Recommended Free Tools
For advanced help desk reporting, Zendesk Explore, Freshdesk, and Intercom each document ways to build custom reports, but they differ in how much control they describe over dashboards, data exploration, and access. Zendesk stands out for its dataset model and report collaboration; Intercom documents the most detailed set of chart, filter, time-period, and drill-in controls; Freshdesk offers custom reports built from selected metrics, filters, and dimensions, with the New Report option listed from Pro onward. None is a universal winner: the right choice depends on the questions your team needs to answer, the data those questions require, and the plan and product version you use.
Help desk software for advanced reporting: at a glance
This comparison focuses on reporting capabilities established in the vendors’ product and help documentation. The ordering below is a practical shortlist, not a benchmark or a claim that one tool is best for every team. The reviewed documentation does not establish current prices or comparative ease of use.

Current prices are not stated in the vendor reporting documentation covered here. Confirm the plan names and entitlements that apply to your account before budgeting.
How to evaluate reporting depth
A reporting tool is useful only if its data and controls match the operational question. Before comparing dashboards, write down the decisions your reports need to support—for example, whether ticket volume is rising, which sources drive unresolved work, or how performance changes by team or agent.
#1 Best Overall
- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.

- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Check the data model against the question
Identify the entity, measure, and breakdown you need. A question about ticket resolution requires a relevant resolution measure; comparing performance by source requires a source attribute or dimension. Zendesk explicitly organizes reports around datasets, metrics, and attributes. Intercom documents custom reports around conversations and tickets, while warning that not every contact-profile attribute can be used as a filter or breakdown. Freshdesk describes choosing metrics, filters, and dimensions, with examples covering ticket source, resolution status, and agent distribution.
Separate report customization from dashboard customization
Building a chart and arranging a shared dashboard are related but distinct capabilities. Zendesk documents both custom reports and plan-gated custom dashboards. Freshdesk documents custom reports. Intercom describes configurable report layouts and custom charts. If managers need a single landing page combining several reports, check dashboard eligibility separately from the ability to create a report.
Test the path from summary to explanation
A top-line number rarely explains why a service metric changed. Check whether the product lets analysts adjust a date range, segment results, compare periods, or drill from a chart into underlying records. Intercom explicitly documents filters, time comparisons, custom time intervals, and chart drill-in. Zendesk and Freshdesk documentation cited here establishes report-building and sharing features, but does not provide an equivalent level of detail about drill-in behavior.

Include permissions in the evaluation
Reporting access affects who can create, edit, view, and distribute information. Zendesk documents Explore roles and report sharing; Intercom documents report permissions. The Freshdesk reporting article covered here does not establish comparable report-level permission details, so avoid assuming that its controls match the other products.

Zendesk positions Explore as its reporting and analytics product. Teams can use prebuilt reports or create custom ones. Its reporting model is based on datasets, each containing metrics and attributes; in practical terms, metrics measure activity and attributes provide ways to segment or describe it. That structure can help analysts understand what data a report draws on and how to shape it around a question.
What it can do
- Start with prebuilt reports or build custom reports using Explore datasets.
- Use prebuilt dashboards covering support, messaging, knowledge, agent productivity, queues, voice, and AI-related views.
- Share reports and collaborate with other users; Zendesk also documents Explore roles.
- Build custom dashboards by adding reports, filters, and widgets, then customize and share the dashboard.
Plan eligibility and limitations
Zendesk’s dashboard documentation says prebuilt dashboards are available across Explore versions, although editability depends on the plan. Custom dashboards require Explore Professional or Enterprise. The cited documentation does not state current prices, and it does not establish that every data field a particular team needs is available in every dataset. Check the relevant dataset and plan entitlement for your account before designing a reporting workflow.

Who should choose it
Explore is a strong candidate when the team values a documented dataset-and-metric structure, needs to share reports, and wants custom dashboards that bring multiple views together. Its plan distinction matters if dashboard construction—not just custom reports—is central to the project.
2. Intercom: best fit for interactive conversation and ticket analysis
Intercom documents custom reports with configurable layouts and a broad set of chart controls. Teams can begin with chart templates or build charts, select metrics and aggregations, set date ranges or custom time intervals, apply filters, and manage report permissions. Its product page also describes custom charts with targets, custom-attribute filters, chart drill-in, and comparisons across time periods.

