To find what is using space on a Windows 11 drive, start at Settings > System > Storage. The category breakdown shows whether space is going to apps, temporary files, system-reserved storage, or other content. For individual files, open a likely folder in File Explorer, switch to Details view, and sort by Size. Review items before deleting them; Windows’ cleanup suggestions are not a reason to remove unfamiliar system files.
1. Check what is using space in Storage settings
- Open Settings > System > Storage.
- Review the category breakdown, including installed apps, temporary files, and system-reserved storage.
- Select Cleanup recommendations to see suggested categories such as temporary files, large or unused files, cloud-synced files, and unused apps.
- Review the listed items and estimated space savings before selecting anything to remove.
Storage settings are the quickest first check because they help distinguish a drive filled by apps or Windows-managed data from one filled by personal files. The recommendations identify candidates; you decide what to clean up. Microsoft documents this view in Storage settings in Windows and Free up drive space in Windows.
2. Find the largest files in a specific folder
- Open File Explorer and navigate to a folder you want to inspect. Start with Downloads, Videos, Pictures, or Music; Microsoft identifies these as common places for large saved files.
- Select View > Details.
- Right-click an empty area in the file list and choose Sort by > Size.
- Inspect the names, sizes, and locations. If the smallest files appear first, reverse the sort direction.
This method sorts the contents of the folder you opened; it is not a single inventory of every file across the drive. Repeat it in other likely folders when needed. See Microsoft’s File Explorer guidance for this procedure.
3. Choose the right method for the job

4. Treat Windows Search as a secondary option
Windows Search can locate files in places it indexes, but it is not a comprehensive disk-usage view. Microsoft says Classic mode indexes common folders such as Documents, Pictures, Music, and the desktop by default; Enhanced covers user folders and files more broadly and may use more system resources. Microsoft notes that initial indexing can take up to a couple of hours. If you need to know which files are largest, Storage settings and File Explorer sorting are more direct. 5. Understand what Storage Sense can clean
Storage Sense is optional automation, not a large-file finder. Microsoft says it works on the system drive, usually C:, and lets you configure when items in the Recycle Bin or Downloads are removed. Downloads and cloud content are not managed unless you configure those settings. Before enabling automatic cleanup, inspect them so you do not remove downloads or change cloud-file availability unexpectedly.
Microsoft’s guidance for Windows 11 version 22H2 and later documents a default behavior in which eligible OneDrive cloud files unopened for more than 30 days may become online-only. Files marked Always keep on this device are exempt. An online-only file is not permanently deleted, but you need to download it again to use it offline. 6. Free space without losing files you want
- Move files to external storage: Microsoft suggests moving seldom-used personal files to an external drive or SD card. A portable external SSD is one possible destination, not a requirement. Files stored only on that device are unavailable when it is disconnected.
- Check the Recycle Bin: Deleting a file usually sends it there first. Empty the Recycle Bin if you want to reclaim the space occupied by those deleted files.
- Check cloud availability: Before removing a local copy or relying on an online-only file, confirm that it is available in the cloud and that you can download it when needed.
- Leave unfamiliar system files alone: Do not delete large files from Windows or Program Files just because they appear near the top of a size-sorted list. Use Storage settings or an appropriate app uninstaller instead.
Windows 11 navigation labels can vary slightly by release. If a label differs on your PC, look for the corresponding Storage or cleanup option rather than removing files from an unfamiliar location.
