Use Microsoft Graph’s Microsoft 365 usage reports to collect user-level data for each workload you need, then combine the workload-specific records into one report. The APIs return distinct measures and schemas, so keep each workload’s activity fields identifiable rather than treating them as a single productivity score. What you need before creating the report
- A defined scope: Choose the workloads and activity measures your report should include. Microsoft Graph offers workload-specific reports; do not assume every service has the same user-level fields.
- Microsoft Graph access: The cited detail endpoints list
Reports.Read.Allas the least-privileged permission. A tenant administrator must consent to the requested permissions. - Appropriate authorization: Application access is supported when the required application permission has been granted with tenant administrator consent. For delegated access, the signed-in user also needs an appropriate Microsoft Entra limited administrator role. Review Microsoft’s authorization requirements.
Usage reports contain sensitive user-level data. Limit access to people and processes that need it, and handle the combined export accordingly.
Choose the workload reports and reporting period
Use the Graph reports catalog to identify the endpoint for each workload. It includes services such as Teams, OneDrive, SharePoint, and Outlook. Confirm that the specific endpoint provides the level of detail you need; some reports return user detail, while others provide aggregate counts.
For the cited Teams user activity detail, SharePoint activity user detail, and Microsoft 365 active-user detail reports, supported period values include D7, D30, D90, and D180. Date-based detail reports are available only for dates in the past 30 days. These are endpoint-specific constraints; check the documentation for every report you plan to use.

Record the selected period or date with the report. Do not imply that date-based data is available indefinitely.
Retrieve and combine the reports
- Set the scope and period. List the workloads, endpoint for each, and reporting period or date to use. Check each endpoint’s documentation for its exact request format and returned columns.
- Request the workload-specific reports. Call the relevant Microsoft Graph reports endpoints using the authorized identity. The cited user-detail endpoints require
Reports.Read.All; delegated calls also require the appropriate Entra limited administrator role and tenant administrator consent. - Preserve the source data. Keep a copy of each raw CSV-oriented response. Retain the workload name and reporting period or date, along with any refresh metadata included in the result.
- Normalize and join records carefully. Align column names and formats for downstream reporting. Where an endpoint exposes a suitable user identifier, use it to associate records across workloads; do not assume every report has identical identifiers or schemas.
- Present the measures separately. Keep the original workload-specific fields in the combined output. If you create an overall total or score, define its calculation and explain that unlike workload actions are not directly equivalent.
Keep activity measures meaningful
“Activity” does not mean the same thing across services. Teams activity counts can include chat messages, calls, meetings, and audio, video, or screen-sharing duration; SharePoint user detail includes file and page activity fields. These fields describe recorded service activity, not a shared unit of productivity. A report is clearer when it labels each measure by workload and keeps the original values visible instead of adding them together without a defined method.

The cited documentation does not establish a single cross-workload refresh-time guarantee. Preserve any refresh metadata returned with each report, and avoid describing a combined report as real-time or assigning it a specific delay unless the documentation for every included endpoint supports that claim. Microsoft’s catalog also does not imply that every workload exposes the same fields or user-level detail.
