TTL is asynchronous and does not delete subcollections, so it cannot by itself guarantee that an event and all its related data disappear at the same moment.
Choose what “expire” means for your app
There are two different outcomes to design for. User-facing expiration means an event is no longer shown or usable after its deadline. Data deletion means its Firestore document and related records are removed from storage. They need separate handling: an expired document can remain in Firestore until TTL processes it.
Decide the retention rule before configuring deletion. For example, a product might retain an event until a period after its end time, but the duration should come from your product and legal requirements—not from a default assumed by the database. Store the resulting deadline in a timestamp field such as expireAt.
Hide expired events at the intended time
Use expireAt in the app’s event queries or in the logic that controls event display and actions. That gives you a firm user-facing cutoff even though the document has not yet been deleted. If you only rely on TTL, an expired event may still appear in lookups and queries while it awaits deletion.

In FlutterFlow, build the relevant Firestore query or display/action conditions around the expiration timestamp. Check the resulting behavior in the app for both active and expired records; hiding an event in the interface does not delete its Firestore data.
Choose a Firestore cleanup approach
Firestore TTL suits timestamp-based retention where eventual deletion is acceptable. Use trusted backend cleanup when deletion must coordinate multiple records, handle descendants, or include other backend resources. The approaches can be combined: TTL can handle routine retention while backend logic performs supplementary cleanup.

Configure TTL for event documents
- Add the expiration field. When creating each event, write a Firestore timestamp such as
expireAt, calculated from the event’s end time and your chosen retention rule. Confirm that documents receive a valid timestamp. - Set the TTL policy for the event collection group. In Firestore, configure a TTL policy that names the timestamp field. A TTL policy applies to a collection group, not automatically to every related collection.
- Account for timestamp indexing at scale. Firebase notes that indexing a TTL timestamp field can contribute to hotspots at higher traffic rates. Consider a single-field index exemption where appropriate for your access patterns.
- Monitor behavior. Firebase provides TTL deletion-count and expiration-to-deletion-delay monitoring metrics. Use them to observe service behavior rather than treating expiration as an immediate delete.

Does Firestore TTL delete subcollections?
No. TTL deletion of an event document does not cascade into its subcollections. If an event has records such as events/{eventId}/attendees/{attendeeId}, the parent’s TTL policy does not remove those attendee documents.

For timestamp-based cleanup of child documents, put an expiration timestamp on them and configure a TTL policy for each relevant child collection group. Alternatively, have trusted backend cleanup explicitly enumerate and delete the descendants. FlutterFlow’s current subcollection documentation describes one supported nesting level; check its documentation and your project’s implementation before relying on a particular hierarchy.
Deleting a Firestore parent document is not proof that its descendants—or other related data—have been erased. Plan the cleanup for each collection group that stores event data.

Use Cloud Functions when cleanup needs coordination
FlutterFlow documents Cloud Functions support, and Firebase documents Firestore create, update, and delete triggers. A function can serve as a backend hook for supplementary cleanup, including when a Firestore deletion trigger runs after TTL deletes a document. But the function must contain the actual cleanup logic: enumerate the relevant descendants and delete them.
Trigger paths matter. A wildcard that matches only parent event documents does not automatically fire for writes or deletions inside subcollection documents. Design triggers for the document paths whose changes should invoke the function. FlutterFlow’s Firebase setup documentation says Cloud Functions deployment requires billing to be enabled and recommends updating Firestore security rules before deployment. Check the current Firebase connection instructions and your project settings. FlutterFlow also documents Firestore operations through Firestore Actions.
Handle uploaded files separately
Firestore TTL and Firestore triggers address Firestore documents; they do not establish automatic expiration of Firebase Storage objects. If events include photos, videos, or other uploads, implement and verify a separate object-cleanup mechanism. Do not treat deletion of the event document as evidence that its files have been erased.
Test expiration safely
- Use a nonproduction Firebase project and confirm the TTL policy is active for the intended collection group and timestamp field.
- Create test event and child documents with expiration timestamps in the past, then confirm expired events are hidden by the app’s query or display logic.
- Observe Firestore deletion over time rather than expecting an immediate result. Check the parent and every child collection group separately.
- Verify any Cloud Function triggers and explicit descendant cleanup against the paths and data types they are intended to cover.
- If events have uploaded files, verify their cleanup independently of Firestore document deletion.
TTL deletion is not transactional: documents with the same expiration time are not guaranteed to be deleted together, and deletion order is not guaranteed. Updating a document’s TTL timestamp before deletion can change whether and when it expires. If your requirement is strict timing or coordinated removal, use cleanup logic designed for that requirement instead of relying on TTL alone.
