If players need to edit inside Obsidian, use a shared Obsidian Sync vault—but keep it separate from GM-only material, because collaborators receive the owner’s permissions. For an occasional handout, export or copy a player-safe snapshot instead.
Choose the sharing method that matches what players need

For a campaign that needs both private preparation and player collaboration, keep GM notes in a separate vault from the player vault. A published site can also serve as a separate player-facing boundary.
Publish a player-facing campaign wiki
Obsidian Publish hosts selected notes as a website. The owner needs an active Publish subscription. Choose player-safe pages in the Publish dialog, then share the site link. Only notes chosen for publication are sent to Obsidian’s servers, according to its Publish security and privacy guidance.
Control what players can see
Review the notes and attachments you intend to publish before sharing the site. A site password can restrict access to the whole site, but Obsidian says individual published notes cannot have separate passwords. Unpublishing a note removes it from the published set; the local note remains in your vault.

Test the site from a browser or device without GM access. Follow links, open attachments, and check that clues or prep notes intended to remain private are absent.
Understand Publish collaboration
Publish collaborators are other Obsidian users who can help publish and unpublish pages; that role does not give readers an editable vault. Only the site owner can configure site options and manage permissions. Publish also does not automatically synchronize collaborators’ local vaults. If people edit the same material locally, coordinate updates through a separate sync or version-control workflow: Obsidian warns that using a live version can overwrite a local note.

Share an editable vault with Obsidian Sync
Sync is for invited collaborators who need shared access to a vault inside Obsidian—not for giving players a read-only view. Create a remote vault, connect the GM’s local vault, then invite players through Settings → Sync → Manage sharing. Each collaborator needs an Obsidian account and an active Sync subscription. If end-to-end encryption is enabled, send invitees the vault encryption password through a private channel.
Keep GM secrets out of the shared vault
Sync does not provide fine-grained permissions. Obsidian’s collaboration documentation states, “Fine-grained permissions are not supported yet.” Collaborators receive the owner’s permissions, with the exception that only the owner can invite others. Do not rely on folders, note links, or hidden pages to protect GM material in a shared vault. Put private prep in a different vault.

Plan for simultaneous edits
Sync does not offer live, cursor-based co-editing of one file. If multiple people edit the same file, their changes are merged during sync; version history can help review or restore changes. Obsidian’s current shared-vault guidance gives a maximum of 20 collaborators. Check current plan details for account and subscription requirements.

Vault Share is a community plugin that mirrors all or part of a local vault through a Google Drive group folder. Its plugin listing describes path exclusions and conflict handling, but this is the author’s feature description, not an independent security audit. Obsidian warns that community plugins can access local files and the network, and that the app cannot reliably restrict them to narrow permissions. Consider the author and code carefully; Obsidian recommends an independent security audit for sensitive use.
Test Vault Share before using a campaign vault
- Back up the vault and test on a disposable copy before the first share.
- Start with an empty or very similar Drive group folder. The plugin notes that differing files already in the folder can create many conflicts on first run.
- Check exclusions and confirm that paths meant to stay private are not being shared.
- Agree how to resolve conflicts. Options described by the plugin include keeping both versions, keeping the newer timestamp, and a three-way merge for Markdown and text. Simultaneous edits to the same lines may leave conflict markers to resolve manually.
The plugin’s documented background bulk operation runs hourly only while Obsidian is open. Open files also check for updates, and monitor mode can poll an open file more frequently. That behavior is not a guarantee of real-time collaboration.
Shared Dropbox, Google Drive, OneDrive, or Git workflows are other possibilities. Obsidian recognizes file-based providers, Git, and network storage as potential sync approaches, but does not prescribe one universal setup. Avoid stacking multiple sync engines on the same vault unless you understand the conflict risks; keep backups, agree who edits what, and test the workflow before relying on it for a session.

Prepare and verify the player experience
- Choose the access model: browser reading, editing in Obsidian, or a one-time snapshot.
- Set the privacy boundary: select player-safe notes for Publish, or create a distinct player vault before sharing editable access.
- Configure the chosen method: for Publish, select intended notes and attachments and set a site-wide password if appropriate. For Sync, create the remote vault, review selective-sync settings, invite only intended collaborators, and share the encryption password privately if enabled.
- Back up and test third-party workflows: use copies, agree on conflict handling, and verify exclusions before sharing.
- Test without GM access: check links and attachments and confirm private clues and prep are absent.
- Review before major sessions: recheck shared or published content after moving notes or changing folders.
