The best customer service software for analytics and reporting depends on the decisions your team needs to make: Zendesk Explore offers prebuilt dashboards alongside report-building options; Intercom describes reporting across human and AI support, including conversation topics and data exports; Freshdesk’s natural-language Conversational Insights is an Enterprise feature with setup prerequisites; and Salesforce describes service analytics alongside separately priced add-ons. These are different reporting approaches, not a tested overall ranking. The available product information does not establish an independent winner or equal-plan costs across vendors.
Use the comparison below to narrow the shortlist, then ask each vendor to demonstrate the same workflows with your data. What customer service analytics should answer
Start with management questions, not the word “analytics” on a feature page. Reporting is useful when the measures, filters, and underlying records match decisions your team actually makes.

- Demand and coverage: How many conversations or cases arrive, through which channels, and when? Can managers see backlog and workload by team or channel?
- Speed and resolution: How are first response and resolution trends changing by team? Confirm how each product defines the measures before comparing values across systems.
- Customer experience: Is CSAT moving, and can a manager inspect the conversations behind low scores?
- Contact reasons: Can the system surface common issues or topics, and can staff validate the categories against actual conversations?
- Automation contribution: Can reports separate AI-agent activity from human support and show what happened when work moved between them?
- Distribution and analysis outside the help desk: Can executives and team leads have suitable view or edit access? Can analysts download or connect data to a warehouse or visualization tool?
Before comparing reported performance, check whether channels, tags, custom fields, teams, and source records are configured consistently. Incomplete or inconsistently categorized support data can make a polished chart misleading.
1. Zendesk Explore: prebuilt reporting plus configurable reports
Zendesk Explore is worth considering when a team wants to start with ready-made dashboards and has a need to shape reports around its own questions. Zendesk Help organizes Explore around dashboards, reports, and datasets. Its documentation describes prebuilt dashboards for product metrics and agent activity. Reports can be customized and added to dashboards, and results commonly appear as charts or tables.
How its reporting model works
A dataset groups metrics and attributes drawn from Zendesk products. Zendesk Help gives ticket or phone-call counts as metric examples and agent name or ticket channel as qualitative attribute examples. That structure matters: a report is only as useful as the products and fields feeding the dataset, and the available documentation does not establish every customer’s data refresh cadence or product coverage.
Dashboard permissions depend on the Explore plan. Depending on the plan, customers may use prebuilt dashboards, make editable copies, or create new dashboards. Do not assume that every tier permits all three actions.

Explore is a plausible fit when out-of-the-box views are useful but managers also need custom reports. During a demonstration, ask which Explore plan enables the exact dashboard action you need, which Zendesk products contribute data to each dataset, and how often those records refresh.
2. Intercom reporting: human and AI support, with export options
Intercom’s reporting materials emphasize a joined view of human and AI support measures. The product page describes support volume distribution, resolution rate, response time, CSAT, and teammate performance trends. It also describes an AI-generated conversation topics report intended to track tags, peak activity, and common issues.
Custom views, filters, and comparisons
Intercom describes up to ten chart types, custom report layouts, custom charts and targets, advanced filters using custom attributes, chart drill-in, date and period filters, and comparisons across periods. Together, these features address different needs: a target can support performance monitoring, while drill-in and filtering can help investigate a change rather than merely display it.
Exports and access
The feature page says users can download CSV files or use bulk API access to connect to data warehouses and visualization tools. It describes access levels from editing to view-only. Confirm that the specific reports, export route, and permissions are available in the plan and account configuration being quoted; the vendor feature description is not an independent assessment of usability or implementation effort.

3. Freshdesk and Freshdesk Omni: Conversational Insights for eligible Enterprise customers
Freshdesk Support documentation says Conversational Insights became generally available on June 1, 2026 for customers on Freshdesk Enterprise or Freshdesk Omni Enterprise. Freshdesk describes the feature as using natural language to analyze helpdesk data, accept follow-up questions, and generate charts for Analytics reports. It is an Enterprise-plan capability in the cited documentation, not an entry-plan feature.
Prerequisites and limits
Using the feature requires an eligible Enterprise plan, Freddy AI Insights enabled, administrator privileges to enable Freddy AI features, and complete, accurately configured helpdesk data. Make a short list of reports that will be used in regular operating reviews, then distinguish the functions each report needs. A prebuilt dashboard may be sufficient for monitoring; investigation may require filters, custom attributes, drill-in, or period comparisons. AI-versus-human segmentation and automatically surfaced topics are separate capabilities and should be demonstrated explicitly.
Run the same five demonstrations with every finalist
- Weekly volume and backlog by channel: Ask for a view of weekly incoming work and backlog split by channel. Confirm which channels and records are included, how backlog is defined, and whether a manager can filter by team.
- First response and resolution by team: Request trends by team over the same period. Ask the vendor to explain the precise definitions and exclusions for each measure rather than compare labels alone.
- CSAT movement and low-score investigation: Show a change in CSAT, then drill into the low-score records or conversations that contributed to it. Verify that the reviewer’s role permits access to the underlying data.
- Common contact topics: Ask for common issues or an equivalent categorization analysis. If the product surfaces topics automatically, ask how staff can inspect or validate the result against real conversations.
- Data export to BI: Export the underlying records or report, or demonstrate the connection to the organization’s BI environment. Confirm fields, format, permissions, and any required API or plan access.
Use representative data and the same time range, roles, and questions for each vendor. Record what each demonstration excludes, how measures are defined, how quickly data refreshes, which plan is required, and what administrators must configure. This is an evaluation method, not a claim that these products have been tested here.

Check procurement and implementation together
- Put the required reports and dashboard actions in the quote discussion, not just the product name. For Zendesk, dashboard editing and creation vary by Explore plan; for Freshdesk Conversational Insights, Enterprise eligibility and Freddy AI prerequisites apply.
- Ask whether the quoted amount is a base subscription, add-on, or usage-based unit. Salesforce’s listed figures illustrate why this distinction matters; its add-on amounts are not an all-in Service Cloud price.
- Settle annual billing, pricing unit, usage or response limits, required add-ons, and quote date in writing. Treat the October 2, 2026 Zendesk comparison-guide price as a time-specific vendor figure.

Is customer service analytics the same as a dashboard?
No. A dashboard is one way to display information. Can these platforms’ reported response or resolution numbers be compared directly?
