Choose an AI marketing platform by testing whether it can exchange the specific CRM data your workflows need—not by relying on a generic “integrates with” claim. Start with your current CRM, edition, records, fields, and marketing-to-sales handoffs; then verify sync direction, timing, permissions, error handling, and the AI tasks the platform can perform with the data it is allowed to use.
Will this marketing platform sync with my CRM?
It may, but compatibility depends on the connector, your CRM edition and configuration, and the records and workflows you need. Salesforce defines CRM integration as connecting applications so data and workflows can sync; that definition does not specify which objects, fields, or directions a particular connection supports. Salesforce’s CRM integration guide also identifies mapping, compatibility, security and compliance, duplicate data, maintenance, and budget as common integration risks.
Check the connection at the level of a real workflow. For example, a form submission may need to create or update a contact, preserve consent and source fields, notify sales, and later associate an opportunity with a campaign. A connector that syncs contacts but not the required consent field or opportunity event may not support that workflow as you need it.

- CRM and edition: Confirm your exact CRM product, subscription tier, and configuration qualify. Ask the vendor to identify any licensing prerequisites.
- Objects and fields: Request a list of supported and excluded standard objects—such as contacts, companies or accounts, deals or opportunities, campaigns, activities, and tickets—and your required custom objects and fields.
- Direction and authority: Establish which system can create and update each record or field, which value wins when systems disagree, and how deletes, merges, and changed identifiers are handled.
- Timing and recovery: Find out whether updates are event-driven or scheduled, what delay to expect, and how errors are surfaced, retried, and reconciled.
- Identity and quality: Test duplicate records, missing data, shared email addresses, and changed email addresses; define which system is authoritative.
- Permissions and governance: Check required credentials, whether sensitive fields can be excluded, and what consent, retention, audit, and human-review controls are available for your policies and jurisdictions.
- Operations and cost: Include implementation, mapping, training, administrator or developer time, middleware, data volumes, ongoing monitoring, and any CRM-tier prerequisites—not just the platform subscription.
What CRM data can an AI marketing tool use?
It can use only the data the integration makes available under its permissions and configuration. That may include CRM records, purchase history, browsing activity, campaign engagement, or other events, but support varies by product and setup. Confirm which data is actually accessible to each AI feature, whether it can be restricted, and how updates or corrections reach that feature.

Match access to a specific job rather than granting broad access by default. Potential tasks include segmentation, content drafting, personalization, scoring, recommendations, or campaign analysis. For each one, ask what CRM data grounds the result, what the tool does when data is absent or stale, and what a person must review before an output is used. How do I compare CRM integrations?
Use the same workflow checklist and representative records for every candidate. A feature list or demo can show intended capability; a controlled proof of concept reveals whether the behavior fits your CRM configuration and data.

- Document the starting point. Record your CRM and edition, object model, systems of record, and three to five essential marketing-to-sales workflows. Include the fields and events each workflow needs.
- Get a support matrix. Ask vendors to map supported objects and fields, sync direction, create and update behavior, permissions, custom-object coverage, and edition requirements. Have them identify exclusions explicitly.
- Run a controlled test. In a sandbox or other controlled environment, use a limited but representative record sample with realistic custom fields. Test creates, updates, conflicts, duplicates, merges, deletes, consent and suppression changes, and custom objects.
- Exercise failures and timing. Observe normal sync delay, error alerts, retries, and reconciliation. Ask what happens when credentials expire, a field mapping changes, or a record cannot be matched.
- Test one AI use case. Use only approved CRM data. Have a person review outputs, verify permissions and sensitive-data handling, and test how corrections are incorporated.
- Estimate operating effort. Count initial mapping, training, administrator and developer time, middleware, monitoring, and maintenance alongside subscription costs. Confirm current prices and plan requirements directly with the vendors.
- Set acceptance criteria and ownership. Assign responsibility for data quality, privacy, integration monitoring, and human review before expanding beyond the test.
Compare candidates on whether the required workflow works end to end, not on the raw number of available connectors. The implementation method matters too: Salesforce describes built-in applications, connectors, and APIs as options, with APIs or an integration platform usable when an out-of-the-box connection is unavailable. Vendor documentation illustrates why “syncs with Salesforce” is not a sufficient acceptance test. These examples describe vendor-stated capabilities and behavior, not an independent product ranking; verify current availability and entitlements for your own account.

How should I judge the AI and integration together?
A useful AI feature depends on whether the platform can access the right CRM data, whether that data is reliable, and whether your team can govern the resulting action. Treat integration quality, AI task fit, and data governance as one decision:
- Choose a concrete marketing task and specify the records and fields it needs.
- Confirm the integration can deliver those inputs with suitable permissions, direction, and freshness.
- Define the review or approval step for the AI output, especially where consent, sensitive information, or customer-facing content is involved.
- Assign owners for mapping changes, sync alerts, data corrections, and periodic review as either product changes or workflow needs evolve.
Do not assume that a connector’s availability establishes a specific AI capability, privacy certification, service-level guarantee, customer outcome, or return on investment. Confirm those claims and the current plan entitlements with the relevant vendor.
