A good live chat welcome message tells visitors what help is available, makes the next step easy, and sets an expectation the team can actually meet. The right wording depends on where it appears: a chat launcher, an invitation that opens proactively, a human or AI first reply, or an after-hours notice each has a different job.

Choose the message for the chat moment

“Welcome message” can describe several separate pieces of chat copy. Do not use one long greeting for all of them: a launcher label should describe what opens, while a conversational greeting should explain what the visitor can do next.

Offline or delayed reply Set a truthful response expectation and give the visitor a practical next step. “Our team is offline until [day/time and time zone]. Leave your question and an email address, and we’ll reply when we’re back.”

These are adaptable templates, not wording proven to outperform alternatives. Replace bracketed details only with accurate information.

Examples for common live chat situations

General support

“Hi! Welcome to [Company]. What can I help you with today?” This is a useful default when you do not know what the visitor needs. It is friendly, brief, and leaves room for the visitor to describe the issue.

Sales or pricing questions

“Looking at plans? Tell me what you need to do and I can help compare the options.” Use this on a pricing page only if the team can give an accurate comparison. Keep the offer helpful rather than steering every visitor toward a purchase.

Product or sizing help

“Need help with sizing or delivery? Which item are you considering?” A page-relevant question can reduce friction when the visitor is actually viewing a product. Do not infer a concern that the page or conversation does not establish.

Returning visitors

“Welcome back, [Name]. Would you like to pick up where we left off, or is there something new I can help with?” Use this only when the name and prior conversation are reliably available and appropriate to reference. If not, use a general greeting rather than pretending to remember the person.

When the team is busy

“Thanks for your message. We’re helping other customers right now; our current reply estimate is [realistic interval].” Include an interval only when it reflects current operations. If the chat is not being answered live, say so plainly rather than implying an agent is about to join.

After hours

“Our team is offline until [day/time and time zone]. Leave your question and an email address, and we’ll reply when we’re back. You can also check [relevant help resource].” Give a specific return window the team can meet, including the time zone. An alternative resource is useful when it addresses the likely question.

Automated assistant

“I’m the automated assistant. I can help with [supported topics]; if I can’t resolve your question, I’ll explain how to reach a person.” Name the assistant’s automated role and state its actual scope. If escalation is available, explain how it works; do not promise a human handoff that the workflow cannot provide.

Short launcher labels

“Get support,” “Ask a question,” and “Chat with us” are concise options. Choose the label that accurately describes what opens. A launcher is a control, not the place for a full service-hours explanation or multi-question greeting.

Write a greeting that is useful and honest

Use a simple three-part pattern

  1. Scope: Say what the chat can help with in familiar, direct words.
  2. One next step: Ask one question or make one invitation that moves the visitor’s task forward.
  3. Expectation: When a response will not be immediate, say when or how the visitor will hear back.

For a staffed support chat, that might be: “Hi! I can help with orders and returns. What do you need help with?” For an offline chat, add the real return window and a way to leave a reply address. Keep the message short enough to scan; add details only when they change what the visitor should do.

Ask one question, not a questionnaire

Start with the most useful question and read the visitor’s message before asking for more. If the customer has already supplied an order number or explained what they tried, do not make them repeat it. Zendesk’s agent guidance also emphasizes reading carefully and avoiding repeated questions; that is sound service practice, not a reason to front-load every possible intake question.

Personalize only with reliable context

A known name or the page a visitor is actually viewing can make a greeting more relevant. Personalization should reflect information the system genuinely has and is appropriate to use. When intent or history is uncertain, a neutral greeting is better than a confident but incorrect assumption.

Make the invitation low-pressure

A proactive prompt should feel like an offer, not an interruption. Tie it to a plausible task, make it easy to ignore, and avoid language that implies the visitor must respond. A triggered message is most defensible when its timing and context make the help relevant; a generic message shown at the wrong moment can disrupt browsing.

Be transparent about who is replying

Distinguish a human agent from an automated assistant. Tell visitors what the assistant can handle and what will happen if it cannot resolve the issue. For a human opening, introduce the agent naturally and respond to the actual request rather than repeating a canned greeting that ignores it.

Give realistic timing and updates

Do not promise a response interval simply because it sounds reassuring. Use a current, operationally realistic estimate, and revise the message when staffing or availability changes. For a complex case that needs more time or another channel, explain the status and the reason before transferring the customer.

Choose timing and tone for the situation

Proactive, triggered invitation The page or visitor action gives a credible reason to offer help. Too-frequent or poorly timed prompts can interrupt browsing; let visitors decline by simply continuing.
General wording The visitor’s intent or history is unknown. A generic message should still make clear what support can do.
Context-specific wording The current page or stated task is known and relevant. Avoid pretending to know intent from weak signals.
Live availability An agent is actually monitoring and able to respond. Do not suggest an immediate reply if the team is occupied or unavailable.
Asynchronous or offline message The visitor can leave a message for a later response. State the next response window and any information needed to follow up.
Concise invitation The visitor needs one obvious next action. Do not omit a necessary disclosure about automation or delay.
More detailed explanation The visitor needs to understand limitations, timing, or a handoff. Keep explanatory copy focused on the decision the visitor must make.

Configure and maintain the message

Live chat platforms commonly provide places to configure launcher text, greeting scripts, triggers, hours, and personalization. Exact labels and capabilities vary by product, so the following is a content workflow rather than a universal software menu path.

  1. Inventory each surface. Identify the closed launcher, open-widget greeting, proactive prompts, human replies, automated openings, and offline notices. Assign separate copy where their functions differ.
  2. Write the default first. Create a general greeting that remains accurate without visitor history or page-specific details.
  3. Add context-specific variants sparingly. Create variants for clear tasks such as pricing or product questions, and use them only where the context is reliable.
  4. Set operational facts. Confirm service hours, time zone, response window, supported topics, and escalation route with the people responsible for delivering them.
  5. Match triggers to relevance. If using proactive prompts, choose a genuine visitor action or page context and avoid repeated interruptions.
  6. Review the full journey. Check the launcher, opening message, automated or human reply, and offline fallback together so the visitor is not given conflicting expectations.
  7. Update when operations change. Revise hours, response estimates, supported topics, and handoff instructions whenever the underlying service changes.

Evaluate message variants without assuming a universal winner

There is no established universal conversion or satisfaction lift for a particular welcome-message template. Compare variants in the site’s own context, changing one meaningful element at a time where practical. Judge whether the message is relevant, clear, appropriately toned, honest about response expectations, non-intrusive, and easy to act on. A click or chat start alone does not establish that the greeting helped; consider whether it led to a resolved question and a useful customer experience.

Research on more than 170,000 online customer-service chat sessions found that conversational sentiment was the most predictive factor of perceived satisfaction, while session length, time of day, and response time had weaker correlations. The study analyzed chat sessions rather than testing greeting templates, so it supports attention to the quality of the conversation—not a claim that a particular opening line causes better outcomes. Zendesk’s 2025 live-chat guidance says satisfaction drops after 30 seconds of waiting and cites 2–3 concurrent chats based on its benchmark survey. Those are vendor-specific operational guidance and benchmark findings, not universal thresholds for every support team.
