The U.S. Department of Labor’s 2026 Resume Essentials guide says ATS software can often read PDFs that do not contain images or complex layouts. Adobe also recommends a text-based PDF over a scanned image. These are practical guidelines, not a guarantee that a particular employer’s system will parse either format correctly; the sources do not establish a universal ATS winner or comparative success rate.
Choose the format the application actually requests
Check both the job posting and the application portal. The employer’s specific direction takes precedence over a general preference for PDF or Word. A portal may accept only certain file types, impose a size limit, or provide separate directions for uploading a file, pasting resume text, or emailing an application.
If the employer asks you to paste your resume into a form, inspect the resulting text for missing content, odd spacing, or misaligned sections. If the application is by email, follow the employer’s instructions about whether to attach a file or put the resume in the email itself. The Department of Labor’s guidance also recommends a clear, professional filename.

Make either format easier to read
If you submit a PDF
- Export from an editable document rather than submitting a scan or screenshot; the text should be selectable.
- Use a straightforward layout so text is not trapped in images or arranged in a way that is difficult to extract.
- Open the exported file and check that its pages, spacing, and text look right. Keep an editable working copy if you may need to revise it later.
If you submit a DOCX
- Check that the document opens correctly and that headings, dates, and contact details remain in place.
- Use a simple structure and review the file in the software available to you; layout can shift between programs.
- Keep the filename professional and confirm that the uploaded document is the final version.
Adobe describes exporting a Word document to PDF as a way to preserve its layout, but you do not need Adobe software specifically to follow the general advice: submit a readable file in the format the employer accepts.
A quick decision rule
- The posting or portal names a required format: submit that format.
- No format is specified, and both are accepted: choose a clean, text-based PDF if maintaining layout is the priority.
- The employer needs an editable file, or the portal asks for Word: submit DOCX.
- The portal offers a preview or extracted-text view: inspect it before completing the application and correct any problems you can.
The guidance cited here is U.S.-oriented, including the Department of Labor’s 2026 guide. Employer systems and portal rules vary, so check the instructions for each application rather than assuming a format will be accepted everywhere.
