These six built-in Excel tricks make common tasks—cleaning up text, navigating a worksheet, repeating entries and organizing data—quicker to handle. The keyboard shortcuts below are for Excel on Windows; shortcuts can differ on Mac, the web, mobile and other keyboard layouts.
1. Split or combine text with Flash Fill
Flash Fill can recognize a pattern in your examples and complete the rest of a column. Microsoft describes it this way: “Flash Fill automatically fills your data when it senses a pattern.”
- Put the source text in a column, such as full names.
- In the adjacent column, type the desired result for the first row, such as a first name.
- Start typing the next result. When Excel previews the remaining pattern, accept it; or use Data > Flash Fill. In Excel for Windows, Ctrl+E is also a shortcut.
The same approach can combine text from separate columns—for example, a first name and surname. Flash Fill is pattern-based, so check the results, especially when names or other entries follow inconsistent formats. See Microsoft’s Flash Fill instructions.
2. Keep headings visible with Freeze Panes
Freeze Panes keeps selected top rows and left columns on screen while you scroll. The selected cell determines what stays visible: Excel freezes the rows above it and the columns to its left.

- Click the cell immediately below the rows and immediately to the right of the columns you want to keep visible. To keep only the top row, select a cell in row 2; to keep only the first column, select a cell in column B.
- Choose View > Freeze Panes > Freeze Panes.
For example, select B2 to freeze the first row and first column. Microsoft’s Freeze Panes guide covers the feature for Microsoft 365 and Excel 2024, 2021, 2019 and 2016.
3. Move quickly through a block of data
In Excel for Windows, Ctrl+Arrow moves to the edge of the current data region in the direction of the arrow. This is useful for moving through a continuous block without repeatedly scrolling. Add Shift to extend the selection as you move—for example, Ctrl+Shift+Down selects toward the bottom edge.

Blank cells and gaps affect where Excel stops, so the destination may be the next edge or boundary rather than the last row you expected. Microsoft’s Excel keyboard shortcut guide lists the navigation keys.
4. Go to the beginning or end of the used worksheet
In Excel for Windows, press Ctrl+Home to move to the first worksheet cell. Press Ctrl+End to move to the last used cell, as Excel identifies it. That last cell can be beyond the visible data if the worksheet has formatting or content in distant cells.

5. Fill a range down or across
To repeat a value, formula or formatting across a range, select the source cell along with the cells to fill. Then use:
- Ctrl+D to copy the top cell down through the selection.
- Ctrl+R to copy the leftmost cell across the selection.
For instance, select A2:A20 when A2 contains the entry to repeat, then press Ctrl+D. These commands copy the source cell’s contents and formatting. Confirm that the topmost or leftmost cell is the intended source before filling. Microsoft lists both commands in its shortcut reference.

6. Convert a range into an Excel table
Tables make a range easier to work with by adding structured table features such as filterable column headings. Select a cell in the data—or select the range—then press Ctrl+T in Excel for Windows. The Create Table dialog opens; check the proposed range and whether the data has headers, then confirm.
Microsoft’s shortcut guide also lists Ctrl+L for creating a table. If the selected range includes a header row, verify that Excel recognizes it as such in the dialog.

Shortcut and version notes
The keyboard shortcuts in this guide are identified for Windows. Microsoft’s shortcut reference uses a US keyboard layout; operating-system settings and other layouts may change key behavior. Mac, web and mobile versions may use different commands or offer different interfaces, so check the relevant Excel help if a shortcut does not work in your client. Microsoft’s cited Flash Fill and Freeze Panes documentation lists Microsoft 365 and Excel 2024, 2021, 2019 and 2016.
