A roadmap is a high-level plan that shows direction, priorities, and major checkpoints over time. It helps people understand what is planned, why it matters, and how work fits together—but it is not necessarily a detailed task schedule. The term can mean a product roadmap, which communicates a product’s direction, or a project roadmap, which summarizes goals, deliverables, milestones, and timing.
What does “roadmap” mean?
A roadmap is a planning and communication view of intended work over time. It gives people a shared picture of the destination, the important steps along the way, and how progress will be understood. Its level of detail depends on its purpose: a roadmap can guide product decisions or coordinate a project without listing every task.
For product management, Atlassian Product Manager Bree Davies describes a product roadmap as “a shared source of truth that outlines the vision, direction, and progress of a product over time.” That is Atlassian’s definition, not a universal standards definition. A project roadmap, by contrast, is a high-level view of a project’s goals, deliverables, milestones, and timelines intended to align stakeholders on what will happen, why, and when.
What should a roadmap include?
Choose contents according to the kind of roadmap, its audience, and how certain the timing is. A project overview needs different information from a product strategy communication; neither has to include every field below.

Project roadmap components
- Goals and objectives: the purpose of the work and the outcomes it is meant to achieve.
- Milestones: significant checkpoints or achievements that make progress visible.
- Deliverables: the tangible outputs expected from a phase or milestone.
- Timeline: the intended sequence and pace of work, using dates or broader time periods as appropriate.
- Resources: the people, budget, equipment, or other capacity needed.
- Risks: issues that could disrupt delivery.
- Dependencies: relationships between pieces of work, such as one milestone needing another to finish first.
Product roadmap components
A product roadmap centers on the product’s vision and direction, the priorities chosen to advance them, and progress over time. It should make clear why planned initiatives matter by connecting them to strategy and goals. Planned features or initiatives may be organized by phases or quarters, but the roadmap should not imply that every item is an unconditional promise: customer feedback and competitive conditions can change priorities.
Examples of roadmaps
Project roadmap
Imagine a team delivering a new customer-support portal. A roadmap could show the outcome of launching the portal, phases such as discovery, design, build, and rollout, the deliverables and milestones for each phase, and the resources and dependencies that affect the sequence. It would help stakeholders see the broad plan without replacing the team’s detailed task tracking.

Product roadmap
A product team might group planned improvements into quarterly themes, such as making onboarding easier or improving reporting. It can show which features or initiatives support each strategic goal and indicate their expected order or period. The useful point is the connection between direction and work, not a feature list detached from its purpose.
Organization-wide roadmap
An organization coordinating several projects can present selected investments, deliverables, key dates, phases, and milestones together. Roadmap versus project plan

A roadmap is not a substitute for an execution plan when a team needs to coordinate detailed work. The two can be used together: the roadmap explains where the work is headed, while the project plan helps manage how it gets done.
How to make a project roadmap
- Set the goal and scope. State the outcome the project is intended to achieve and what work the roadmap covers.
- Identify stakeholders and requirements. Understand who needs the roadmap and what they need to decide or monitor.
- Divide the work into phases. Group related work into a sequence that makes the major stages easy to understand.
- Identify deliverables, resources, and dependencies. Show what each stage produces, what capacity it needs, and what must happen first.
- Estimate timing and milestones. Add expected periods or dates and meaningful checkpoints. Use the precision the plan can support rather than suggesting more certainty than exists.
- Share, monitor, and update it. Use the roadmap to align stakeholders, check progress, and revise the view when scope, resources, priorities, feedback, or timing change.

When should a roadmap be updated?
Update it when a change affects the direction or coordination it is meant to communicate—for example, when goals, scope, priorities, resources, dependencies, or timing shift, or when feedback changes which product work matters most. A roadmap is useful as a shared view only while it reflects the current plan; revisions should make changed expectations visible to the people relying on it.
Do you need software to make a roadmap?
No. The roadmap is the planning artifact, not a particular software product. It can be represented in a format stakeholders can understand and keep current. Roadmapping tools and templates are optional; Microsoft Roadmap is one documented option for connecting projects and tracking selected information across an organization.
