For a one-time analysis, start with your help desk’s native report or dataset export. Use a scheduled export when the report must refresh regularly, and an API when you need a repeatable pipeline or custom transformations. Before calculating trends, confirm which records and fields are included, how dates and time zones are handled, and whether filters, row limits, or file-retention windows affect the result.

Choose an export route that fits the job

There is no universal help desk export format. Native account exports, report downloads, analytics datasets, scheduled exports, and APIs can expose different records and fields. Choose based on the dataset you need and whether the work is one-time or recurring.

In any route, compare field completeness, export size, permissions, refresh cadence, timestamp conventions, and file retention. CSV versus JSON alone does not tell you whether an export suits your analysis.

Define the analysis before exporting

Start with the decision the analysis should support. Examples include comparing turnaround times across groups, tracking ticket volume over a period, or examining SLA performance. These are possible questions, not a universal set of help desk KPIs.

  • Population: Which tickets, groups, or customers are in scope?
  • Period: What start and end dates apply, and which time zone governs them?
  • Measure: What event or duration counts as the outcome? Record the definition and denominator.
  • Fields: Which identifiers, timestamps, statuses, group fields, or related requester and company attributes are needed?
  • Refresh: Is this a one-time snapshot, or must the same analysis run again?

Writing these down first helps prevent a common mistake: exporting a convenient report and treating its available columns or filters as if they fully define the question.

Export and preserve a traceable dataset

  1. Select the dataset and date range. Choose ticket, SLA, update-history, or report data deliberately. Record the selected range and any report-level, page-level, and widget-level filters. Freshdesk warns that conflicting date filters across these levels can produce unexpected export results.
  2. Check fields and exclusions. Confirm whether comments, descriptions, custom fields, deleted tickets, and related requester or company data are included. Do not assume one export format contains everything another does.
  3. Choose a delivery method. Use a native download for a small, bounded task; a scheduled export for repeated reporting; or an API for custom transformations and external pipelines. Check that your account permissions and plan support the selected route.
  4. Save the raw file and its context. Keep an unchanged copy alongside the export time, selected period, time zone, fields, filters, and route. This makes it possible to explain or reproduce the analysis later.
  5. Validate the extract before calculating. Check row counts, duplicate or missing IDs, date ranges, and whether the file contains a full dataset or only chart-level results. Freshdesk distinguishes graph data from a widget’s underlying data; those answer different questions.
  6. Analyze comparable populations. For comparisons across groups or periods, apply a consistent population, metric definition, and set of filters. State the denominator and exclusions with the results.

Platform-specific export details

Zendesk: account exports and Explore

Zendesk account exports can cover tickets, users, or organizations in JSON, CSV, or XML. Data exports are not enabled by default: the account owner must request enablement. The documented account export tools are unavailable on Team plans, but Zendesk says customers on all plans can use its REST API to export data. Zendesk account export documentation.

  • Choose JSON for large accounts: Zendesk recommends JSON when an account has more than 200,000 tickets. Accounts with more than one million tickets are downloaded in 31-day increments. JSON is newline-delimited JSON (NDJSON), which can be streamed record by record.
  • Know the JSON caveat: If a ticket is larger than 1 MB, its comments can be omitted and an error file included.
  • Do not treat CSV as a complete ticket archive: Zendesk’s CSV excludes deleted tickets, comments, and descriptions. Date and time values use the account’s default time zone. The export date range is based on a system-generated timestamp, and records updated within six minutes of the request are not included.
  • Use Explore for analytics datasets: Explore can export datasets including Support – Tickets, Support – SLAs, and Support – Updates History to CSV, once or on a recurring schedule. An Explore admin must configure exports. Files are automatically deleted seven days after they run unless downloaded and saved elsewhere. Zendesk Explore export documentation.

Intercom: ticket datasets, reports, and APIs

Intercom’s ticket dataset export lets an authorized user select attributes and filters. A browser CSV download is limited to 10,000 rows; larger exports are emailed and may take up to an hour. The export page states that data is available for up to two years and identifies permissions required for dataset and CSV exports. Intercom export documentation.

For other workflows, Intercom documents ticket extraction through its Tickets API, individual ticket exports as text or PDF, and a Reporting Data Export API for replicating reporting metrics in external tools. The API route is more appropriate when you need a repeatable integration than when you simply need a one-off file. Freshdesk Analytics: widgets and scheduled exports

Freshdesk describes using ticket data for dashboards, turnaround comparisons across groups, KPI measurement, and BI tools. Exported data can include related requester Contact and Company fields. Widgets can be emailed in CSV, PDF, or XLSX; scheduled exports support daily, weekly, or monthly frequency, with field and filter selection. An API link can return the latest export file, which Freshdesk documents as available for 30 days from creation. Freshdesk Analytics export documentation.

Before exporting a widget, check date filters at the widget, page, and report levels. Choose graph data when you need the trend visualization’s data, or the widget’s underlying data when you need its underlying dataset; they are not interchangeable by default.

Why export totals may differ from dashboard totals

A mismatch does not necessarily mean either number is wrong. First compare what each view counts, the filters it applies, the event or message types included, and the timestamp used to assign records to a period.

Intercom documents a specific example: a CSV can include all message types while a chart filters to customer-initiated messages. The CSV may also use a message-thread timestamp where the dashboard chart uses a conversation timestamp. Different inclusion rules or timestamps can therefore produce different totals for the same apparent period. Intercom report export documentation.

  • Compare the export’s filters with the dashboard’s report, page, and widget filters.
  • Confirm whether the metric counts tickets, conversations, messages, updates, or another event.
  • Check whether the time field is ticket creation, update, conversation, message-thread, or another timestamp.
  • Align the time zone and date boundaries before comparing periods.
  • Check whether the export is a full dataset, a filtered extract, or graph data.

Analyze the data without overstating what it says

Once the extract passes basic checks, group records using the question’s defined population and time field. For a turnaround comparison, for example, use the same start and end events and comparable ticket groups; for volume over time, define which timestamp places each record into a period. Keep exclusions visible rather than silently dropping records with missing values.

When combining support exports with other operational sources in a BI tool, preserve the source IDs and the definitions of each measure. Zendesk Explore supports combining its exports with other data sources, and Freshdesk describes BI use, but neither establishes a universal metric specification. The method and denominator belong in the report so readers can interpret the comparison.

Does a CSV export include every ticket field?

Not necessarily. For example, Zendesk’s account CSV excludes deleted tickets, comments, and descriptions. Check the specific export’s documented fields and exclusions before treating it as complete.
