Customer service chatbots work best on tasks with a clear answer or a defined workflow: answering policy questions, checking an order, guiding a return, booking an appointment, or collecting details before routing a case. The key distinction is that general guidance can come from maintained help content, while a customer-specific answer or action requires access to current business data and the workflow that performs it. For complicated, unsupported, or sensitive requests, the bot should make it easy to reach a person.
Start with the right kind of chatbot task
Before automating a support request, decide whether the bot is giving information, looking up a live record, or taking an action. Those are different capabilities. An answer based on an approved policy page does not prove that a particular customer is eligible for a return; explaining how to reschedule does not book a new appointment.

Ideas for answering common questions
1. Answer frequently asked questions
Use a chatbot to answer repeat questions about business hours, shipping windows, pricing, product or service details, and policies. The bot should draw from content the business has approved, not improvise from outdated or contradictory pages. A useful answer is direct, scoped to the question, and links or points to the relevant next step—such as the returns page or the page explaining delivery options.

Assign an owner to keep the source content current when policies, prices, hours, or product details change. If the approved content does not answer the question, the bot should say so and offer an appropriate route to a person rather than filling the gap with a guess.
2. Explain policies without pretending to approve an exception
A customer asking “What’s your return policy?” can receive the general policy and instructions for starting a return. That is different from determining whether a specific purchase qualifies, whether an exception applies, or whether a refund has been issued. The latter requires access to the relevant order and policy workflow. The bot should state what it can confirm and avoid promising an outcome based only on a general policy answer.
Keep the explanation useful: identify the applicable policy, collect any information needed for the next step, and either route the customer to the documented process or hand the case to an agent. 3. Check order and delivery status
“Where is my order?” is a useful chatbot task when the bot can securely identify the customer and retrieve current order and shipment records. It can then return the available status or tracking path. A static FAQ can explain typical shipping windows, but it cannot tell a customer where a particular parcel is. IBM uses this question as an example of an e-commerce chatbot interaction in its e-commerce chatbot guide.

Plan for cases where the record is unavailable, the shipment is delayed, or the customer cannot be authenticated. Do not have the bot invent a delivery estimate or expose order details before the identity and permission checks required by the business.
4. Guide returns and exchanges
A return flow can explain the policy, ask for the order details needed to proceed, and check eligibility if the connected system supports that check. Depending on the workflow, the bot may then initiate a return or send the customer to the documented next step. Make the boundary clear: policy guidance alone is not an eligibility decision, and neither is proof that a return has been approved.
When a case falls outside the rules—for example, the relevant order cannot be found or the customer disputes the result—preserve the information already collected and route it to an agent who can review it.
5. Help with account access and routine account changes
A bot can explain password-reset steps and guide supported account changes. For customer-specific information or changes, it must follow the business’s authentication and permission checks before revealing or modifying account data. If the requested change is unsupported, or the customer cannot complete the required verification, give a clear human-support route rather than asking for sensitive details the bot cannot safely use.

6. Schedule, confirm, reschedule, or cancel appointments
A chatbot can answer scheduling questions from maintained content. To show real availability or book, confirm, reschedule, or cancel an appointment, it needs a connection to the scheduling system and a workflow that performs the requested operation. The customer should receive a clear confirmation only after the system accepts the change. If no suitable slot is available or the booking cannot be changed automatically, route the request to the scheduling team.

7. Walk customers through common troubleshooting
For known issues, offer a short, ordered set of steps and ask for relevant context, such as the product involved, the error shown, or what the customer has already tried. Keep the flow tied to supported troubleshooting guidance. If the symptoms do not match a known path, the suggested steps fail, or the issue could have serious consequences, stop repeating generic instructions and connect the customer to technical support with the collected context.
8. Triage requests and route them to the right team
A bot can identify the general intent, collect the details the receiving team needs, and route the conversation—for example, to billing, technical support, or order assistance. Good triage asks for only the information needed for that next step. At handoff, pass along the customer’s answers and the conversation context so the customer does not have to start from the beginning.
Keep a visible route to a person for complex, unsupported, or sensitive cases. The handoff itself is part of the service: tell the customer what will happen next instead of leaving them in a loop that keeps offering irrelevant answers. 9. Collect feedback or send service updates
After a relevant interaction, a bot can ask for feedback in context. Keep the request brief and make it clear how a customer can raise an unresolved issue rather than treating a rating as a substitute for support.
A bot can also send proactive updates about known delays or outages when the business has current service information and a suitable way to reach affected customers. Keep messages factual and tied to that live information. If the status changes, the update process should reflect it rather than continuing to repeat stale notices.
What chatbot-use figures do—and do not—show
Zoom’s 2025 statistics roundup attributes several consumer chatbot-use categories to Gartner: returns and cancellations, 58%; ordering and purchasing, 52%; account information, 43%; payments and transactions, 40%; feedback, 38%; troubleshooting, 36%; order-status checks, 26%; and complaints, 25%. These percentages are reported by Zoom as consumer use across listed categories; they are not resolution rates and do not establish that every request in a category is suitable for automation. - Maintain the source of truth. Keep help content approved and current, and make clear who updates it when policies or product information change.
- Connect live data for live answers. Order status, customer account details, eligibility, inventory, and appointment availability cannot be established from a static answer alone.
- Separate guidance from action. State whether the bot is explaining a process, checking a record, or actually initiating a transaction. Confirm an action only after the connected workflow succeeds.
- Protect customer information. Apply the business’s authentication and permission checks before retrieving or changing personal records.
- Design the handoff in advance. Define which cases go to people, which team receives them, what context is transferred, and what the customer sees while waiting.
- Measure outcomes, not just conversations. Track whether requests are resolved accurately, whether customers are satisfied, and whether escalation works. Conversation volume alone does not show that the bot solved the problem.
- Support the channels and languages customers use. Choose the channels and language coverage to match the service operation, and make sure the bot’s answers and handoff process work there.

Frequently Asked Questions
Which customer service chatbot idea is simplest to start with?
Frequently asked questions based on a small, approved set of current help content are a straightforward starting point because they do not require customer-specific records. Keep an escalation path for questions the content does not answer.
Can a chatbot answer “Where is my order?” without an order-system connection?
It can explain where customers usually find tracking information, but it cannot reliably retrieve a particular customer’s current order or shipment status without access to the relevant records and appropriate identity checks.
Should a chatbot handle complaints?
It can collect the issue and route it, but a complaint that is sensitive, disputed, complex, or unresolved should have a clear path to a person. The bot should transfer the context it has collected.
How can a business tell whether a chatbot is helping?
