Use at least two backups on different storage types, with one copy kept off-site. For many home users, a scheduled backup to an external drive plus a vetted cloud backup is a practical starting point: the drive gives you a local recovery option, while the cloud copy is separate from your home. Keep removable drives disconnected when backups finish, protect copies with encryption and account security, and periodically test that you can restore files.
What a dependable backup plan needs
A backup is a separate copy you can recover—not simply another view of the same files. Synchronization can propagate accidental deletion or malicious changes, and a network-accessible copy may be reachable by ransomware. Use safeguards such as version history, deletion protection, or offline storage so a damaged or deleted file does not immediately replace every recoverable version.
CISA describes the 3-2-1 approach as three copies of important files (the working copy and two backups), on two different media types, with one copy off-site. It is a planning rule, not a guarantee against data loss. CISA’s Data Backup Options explains the formulation. CISA also advises people who store data only on a device to back it up to an external hard drive or a properly vetted cloud service (How to Protect the Data that is Stored on Your Devices).
Choose storage types that cover different risks

There is no universal restore-speed ranking: local media may be accessible without a network, while cloud recovery relies on service access and connectivity. Compare the setup effort, storage needs, any recurring service cost, and how reliably you will reconnect or rotate removable drives. No provider or price is recommended here.

Build a backup routine
- Inventory important files. List what matters and where it lives: computers, phones, removable media, NAS devices, and cloud accounts. Include data wherever it resides, not just the main computer. NIST’s SP 800-209 addresses backup coverage across on-premises and cloud environments.
- Make two backups on different storage types. Keep the working copy, add a scheduled local backup such as an external-drive backup, and place another copy off-site, for example with a vetted cloud backup service. For multiple devices, a NAS can be a convenient additional target, but do not count it as off-site merely because it is a separate box.
- Limit access and exposure. Encrypt backups where appropriate, both at rest and in transit. Protect cloud accounts with strong authentication. Disconnect a removable drive when its backup job is complete; CISA warns that ransomware can reach backups accessible to an infected system. - Set retention and versions. Check how long older versions are kept and whether deleted files can be recovered. A backup that immediately overwrites the only clean version may not help after an accidental edit or malicious change.
- Test recovery. Periodically restore a few representative files and confirm they open correctly. For critical data or strict recovery requirements, test the full recovery process end to end and keep instructions and credentials available. CISA recommends regular tests of backup availability and integrity; NIST also describes end-to-end restore testing in Protecting Data from Ransomware and Other Data Loss Events.
Find the backup option on Windows
Windows backup approaches include external storage devices, network drives, and Microsoft cloud storage. The available features depend on the Windows setup and selected service, so verify which files are covered and how restores work rather than assuming every option is a complete backup.
