring them, or paying their fees
- Support for particular browsers or devices beyond the agreed set
- Hosting, ongoing maintenance, or post-launch support
- Migration of existing data or services
Tailor the list to the project. An exclusion that matters for one build may be irrelevant to another, so avoid treating a generic checklist as a substitute for discussing the actual deliverable.
3. How many revision rounds are included, and what counts as one?
State the number of included rounds and define the boundary. For example, you might define one round as a consolidated set of feedback submitted by the client after reviewing a specified deliverable. Explain whether revisions are limited to refining that deliverable or can change the agreed outcome.
Two rounds is an example, not an industry standard. Choose a limit that fits the work and estimate, then describe how you will price or schedule requests beyond it.

4. What do you need from the client, and by when?
List each client dependency, who is responsible for providing it, and its due date. Common examples include a logo, copy, API keys, access credentials, and approval of a design or milestone.
Say what happens if an input or approval arrives late. For instance, explain that the delivery schedule may move when a dependency is delayed. This makes the timeline depend on named actions rather than an unspoken assumption that everything will arrive promptly.
5. What is the acceptance test?
Agree on a short list of checks the client can run to confirm the promised outcome. Keep each check observable and connected to the project’s agreed result. For a booking flow, checks might cover selecting an available slot, submitting the required details, and confirming that the owner receives the booking information.

Acceptance checks give you and the client a shared way to determine whether the deliverable is complete. They should test the agreed outcome, not introduce new features that were never part of the quote.

Put the scope and the change process in the proposal
Record the five answers in the proposal or another written agreement before work starts. The source article also recommends documenting a process for changes and tying payment milestones to deliverables. These are practical recommendations, not universal legal requirements; adapt your agreement to the project and applicable rules.
Define what happens when a request changes the agreed work: how you will assess it, how you will communicate its price and schedule impact, and when approval is required. A change should not become an assumed part of the original quote simply because it sounds small.
How to respond when a client asks for “one more thing”
When you hear “while you’re in there, can you also…” or “can you also add…?”, acknowledge the idea, explain how it relates to the agreed scope, and offer a clear next step. That keeps the conversation practical rather than adversarial.
You can price the request as a change, state its effect on the delivery date, and get written approval before starting the added work. Or you can place it in a follow-up phase. If you choose to include a genuinely small request at no charge, say so explicitly and clarify how future additions will be handled.
