To build a live list in Excel, enter a FILTER formula in a blank worksheet area. The formula returns matching rows in a separate, automatically updating result that can feed a report or other formulas. Use the table header’s filter buttons when you only need to hide nonmatching rows in place; they are useful for a different job.
Build a live list from an Excel table
Start with a table named Sales that has columns such as Region, Product, and Units. Put the criterion you want to match in a worksheet cell—for example, enter a region in H2—then place the formula in an empty cell outside the table:
=FILTER(Sales,Sales[Region]=H2,"")
This returns the table rows whose Region matches the value in H2. Change the value in H2 to update the result. The formula follows the table’s rows as records are added or removed, provided the table name and headings in the formula match your workbook. Microsoft describes FILTER as a function that returns data based on criteria you define: Microsoft’s FILTER function documentation.
The formula has the form FILTER(array, include, [if_empty]). The array is the data to return; include supplies TRUE or FALSE values identifying which rows or columns to return; and the optional if_empty value supplies a fallback when nothing matches. In the example, Sales is the data, Sales[Region]=H2 is the test, and "" displays a blank result if there are no matches. Without a fallback, a no-match result can produce #CALC! because Excel does not support an empty array.

Make room for the result
A dynamic-array formula places its results in neighboring worksheet cells, a behavior called spilling. Leave the intended output area clear: existing values or other obstructions can prevent the result from appearing. Enter the formula in the worksheet grid outside the table; spilled formulas are not supported inside Excel tables. See Microsoft’s guide to dynamic array formulas and spilled array behavior.
Return a distinct list or sort the matches
Combine dynamic-array functions when you want a concise list rather than every matching row. To return each region once and sort the results, use:

=SORT(UNIQUE(Sales[Region]))
UNIQUE removes duplicate values and SORT orders the returned list. Microsoft documents these functions at UNIQUE and SORT.

Here, -1 requests descending order. The array used for sorting must correspond in size and order to the rows being returned; use aligned source data for the filtered records and sort field. An error in FILTER’s include array can also cause the formula to return an error. See Microsoft’s SORTBY documentation.

Choose between a live list and filter buttons

Filter buttons are not obsolete: they are convenient when you want to temporarily view only selected rows in the source. Filters can be cleared to display all data again. One practical limitation is that Microsoft says the filter window shows only the first 10,000 unique entries, which can make it harder to locate a value in a very high-cardinality column. Microsoft’s reviewed function pages list Excel for Microsoft 365, Excel 2024, and Excel 2021 among the supported products; platform coverage varies by function page. If a formula is not recognized, check whether your Excel edition supports the function before rebuilding the workflow with older features. For expanding sources, an Excel table with structured references is preferable to fixed ranges; Microsoft explains table behavior in its Excel tables overview.
