For an investment adviser or wealth-management firm, the right portfolio-management software is the one that connects the firm’s actual custodians and systems, moves the data and workflows it needs, and can be operated securely over time. Start by inventorying your accounts, custodians, source and destination systems, asset classes, data objects, workflows, jurisdictions, security requirements, and engineering capacity. Then verify each critical connection with the vendor; a connector logo or a broad API claim does not prove that your accounts, fields, or required workflows are supported.
Keep the product category in view: a retail portfolio tracker, an RIA platform, and an institutional multi-asset system can have very different integration needs. The examples below describe capabilities vendors document, not a ranking or a claim that every platform fits every firm.
What should you look for in portfolio-management software?
Assess integration fit against the firm’s operations, not a raw count of connections. Before evaluating vendors, write down the systems and institutions the platform must work with and what staff need to accomplish across them.
- Institutions and systems: List custodians, banks, CRMs, financial-planning tools, trading or rebalancing systems, market-data providers, and reporting destinations.
- Accounts and assets: Identify the account types, jurisdictions, and asset classes that must be represented. Specify any accounts or holdings that require manual handling.
- Data objects: Name the information needed, such as accounts, positions, securities, transactions, prices, benchmarks, ownership, or reports.
- Workflows: Separate read-only reporting from updates, rebalancing, trade-related operations, account opening, money movement, service requests, and single sign-on (SSO).
- Operating model: Decide who will authorize, build, monitor, reconcile, troubleshoot, and support each connection—and whether the firm has the technical capacity to maintain it.
Use this inventory to ask each shortlisted provider for a current integration matrix specific to your systems and intended workflows. Schwab Advisor Services says capabilities vary by software provider, so confirm the exact functions with both the platform vendor and custodian.

Does portfolio-management software integrate with your custodian and CRM?
It may, but “integrates with” is too vague to establish whether a connection meets your needs. A connection can import data without exporting changes, support only some account types, or provide data without enabling an operational workflow. Ask what each connection does, in which direction, and for which objects.
Check the actual systems and direction of data flow
For each required pairing—such as custodian to portfolio platform or portfolio platform to CRM—confirm whether data is imported, exported, or synchronized. Ask whether synchronization is one-way or bidirectional, which fields are included, and whether users can configure or restrict the flow. FinFolio, for example, lists integrations spanning CRM, planning, custodian data, market data, and trading tools; that vendor description does not establish that every listed connection supports the same objects or behavior.
Confirm the workflow, not just the connection
Describe a real task and ask the vendor to demonstrate it end to end. For example: a custodian position changes, the portfolio platform receives the updated data, the adviser reviews it, and the relevant CRM or reporting destination reflects the intended information. For trading or money movement, ask which system initiates the action, what authorization is required, and what confirmation or status comes back. Do not treat access to account data as permission or technical capability to execute trades.

What API features should investment-management software have?
Use the API reference and a concrete workflow list to judge whether the interface can support your intended integration. Marketing language such as “open API” does not tell you which operations or data structures are available.

For every proposed integration, record the required read and write operations and map them to documented endpoints. Depending on the use case, check for portfolios and accounts, positions, securities, transactions, prices, benchmarks, ownership, reports, users and permissions, and any job, rebalancing, or trade operations. Confirm whether an operation is available through the API, a file feed, the user interface, or another method.
FinFolio describes a REST API for reading and writing data, rebalancing, reporting, and imports. Addepar’s developer documentation identifies API areas including portfolio data and analytics, entities and ownership, transactions, benchmarks, historical prices, asynchronous jobs, users and permissions, reports, billing, and compliance. These documented areas are examples to assess against your own requirements, not evidence of a particular implementation’s fit or performance.

Inspect authentication and permissions
Find out how access is authorized and managed: who grants it, how credentials or tokens are issued and revoked, whether scopes or roles limit access, and what happens when a user or integration is removed. Also review the documented protections for data in transit and at rest, and ask the vendor to explain controls that are not clear from its public documentation. Do not assume two products with APIs use equivalent security models.
Sharesight documents owner-permissioned access, HTTPS, JSON and XML, and OAuth 1.0a for its Connect API. Schwab describes secure connectivity and SSO in its integration materials. These are vendor-documented examples, not a universal security standard or a comparative security assessment.
Evaluate documentation and change management
Check whether the API documentation explains request and response formats, permissions, errors, limits, and version changes. Ask if there is a test environment and how vendors announce changes that could affect integrations. A technically broad API can still be difficult to operate if the documentation, support path, or migration process does not match the firm’s capacity.

How do you check whether a portfolio data feed supports your accounts?
Verify coverage at the institution and account level. A provider’s total source count is not a promise that a particular institution, account, or field will connect reliably.
Confirm coverage, fields, and refresh behavior
Ask the data provider or platform vendor to confirm your specific institutions and account types, supported asset classes, available fields, and expected refresh timing. Find out how the system identifies stale, incomplete, or corrected data; whether errors generate alerts; and how staff can reconcile a discrepancy with the source institution. Test the account types and data fields that matter before relying on a connection for routine operations.
Plaid describes investment-account data coverage from institutions in the United States and Canada, including holdings, securities, and transactions. Morningstar ByAllAccounts’ developer hub, accessed in 2026, claims user-permissioned aggregation from 15,000+ sources and adviser aggregation from 1,200 institutional sources. Those are vendor-published coverage figures, not independent confirmation that a particular firm’s accounts are connectable.

Separate account aggregation from custody operations
An aggregation feed may provide account information without supporting custodian workflows. Schwab’s integration materials distinguish among APIs, SSO, daily data files, and trading integration, and list functions such as account opening, money movement, orders, allocations, alerts, and service requests. Confirm which of those functions are available through the specific software provider and what authorization or workflow is involved.
Interactive Brokers documents a reporting data feed and integrations with third-party portfolio-management providers, and directs customers to contact a provider for details. Treat that information as a starting point for verification, not as confirmation that a selected platform supports a particular account or trade workflow.

How should you compare shortlisted platforms?
Use the same requirements and scenarios for each vendor so that a broad feature description does not obscure a missing connection or workflow. Record the evidence in a comparison matrix, and mark an item unconfirmed until the provider demonstrates or documents it.

- Workflow depth: Does the connection support reporting only, or also the custody, trading, SSO, or service workflows you need?
- Geography and asset classes: Are the relevant jurisdictions, institutions, accounts, and assets covered?
- Implementation and support: Who builds and maintains the connection, and what documentation, test facilities, and support are available?
- Controls and portability: Can access be limited by role or permission, and can the firm export its data?
What should you ask before signing?
Use the answers to distinguish a documented capability from a vendor assurance that still needs validation. Request written answers for material requirements and have the vendor demonstrate high-risk workflows using a representative configuration where possible.