Pick the symptom - the matching free tool is one click away.
What it can do
- Arrange reports using configurable layouts, templates, and custom charts.
- Explore data with filters, aggregations, date ranges, custom intervals, and comparisons between time periods.
- Drill into a chart to investigate its underlying data.
- Control report access with documented permissions.
Plan eligibility and limitations
Intercom’s help documentation places custom reports on Advanced or Expert plans. Its custom reports center on conversations and tickets; the documentation specifically cautions that not every contact-profile attribute is available as a filter or breakdown. If a report depends on a particular profile field, verify that field’s availability in the reporting model rather than assuming it can be used.

Who should choose it
Intercom is a strong candidate for teams whose reporting questions center on conversations or tickets and who need interactive exploration—especially chart drill-in, custom intervals, or period comparisons. Its described feature set is detailed, but it does not establish that every contact attribute or other business data source is reportable.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.3. Freshdesk: best fit for reports built from chosen metrics and dimensions
Freshdesk’s custom reporting article describes reports assembled by selecting metrics, filters, and dimensions. Its examples include analyzing ticket source, resolution status, and agent distribution, which illustrates how teams can combine a measure with useful ways to segment ticket work.
What it can do
- Create a custom report by selecting metrics, filters, and dimensions.
- Use documented examples such as ticket source, resolution status, and agent distribution to shape report questions.
Plan eligibility and product-version qualification
The Freshdesk article says the New Report option is available from the Pro plan onward. It also warns that the Freshdesk Omni experience may differ according to signup date; accounts signed up before December 2025 may encounter a different experience. Because product variants and entitlements can change, match the article’s New Report feature to the specific Freshdesk or Freshdesk Omni account and plan being considered. Current prices are not stated in the cited reporting article.

Who should choose it
Freshdesk merits consideration when the team’s reporting needs map to selectable ticket metrics, filters, and dimensions, and the account has the New Report option. The available documentation does not establish the same breadth of dashboard customization, drill-in, or report-permission controls described for Zendesk or Intercom, so those capabilities should not be inferred from the presence of custom reports.
How to choose among the three
- List the decisions the reports need to support. Convert each decision into a measure, a relevant date range, and the breakdowns needed to act on it.
- Map each question to the product’s reporting model. For Zendesk, identify the Explore dataset, metric, and attribute. For Intercom, confirm the conversation or ticket measure and whether the required attributes can be filtered or broken down. For Freshdesk, identify the metric, filter, and dimension combination.
- Decide whether custom dashboards are essential. Zendesk explicitly gates custom dashboards to Explore Professional or Enterprise. The cited Freshdesk material establishes custom reports, not equivalent custom dashboard details. Intercom describes configurable report layouts; do not treat that phrase as proof of a separate dashboard entitlement.
- Choose the required exploration depth. If analysts need chart drill-in, time comparisons, or custom time intervals, those controls are explicitly documented for Intercom. If report collaboration and roles are central, Zendesk documents sharing and Explore roles; Intercom documents report permissions.
- Confirm plan and edition before purchase. Custom dashboards, custom reports, and product variants do not have identical eligibility. Check the current plan applicable to your account, including Freshdesk versus Freshdesk Omni and any signup-date differences, before comparing total cost.
- Validate a representative report. Build one report around a real operational question, then check whether the available metric, filters, breakdowns, and access controls produce the view the team needs. Do this with the intended data and roles rather than relying on a feature label alone.
Frequently Asked Questions
Which help desk has the most detailed reporting controls in this comparison?
Intercom’s documentation describes the most granular exploration controls among these three: filters, aggregations, custom time intervals, period comparisons, and chart drill-in. That is a comparison of documented controls, not an independent test of report quality or ease of use.
Can these tools report on every customer or contact profile field?
No such blanket capability is established. Intercom’s documentation specifically says not every contact-profile attribute is available as a custom-report filter or breakdown. The cited Zendesk and Freshdesk materials do not establish universal access to all profile fields either.
Do the cited reporting pages provide current prices?
No. The reporting documentation summarized here establishes feature and plan eligibility details, but not current prices. Pricing should be checked against the vendor’s current plan information for the applicable product and region.
Do the cited sources establish which product is easiest to use or has the best integrations?
No. The vendor documentation described here does not provide a comparative usability test or establish integration fit for a particular organization. Those conclusions require evidence beyond the reporting features covered in this comparison.
