It organizes information as shelves, books, optional chapters, and pages, and its project explicitly aims for a simple, opinionated experience. It is not a one-for-one Notion replacement: if your work depends on databases or other broad workspace features, check those workflows before moving.
Start with the work you need the tool to do
“Notion alternative” can mean two different things: a home for handbooks, guides, and reference pages, or a broad workspace where databases and other connected workflows are central. BookStack is aimed at the first job. The project describes it as an opinionated documentation platform designed to provide a simple out-of-the-box experience (BookStack project repository).
That focus can be an advantage if your team mainly needs to publish and browse shared knowledge. It also sets a boundary: BookStack’s documented content model is a hierarchy, not evidence of feature parity with every workspace tool. If you depend on database-driven workflows or other workspace objects, treat those as requirements to verify rather than assuming they will transfer.
How BookStack organizes information
BookStack uses shelves to group books; books contain pages, and can optionally be divided into chapters. The structure is literal and visible, which can make it easier to browse a handbook or organize reference material (BookStack content overview).

- Shelves: group related books.
- Books: hold the material for a subject or team.
- Chapters: optional subdivisions within a book.
- Pages: the individual documents people read and edit.
This model is helpful when readers can predict where information belongs. It may feel restrictive if your team prefers free-form pages, relational databases, or workflows that do not fit a book-and-page hierarchy. Agreeing on a modest structure before importing content can prevent the hierarchy from becoming a filing burden.
Writing and migration: choose the editor your team will use
BookStack provides a WYSIWYG editor and an optional Markdown editor. The Markdown option may suit people who prefer writing in a simpler text format, but the official documentation warns that switching editor modes can lose formatting or functionality on some content. Review the Markdown editor guidance before deciding how your team will author pages.

For a migration, inventory more than page text: identify existing databases, embedded workflows, and formatting that matters to readers. The available documentation establishes BookStack’s editors and hierarchy, but does not establish that a particular Notion workspace can be migrated without changes. Test representative content and any critical workflows before committing to a full move.
Self-hosting means taking responsibility for the service
BookStack is open source under the MIT license, but self-hosting still requires someone to operate the application and its database. The project’s installation guide says setup requires knowledge of hosting a PHP web application and database. As listed in the guide accessed in 2026, core requirements include PHP 8.2 or later, MySQL 8.0 or later or MariaDB 10.6 or later, and Git. Check the current installation requirements before deployment because minimum versions can change.

Plan for the operational work as part of the choice: install and configure the app, maintain the host and database, and decide how backups and updates will be handled. The editing experience being approachable does not remove those administrator responsibilities.
Why a focused product may feel simpler
BookStack’s project FAQ describes a “batteries-included” philosophy and says the project does not intend to offer custom or enterprise versions. The goal is a coherent core product rather than requiring users to assemble a workspace from a large plugin model. That does not mean the product lacks advanced capabilities; the FAQ’s point is that advanced features can exist without complicating the basic experience (BookStack project FAQ).

Simplicity is relative to the job. A defined hierarchy may reduce decisions for a documentation team, while a team that expects databases or a broad set of workspace workflows may find it too narrow. A September 27, 2026 comparison published by AppFlowy positions its own product as a broad workspace and BookStack as suited to structured documentation; because AppFlowy is a vendor in that comparison, treat it as vendor positioning, not independent verification of feature parity or superiority (AppFlowy’s comparison).

- Choose BookStack as a candidate if most of your shared knowledge is reference pages, guides, and handbooks that fit a hierarchy.
- Pause before migrating if databases or other workspace objects are essential to day-to-day work; the documented BookStack hierarchy does not establish replacements for those workflows.
- Check the writing fit by trying the editor your team expects to use and testing formatting-sensitive content before switching editor modes.
- Assign an operator who can run the PHP application and database, and make a plan for ongoing maintenance.
- Test a small representative migration first, including content and workflows people rely on, rather than assuming every workspace element will map cleanly.
If self-hosting is the right model but administering a deployment is not, BookStack says third parties may offer hosting, while also stating that it does not vet or endorse those providers. Evaluate any provider independently; there is no official recommendation implied.
