Then check whether you understood correctly. The goal is not to perform a checklist; it is to understand the other person and give them room to correct your interpretation.
A simple sequence for active listening
- Settle your attention. Put aside distractions and let the speaker finish their thought. Notice if you are preparing a reply, rebuttal, or solution instead of following what they are saying.
- Invite them to continue. Ask one open question, such as “What was that like for you?” or “Can you tell me more?” Let curiosity guide the question rather than steering the speaker toward an answer you expect.
- Reflect what you heard. Paraphrase the central point in your own words: “So the change happened with little warning, and you had to adjust quickly—is that right?” Keep it brief so the speaker can take the floor again.
- Check your understanding. Give the speaker time to confirm, clarify, or correct your paraphrase. If you reflect a feeling, make it tentative: “It sounds like that left you frustrated—is that right?” A guess about someone’s feelings is not a fact.
- Summarize when it helps. After several points or at a natural pause, gather the main ideas and ask whether you missed anything. A summary can also help a group see where people agree or differ.
- Respond to what they need. Do not assume the person wants advice or a fix. If you are unsure, ask, “Would it help to talk this through, or would you like help thinking about what to do next?”
What to say—and when
AHRQ’s OARS framework describes four communication skills: open-ended questions, affirming, reflective listening, and summarizing. Its guide is intended for clinicians and educators engaging people and assessing needs, but the techniques can be adapted for everyday conversations without making them sound clinical. The page was last reviewed in November 2018. AHRQ’s OARS communication guide credits the Family Planning National Training Center and acknowledges support from the HHS Office of Population Affairs.
- To invite more detail: Ask “What feels most important about that?” or “How did you decide what to do next?” Open questions encourage explanation; use them with genuine curiosity rather than as a series of questions to interrogate or direct the speaker. AHRQ and NHS Scotland describe open questions as a way to explore or clarify.
- To make room: Say “I’m listening” or “Tell me more,” or simply leave a quiet pause. Match the speaker’s pace instead of filling every silence. The CDC’s Conversations Matter guidance also offers phrases such as “I hear that. This is hard” and “I’m here for you.” Choose language that feels natural for your relationship.
- To check content: Paraphrase the point, not the exact wording. The American Library Association’s conversation guide suggests the starter “What I hear you saying is…” and describes paraphrasing as focusing on what the person said.
- To check emotion or meaning: Offer a tentative reflection, such as “It sounds like you felt overlooked; have I got that?” The speaker may agree, clarify, or reject the interpretation. Avoid treating a facial expression, posture, or tone as conclusive proof of what someone feels.
- To clarify a detail: Ask “When you say it was difficult, what part was hardest?” This is more reliable than silently filling in what you do not know. NHS Scotland recommends paraphrasing to check information, asking open questions about unclear points, and noticing verbal and non-verbal cues; those cues are context to explore, not a shortcut to reading someone’s mind. - To gather several points: Briefly summarize what you have heard, especially after a longer exchange or when several people have spoken. The ALA guide describes summarizing as a way to clarify and keep a group on the same page. It notes: “Your ability to listen actively will not only make participants feel more confident and engaged, but it also models respectful communication skills for others in the room.”
How to practise without sounding scripted
Start in a low-pressure conversation with someone you trust. Pick one behavior to focus on, such as waiting until the other person finishes before paraphrasing. Trying to deploy every technique at once can pull your attention away from the conversation itself.
- Before the conversation, notice your emotional state and set an open intention to understand.
- During it, wait a beat before replying. If you lose the thread, ask a simple clarifying question rather than pretending to understand.
- Afterward, reflect briefly: Did I understand the main point? Did I ask something that let the person explain? Did I check my interpretation?
Barnard Center for Engaged Pedagogy’s active listening resource recommends checking your emotional state, waiting a beat, and reflecting core points, feelings, or questions. It also recognizes that the listener’s own feelings matter. If you are too upset or distracted to attend, be honest and, where appropriate, suggest returning to the conversation when you can listen more fully.

Habits that get in the way
- Interrupting or preparing a rebuttal: Let the speaker complete the thought before responding. Notice the urge to plan your answer and bring your attention back to what they are saying.
- Jumping straight to advice: Ask whether they want help finding a solution or would rather be heard first. Listening does not require you to solve the problem.
- Stacking leading questions: Ask one clear question at a time. Questions that suggest the answer you want can steer the conversation instead of helping you understand.
- Making emotion sound certain: Replace “You’re angry” with “I wonder if that felt frustrating—am I reading it right?” Let the speaker define their own experience.
- Overusing techniques: A paraphrase or summary should return the floor to the speaker, not become a speech about your listening skills. Use a pause or a brief response when that is more natural.
How paraphrasing, reflection, and summary differ

These responses are useful only if the speaker can correct them. Keep them concise, then listen to the reply. The AHRQ, ALA, CDC, Barnard, and NHS Scotland resources cited here describe communication practices; they do not establish a directly applicable statistic showing that one specific technique produces a measured conversational outcome.
