It may involve a person entering a form, a sensor recording a reading, an image being collected, or one system sending information to another. The phrase is used here as a practical explanation, not as a universally fixed industry-standard term.
What source data capture means
Capture is the point where information is first obtained or recorded from an originating source. The source might be a person, an observation, a document, a device, a specimen, or another information system. For example, recording a temperature from a sensor or entering a customer’s details from an intake form are both forms of capture.
Capture is one stage in a broader data lifecycle, not a synonym for every step that follows. The CDC describes lifecycle activities that include collection or generation, orchestration, storage, cleansing and integration, analysis and visualization, dissemination, and disposition. - Capture: obtain or record the information from its source.
- Ingestion: bring data into a system or platform. In some workflows ingestion happens alongside capture, but the terms are not necessarily identical.
- Processing: validate, clean, transform, or combine data for use.
- Storage and use: retain the data, analyze it, share it, or otherwise apply it.
The exact boundaries vary by organization and system. The useful distinction is that capture concerns acquiring the information; later lifecycle steps manage and prepare it.

Common ways to capture source data
No single method suits every source. CDC guidance recognizes collection or generation through imaging, paper, audio, electronic transmission, observation, or analysis of samples and specimens; APIs can also support transmission or access between applications and services. These options can be combined. A field team, for instance, might use a structured electronic form for required measurements and retain a short free-text note for relevant context.

How to choose a capture method
Start with the purpose and the data’s intended use, then assess the source and the conditions under which collection will happen. CDC field guidance recommends reviewing existing data types and systems, their timeliness and completeness, how readily processes can change, available equipment and staff, and known quality or availability problems before selecting an approach. - Source fit and interoperability: Can the approach reach the source reliably, and can the receiving system interpret the information?
- Timeliness: Is a periodic batch sufficient, or does the task need continuous or near-real-time collection?
- Completeness and validation: Can required information, valid ranges, and relevant rules be checked as data is captured?
- Context and fidelity: Will standardized fields preserve what matters, or are notes, images, or observations needed as well?
- Privacy and security: What identifying information is necessary, and how will it be protected during collection, access, and transfer?
- Operational effort: What staffing, equipment, setup, maintenance, and process changes will the approach require?
These are practical comparison dimensions drawn from the cited guidance, not an official CDC scoring tool. A faster or more automated route is not automatically better if it loses important context, cannot be maintained, or produces information the next system cannot use.

Designing for data quality
Good capture design makes errors easier to prevent or identify while preserving the information needed downstream. Where feasible, programmed checks can flag invalid dates, missing required fields, or values outside expected ranges. CDC field guidance recommends validity checks but notes that structured approaches do not eliminate errors. CDC field epidemiology manual: data collection.
Use structure where it helps
Standard fields and consistent formats can make records easier to compare, validate, and process. They are especially useful when people or systems need to produce the same kinds of data repeatedly.

Preserve context where fields fall short
A rigid form can omit details that matter in an unusual case. Free-text notes, observations, or source files may preserve that context, although they can be harder to compare or process automatically. Keep the structured data needed for reliable use and retain additional context when it serves a clear purpose.
Match checks to the work
Checks should reflect the cost of a mistake, the urgency of collection, and the limits of the source. A validation rule can catch a value that is impossible under known conditions, but it cannot establish that an otherwise plausible entry is true. Clear instructions, staff training, and review may still be necessary.

Privacy and stewardship begin at collection
Privacy is not only a storage concern: what is requested at capture determines what sensitive information enters the process. CDC’s Data Sharing and Collection Principles and Standards says, in the context of NCHHSTP-funded programs, “Programs should collect the minimum amount of personally identifiable information necessary to conduct public health activities.” The same CDC principles address privacy and security protections, respect for people and communities, and data-quality procedures. That statement applies to the specified CDC program context; it is not a universal legal requirement for every organization. Other settings should follow the laws, policies, and agreements that apply to them. As a practical design step, identify the legitimate purpose for each requested field, limit access appropriately, and protect data as it is collected and transferred.
Where capture fits in the data lifecycle
Capture should be planned with later management and use in mind. CDC’s lifecycle framing includes creation or receipt, management, use and sharing, archiving, and end-of-life disposition. Decisions made at collection time—such as field definitions, retained context, and access controls—can affect whether information remains interpretable and appropriately protected later.
