To troubleshoot an inbox agent, trace one specific message or event from its source to the final task, reply, or record. Check each handoff in order: whether the source was eligible, whether it was received and triggered, what the agent executed, which tool it called, and where the result landed. A status such as “accepted” or “success” confirms only the stage that reported it—not necessarily that the intended inbox action happened.
Start with one identifiable event
Choose a single affected message or upstream event rather than investigating a broad time period. Create a short incident record before changing settings or retrying anything:
- Source message or event ID, if available
- Observed time and time zone
- Expected action, such as creating a task or sending a reply
- Intended recipient, task list, assignee, or thread
- Observed symptom: no action, more than one action, or an action at the wrong destination
- Run, thread, task, and destination IDs shown by the platform
These details let you distinguish a missing trigger from a failed tool call, and a repeated event from a duplicate record created downstream. Preserve exact error text; a paraphrase can hide which stage failed.
Trace the event through the workflow
- Confirm the source exists. Verify that the email or upstream event was actually produced and is still accessible. For an API-driven workflow, check that the event reached the handler and that the handler recorded its source identity.
- Check input eligibility. Determine whether the product accepts this kind of message and whether filters, folders, tabs, or account settings exclude it. A message visible in a mailbox is not automatically an eligible input for every feature.
- Verify the trigger. Check whether the schedule, task, or event trigger is enabled and due, and whether the platform created an execution or thread for this event.
- Inspect the execution record. Follow the detailed trace or thread, not just its headline status. Find the last completed step, any error, and whether the agent reached the intended tool call.
- Inspect the tool arguments and result. Check the operation, recipient, task-list or resource ID, and thread or conversation ID where exposed. Compare the actual values with the intended destination.
- Verify the destination itself. Look in the actual mailbox, task list, or record system for the expected result. Check its owner, recipient, relationship, or thread, and note whether another system created or modified it.
An OpenAI Cookbook example for Workspace Agent API triggers distinguishes an HTTP 202 Accepted response from an action appearing at its destination. Microsoft’s Azure SRE Agent Outlook examples likewise show that a scheduled run can report Success after handing work to a thread, even if that work later pauses or a tool call fails. These behaviors are product-specific; interpret a status according to the stage and platform that produced it.

If the agent missed the task
Check whether the message was eligible
For Google’s Gmail AI Inbox, the documented input population is limited: it surfaces information from Primary-tab messages and excludes messages such as spam or archived, deleted, muted, or snoozed items. The feature does not support attachments, delegated inboxes, or encrypted mail. Google describes AI Inbox as beta, so availability and behavior may change. It can also take time to populate initially, may need a refresh, or appear empty when recent mail activity is low.
Check receipt, trigger, and execution separately
If the source was eligible, look for evidence that it reached the system and then for evidence that the trigger ran. When there is no execution record, check the trigger’s enabled and due state, the received event record, and whether the task is runnable. If a thread or trace exists, inspect its plan and tool-call history to locate the last completed step. “No visible task” alone cannot tell you which of these stages failed.

Check access and the quality of the inputs
For a run that started but did not finish the intended work, verify that the connector is connected and authorized, the agent identity can read the source and write to the destination, and required documents or shared fields were included. Salesforce Agentforce Operations troubleshooting also identifies missing data access, incomplete source inputs, and vague or overly complex instructions as possible causes of poor output or plans. Those are useful checks, not guarantees that every agent platform behaves the same way.
For errors in Gemini Enterprise Agent Platform, Google’s guidance is to capture the exact status and message, filter the relevant agent logs, and check quota or system limits. If the problem is intermittent or began without a local change, compare quota usage and check regional service health.

If the same event created duplicate work
Prevent retries from enqueueing the same event twice
For an event-driven API workflow, use a durable idempotency key tied to the source event. Reuse that same key when retrying that event; use a different key for a genuinely different event. Record source-event IDs with operational records so an operator can recognize a replay. OpenAI’s Workspace Agent API trigger example documents this retry pattern; confirm the equivalent behavior and requirements for the API you use.
Separate duplicate delivery from duplicate records
A repeated trigger and two persisted task records are different problems. In Salesforce email activity, inspect the Task records before changing automation. Salesforce’s documented troubleshooting includes checking Shared Activities configuration when multiple contacts are related, and reviewing custom Task triggers, Process Builder processes, or Flows that may interfere with standard cleanup. Its guidance also describes checking deleted Task records, including records with blank relationship IDs, to see whether duplicate logic ran while an extra copy persisted.

Shared Activities requirements and the effects of custom automation depend on the Salesforce org. Review those dependencies before enabling Shared Activities or editing Task automation; do not treat a configuration change as a universal fix.

Compare the intended destination with the actual tool arguments. Check the recipient value, any locked recipient field, task-list ID, assignee, and thread or conversation ID available in the trace. A plausible-looking “completed” run can still target the wrong person or list if an input, mapping, or stored value was wrong.

For an outgoing email that is missing, use the execution trace to check whether the agent reached the send step, then verify that the send operation is enabled, the connector is connected, and the agent identity has permission to use the mailbox and target resource. Microsoft’s Azure SRE Agent Outlook examples identify additional causes of apparently successful but incomplete workflows: review-mode approval may still be pending, mailbox authorization may be disconnected or expired, or the recipient value may be locked. These are checks for that documented environment, not universal labels or settings.
For API workflows, make the destination, output format, and approval behavior explicit in the workflow design. OpenAI’s operational checklist also recommends monitoring non-202 responses and missing output rather than treating request acceptance as proof of delivery.
Use audit logs to confirm what persisted
When the platform exposes an audit view, search with the strongest identifiers available: origin, time, task ID, task-list ID, and assignee. Google Workspace task logs can expose origin type and URL, task and list identifiers, event type, and assignee. Their fields and search limits are product-specific; Google documents visibility limitations that include deleted messages in Trash. Use the destination’s own records as well as the agent trace when confirming whether a task or activity persisted.
For teams comparing agent platforms, useful operational criteria include source-event and replay history; task, list, thread, and destination identifiers; per-step traces and tool-call visibility; idempotent retry support; visibility into recipient configuration; connector and identity permissions; approval-state visibility; and audit-log search or export. This is a set of diagnostic controls to compare, not a claim that every platform exposes all of them.

- Change one relevant setting or mapping at a time, and record what changed.
- Replay one controlled source event, or use a clearly identified new test event if replaying the original is unsafe.
- Confirm that exactly one intended action appears in the actual destination, with the correct recipient, list, assignee, or thread.
- Retry the same event once using the same idempotency identity, where supported, and verify that it does not create a second action.
