If you know part of a file or folder name, try Everything by Voidtools: it is built for filename and folder lookup. If you need to find words inside documents, configure Windows Search’s index instead. And if you want to search from a keyboard launcher, PowerToys Run can surface Windows-indexed files—but it cannot add locations to that index.
First, decide what you need to find
- A file or folder by name: Everything is a focused alternative to Windows Search.
- Words inside documents: Use Windows Search and make sure the relevant locations and file types are indexed for content.
- A launcher-style interface: PowerToys Run can search through the Windows Search index, so its file results depend on what Windows has indexed.
For filenames and folders, try Everything
Everything is intended for finding files and folders by name. It does not pre-index file contents, so it will not find a document because you remember a word inside it. Its FAQ says an on-demand content search is possible but slower than searching indexed names: Everything FAQ.
Everything supports Windows 11. For indexing NTFS volumes, Voidtools says the application needs its service running or must be run with administrator privileges. Non-NTFS volumes and network shares may require separate configuration, so do not assume they will be covered automatically; check the FAQ for setup details.
For words inside documents, check Windows Search
Windows Search can search file properties and, for supported file types when configured, file contents. If a file type is set to properties-only, words in that file’s contents will not be searchable. Microsoft explains these settings and indexing modes in its Windows Search indexing guide.
#1 Best Overall
- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
Check which locations are covered
Open Settings > Privacy & security > Search. Windows Search’s Classic mode indexes common user folders by default; Enhanced mode covers the PC more broadly and may use more system resources. Add folders you need through Search settings if they are outside the current scope.
Check whether file contents are indexed
In Search settings, review the advanced indexing options and the settings for the file type you want to search. Confirm that Windows indexes both properties and file contents, rather than properties alone. This is a per-file-type consideration: enabling content indexing does not make every format searchable if it is unsupported or not configured for that behavior.
Rank #2

For a keyboard launcher, use PowerToys Run with the right expectation
PowerToys Run provides a launcher interface, but its Windows Search plugin returns only files and folders covered by the Windows Search index. It does not fix missing folders or expand the index on its own. Configure Windows Search’s scope first if the item you need is missing. Microsoft documents the plugin and its behavior in the PowerToys Run documentation.
What about the newer Windows Search Box?
Microsoft announced Search Box changes on July 13, 2026, with a gradual rollout to Windows Insiders in the Experimental channel. That announcement is not evidence that the changes are available to every Windows user. Microsoft also notes that experiences may vary by region. Check your own installation rather than assuming the updated Search Box has arrived: Windows Insider announcement.

Choose based on the search that is failing
| What you want to find | Best starting point | What to verify |
|---|---|---|
| A filename or folder name | Everything | Whether the relevant volume or network location is covered; NTFS indexing needs the service or administrator execution. |
| Words inside a document | Windows Search | That the folder is indexed and the file type is configured for content, not properties only. |
| Files from a keyboard launcher | PowerToys Run’s Windows Search plugin | That Windows Search already indexes the file’s location. |
