To choose a study app that protects your notes, check more than its security claims: find out what content and personal data it collects, why it uses them, who can receive them, how long they are retained, and whether you can control sharing, export your work, and delete your account. If the app is for school or a child under 13 in the United States, also confirm the applicable school approval and privacy requirements.

What to check before you trust an app with your notes

Read the app’s current privacy policy as a description of how information flows through the service, then inspect the app’s settings. A policy can describe possible practices; settings determine choices such as whether to sync content or make a profile visible. Neither alone proves how securely the app is implemented.

Compare Questions to ask Stronger evidence
Data collected Does it collect notes, flashcards, files, voice recordings, searches, identifiers, or learning activity? The policy identifies content and usage-data categories plainly.
Purpose and recipients Why is each category used? Can vendors, advertisers, analytics providers, or AI services receive it? Purposes and recipient categories are specific, and secondary uses are limited.
Visibility and sharing Can profiles, decks, classes, scores, or generated materials be seen by others? What are the defaults? Audience settings are easy to find and change.
Storage and security Does content stay on your device or sync to an account? What protections does the provider describe for transmission and stored data? Claims identify protections and their limits. Transport encryption alone is not evidence of end-to-end encryption.
Retention and deletion How long are account and study data kept? What does deletion remove, and what may remain in backups or support records? Retention periods and deletion scope are explained in accessible terms.
Export and portability Can you export notes and study sets in a usable format before leaving? A documented export route explains what it includes.
School and child use Has the school approved the app? Is it directed to children under 13, and what consent or contract terms apply? The school’s privacy or IT office confirms approval and relevant terms.

How to evaluate an app step by step

  1. Find the policy for the exact app. Open it from the app or its store listing. Check its revision date, region, and whether it covers the version or service you intend to use.
  2. Search for the important terms. Look for “content,” “notes,” “study set,” “upload,” “analytics,” “advertising,” “service providers,” “retention,” “delete,” “export,” and “children.” Read surrounding text, including exceptions and recipient descriptions.
  3. Inspect defaults in the app. Check profile visibility, deck sharing, class membership, cloud sync, AI features, and optional analytics. Avoid sending sensitive information until you understand what each setting does.
  4. Check controls with non-sensitive sample material. If appropriate, create a test account and sample study set to locate visibility and export controls. This is a practical check, not proof of the app’s underlying security or a substitute for reading its policy.
  5. For school use, get approval first. Ask the school or district before entering student-record information. For a child under 13, ask who provides consent and whether collection and disclosure remain within the educational purpose.
  6. Choose based on the whole picture. Prefer clear collection explanations, limited purposes, understandable sharing defaults, appropriate access controls, and usable export and deletion options.

What a study app may collect: Quizlet as an example

Quizlet’s privacy policy, last updated May 15, 2026, says the service may collect account details; content users create, upload, transmit, post, or communicate; and device and usage information. The listed technical and activity data includes operating system, IP address, device identifier, usage timing, browsing and interaction patterns, and actions such as creating a study set, joining a class or group, or viewing content. The policy also describes cookies, pixels, session replay, scripts, and local storage. Read Quizlet’s privacy policy.

The policy says some profile and study activity may be displayed to other users and that information may be provided to service providers for processing. This illustrates why a field-by-field list is not enough: check what is visible, who receives information, and for what purpose. It is a vendor disclosure, not an independent security audit or a basis for ranking study apps.

Check retention, export, and deletion before building a library

Quizlet says it may retain information while an account is active, for legitimate business purposes, or to meet legal obligations or document-retention policies. It describes standard deletion processes and says some non-personal information may be retained indefinitely. Those terms do not by themselves tell you exactly which notes, backups, or records will remain after a particular account action.

A Quizlet help page about deleting an account says users can access account information in settings and delete an account there. Because the help page may be older than the current policy, check the live controls and confirm what any export or deletion option covers before relying on it. Save a copy of important study material in a usable format before closing an account if the app provides a suitable export.

When school approval and U.S. privacy rules matter

School use and FERPA

For U.S. classroom use, the Department of Education advises teachers to check with school or district administration about whether a course application is approved and to consult IT representatives about privacy and security vulnerabilities. Its guidance on online educational services explains that, when a school relies on the FERPA school-official exception, the vendor must perform a function the school would otherwise use its own staff for, remain under the school’s direct control regarding use and maintenance of covered education-record personally identifiable information, follow the school’s FERPA notice, and not use or redisclose that information for unauthorized purposes. This is U.S.-specific guidance, not a rule for every country or every personal-use app.

Children under 13 and COPPA

In the United States, COPPA may apply to covered commercial online services directed to children under 13 that collect personal information. The FTC says a school may authorize collection only in a limited educational context, for the school’s use and benefit—not for an unrelated commercial purpose. Its COPPA FAQ suggests asking what data is collected, whether it is used for unrelated commercial purposes, whether parents can review or request deletion, what security measures apply, and how long children’s data is retained. Whether COPPA applies depends on the service and circumstances; ask the school who is responsible for consent and review the app’s terms.
