Catch CSV import problems by validating the file in layers before writing to production: parse it with a CSV-aware parser, check its structure and headers against an explicit schema, validate each field’s meaning, then load the accepted rows into a staging destination and review rejects. A file that opens in a spreadsheet—or has the expected number of lines—can still shift values into the wrong columns or contain values the database interprets differently than intended.
Why CSV values land in the wrong columns
CSV is a text format with quoting rules, not simply a sequence of lines separated by commas. Under the common format described in RFC 4180, a field containing a comma or line break can be enclosed in double quotes, and a literal double quote inside a quoted field is represented by two double quotes. Splitting each physical line on commas can therefore turn one logical record into several rows or shift later values into unintended columns.
RFC 4180 is an informational description of a common CSV format, not a mandatory rule followed identically by every producer. Confirm the actual delimiter and quoting behavior of the file you receive, then configure your parser and database import to match it.
Validate the file before loading it
- Parse records with a CSV-aware parser. Do not use a simple comma split. A real parser handles quoted delimiters, embedded line breaks, and escaped quotes. Python’s standard-library
csvmodule provides CSV readers and writers; itshas_header(sample)function is only a heuristic, so do not rely on it as a production schema check. See the Python 3.14.7 CSV documentation. - Check structural rules. Verify the delimiter, quote and escape behavior, whether a header is expected, and whether every logical record has the expected number of fields. Flag malformed or unclosed quoting. RFC 4180 says records should have a consistent number of fields, but producers vary.
- Compare the header with a defined contract. Check column names, order, count, case, duplicates, missing fields, and unexpected fields. A header’s presence does not prove that the importer is mapping columns correctly.
- Validate field values against the data contract. Check required fields, types, date formats, allowed values, ranges, and domain rules. A syntactically valid record can still place a date in an identifier field or use a value the database should reject.
- Set encoding and empty-value conventions explicitly. Agree whether an empty field means null or an empty string, and configure the import accordingly. PostgreSQL’s
COPYsupports anENCODINGoption and documents different default meanings for unquoted and quoted empty CSV fields. - Load accepted records to staging. Compare input, accepted, and rejected record counts; inspect errors and verify database constraints before promoting data to production. Staging is an operational design recommendation, not a feature guaranteed by every import tool.
- Save a useful reject report. Record the file identifier, logical record number, column, rejected value or a safely redacted excerpt, and a plain-language reason. Use logical record numbers rather than only physical line numbers because a quoted field may span multiple lines.
Check headers and column mapping
For a repeatable import, define the expected columns as a schema rather than treating whatever appears in the first row as authoritative. A schema check can catch a renamed field, changed casing, reordered columns, a duplicate header, or a field that has appeared or disappeared.

The European Commission Interoperability Test Bed CSV validator checks a CSV file against a Table Schema and reports header findings including field-count differences, sequence mismatches, unknown or missing fields, case mismatches, and duplicate names. It offers REST, SOAP, and command-line interfaces. Its page reported version 1.13.0-SNAPSHOT at access. Review the service’s data-handling terms before submitting sensitive files: a general online validator may not meet your privacy requirements. See the European Commission CSV validator.
For PostgreSQL 18, COPY supports HEADER MATCH, which requires header names and order to match the table columns. Confirm available options against the major version actually deployed; do not assume the PostgreSQL 18 behavior applies to an older server. See the PostgreSQL 18 COPY documentation.

Make encoding and null behavior predictable
A blank-looking cell is not necessarily an empty string, and it is not necessarily null. PostgreSQL 18’s CSV mode treats an unquoted empty field as null by default, while a quoted empty field is a non-null empty string. The distinction can affect required columns, constraints, queries, and downstream application logic.
Document what the file producer means by empty, missing, and null values, then test representative records at the import boundary. Set the expected encoding and null options explicitly where the database import supports them. PostgreSQL’s COPY provides encoding, delimiter, and null-related options; check the documentation for your deployed major version.

Choose validation that fits the import
Hand-written checks, a standard-library parser, and a schema-validation tool solve different parts of the problem. Choose based on what must be checked and where the data is allowed to go; the cited documentation does not provide benchmark results comparing these approaches.

Use staging and rejects as a release gate
Keep validation separate from the act of changing production data. Import into a staging table or equivalent isolated destination, then reconcile how many logical records were read, accepted, and rejected. Review rejection reasons and database constraint failures before deciding whether the file is safe to promote.

A reject report should make errors actionable without unnecessarily exposing sensitive data. Include a stable file identifier and logical record number, identify the column, and explain the failed rule in plain language. If showing the original value would reveal personal or confidential information, redact it or include a safe excerpt instead.
