To free up cloud storage safely, first find what is using the quota, make and verify a separate copy of anything you want to keep, and only then delete reviewed items. Empty the provider’s trash only when you accept permanent removal, and allow time for the quota display to update. If you only need more room on your computer or phone, use a local-storage option instead of deleting cloud files.
First, know which storage you are trying to free
Cloud quota and the free space on a computer or phone are different. A file marked for online-only use can stop taking up local disk space while remaining in the cloud; that does not reduce the cloud account’s quota. Microsoft’s OneDrive Files On-Demand guidance describes this distinction.
Conversely, deleting a file from a synced service may also remove it from other signed-in devices. Apple says that when iCloud Photos is enabled, deleting a photo or video on one signed-in device deletes it on the others too. Decide whether you need cloud quota or local device space before taking action.
Use this safe cleanup order
- Check the provider’s storage breakdown. Identify whether files, photos, mail, backups, or app data are responsible; do not assume the visible files are the whole story.
- Review the largest and least-needed items. Look for old device backups, large attachments, unused app data, and files you no longer need.
- Make an independent copy of anything worth keeping. Save it somewhere outside the synced cloud location, such as a computer with enough space or a portable external hard drive.
- Verify the copy. Open representative files and check that the archive or copied folders contain what you expected.
- Delete only items you have reviewed. Remember that deletion can sync to other devices or affect the ability to restore a backup.
- Review the trash before emptying it. Trash may continue to count against quota, but emptying it can remove recovery options.
- Check the quota again after the service updates. A storage figure may not change immediately after bulk deletion.
Find the space use in Google Drive, Gmail, and Photos
Google Account storage is shared across Drive, Gmail, and Google Photos. Use the Google storage manager to see which category is taking space. In Drive, the Storage view sorts files from largest to smallest, which is a useful place to start. The storage guide also points to device backups and hidden data from connected apps, so check those if ordinary Drive files do not explain the usage.

Search Gmail for large or old attachments
Google’s Gmail help lists search operators that can surface messages for review. For example, try has:attachment larger:10M, filename:.pdf larger:5M, or older_than:2y has:attachment. These searches find candidates; inspect messages and attachments before deleting them. Google says Drive does not have a built-in automatic duplicate-finding tool, so do not rely on it to identify every redundant file for you.
Review trash, spam, and backups
Items in Google Drive trash and Gmail spam still count toward storage until permanently cleared. Review both before emptying them. Check old device backups and connected-app data as well as visible files, since removing an unwanted backup or app data may reclaim space without deleting a current document.

Google says storage can take up to 48–72 hours to update accurately after multiple files are deleted. If the account remains over quota, Google says some functions may stop working, including uploading or creating Drive files, sending or receiving Gmail, and backing up photos and videos. Google’s policy guidance also says it may delete content across Gmail, Drive, and Photos after an account has remained over quota for two years; this is a provider policy, not a prediction that every over-quota account will be deleted.
Make a copy before deleting Google files
Google Takeout can create an archive copy of selected Google data. Downloading an archive does not delete the Google originals. Google says export creation may take minutes to days; an archive may omit changes made after the request but before it is created, may be split into multiple files, and may use formats that need additional software to open. Download the archive to a destination with enough capacity, inspect its contents, and open important files before deleting anything from the account. If the account belongs to a school or employer, an administrator may restrict downloads or exports; check organization instructions before relying on Takeout.
Free space in iCloud carefully
Apple includes 5 GB of iCloud storage when iCloud is set up. Check the storage screen on your Apple device to see which categories are using it. Apple’s iCloud storage guidance identifies device backups, backed-up apps, Photos, Messages, and other data as possible places to review. On iPhone or iPad with iOS or iPadOS 17 or later, Apple also describes a Recommended for You cleanup area.

Know the consequences of deleting synced photos and backups
Apple Support advises: “Before you delete anything, you may want to archive or make copies of the information that you store in iCloud.” With iCloud Photos on, a photo or video deleted on one signed-in device is deleted on the others. Apple says deleted items generally remain in Recently Deleted for 30 days, but when iCloud storage is over its limit, deleted photos and videos are removed immediately and are not available there for recovery.
Check what a backup contains before removing it. Apple says disabling backup for an app removes that app’s information from iCloud. Deleting a device backup turns off iCloud Backup for that device, which can affect future restores. Remove only backups and app data you no longer need.

Choose the right OneDrive action
If the problem is a full computer disk rather than a full OneDrive quota, use Files On-Demand to keep files visible in OneDrive without storing them all locally. This makes local space available but does not reduce cloud usage.
If you need to reduce OneDrive cloud usage while retaining a file, first copy or download it to a location outside the synced OneDrive folder and verify that copy. Then delete the intended cloud copy. Microsoft says changes to available storage after deleting files from OneDrive and its recycle bin may take a short time to appear; see its OneDrive deletion guidance.
When to stop deleting and consider another option
If you have reviewed files, backups, and app data and still need the cloud service’s features, compare the provider’s available storage options. Treat an upgrade as an alternative to further deletion, not as a reason to remove files you have not safely copied. Google, Apple, and Microsoft storage allowances and plans can vary by account and change over time, so check the current details in your own account.
Provider instructions cited here cover consumer services; behavior may differ for other cloud services, business or school accounts, regions, and app versions. If an account is managed by an organization, follow its retention and export rules before moving or deleting data.
