If your passwords are written on sticky notes, you can move to a password manager without changing every account at once. Choose a manager that fits your devices, secure its vault, then replace old passwords as you sign in to each account.
Why replace password notes?
Using a different, long, random password for every account makes passwords harder to remember. A password manager is designed to generate and remember them for you. CISA cautions that plaintext password notes—whether physical or digital—can be exposed if an attacker gains access to the device or information where they are kept. That does not mean every paper note has the same level of risk; the practical concern is that anyone who finds an exposed note can read the passwords on it.
A password manager can make unique passwords easier to use, but it does not prevent phishing, a compromised device, or every form of account takeover. Protect the vault and important accounts with multifactor authentication (MFA) where available, and keep account recovery options in mind.
Step 1: Choose a manager that fits your devices
Before moving passwords, check that the manager works on the computers, phones, tablets, and browsers you actually use. CISA recommends weighing the product’s security features, the developer’s reputation, storage approach, and recovery options. There is no universally best choice: cloud and local storage involve different conveniences and responsibilities.

CISA’s December 18, 2024 mobile-communications guidance names Apple Passwords, LastPass, 1Password, Google Password Manager, Dashlane, Keeper, and Proton Pass as examples in the password-manager category. That list is not a ranking or endorsement; verify a product’s current capabilities and compatibility before choosing it.

Step 2: Set up and protect the vault
Create a strong, unique vault password (sometimes called a master password). It should not be one you use for another account. CISA’s mobile guidance recommends a long, unique, random passphrase to protect the vault password. Decide how you will recover access before relying on the manager for all your logins.
Enable MFA for the password manager if it offers it. An authenticator app or a compatible security key may provide a second factor; a key is optional, and not every manager accepts every key. MFA on the manager protects access to the vault. It is separate from MFA on the websites and apps whose passwords you store, so turn on MFA for important accounts as well when available. The FTC explains that a second factor can help stop someone who has obtained your password but does not have that factor.

Step 3: Replace old passwords as you go
You do not need to migrate every login in one sitting. Install the manager on the devices you use, then update accounts as you sign in. Use its generator to create a long, random, unique password for each account, and save it in the vault.
- Start with your email account. Email is especially important because password-reset links often go there. Use a unique password and enable MFA if available.
- Update other important accounts next. Prioritize accounts that could expose sensitive information or help someone reset other passwords, such as financial or primary shopping accounts.
- Continue with remaining logins. Replace reused or weak passwords as you encounter each account. If a service reports that your password was compromised, change it promptly—and change the same reused password anywhere else you used it.
There is no need to change every password on an arbitrary schedule. The goal is to replace weak or reused credentials with unique ones, and to act promptly when a service reports a compromise.

Keep the limits in view
A password manager reduces the burden of remembering many strong, unique passwords; it is not a complete security system. Keep your devices protected, be alert to phishing, use MFA on important accounts where available, and make sure you understand both vault and account recovery. Those habits complement the manager rather than being replaced by it.
