Choose a workflow orchestration platform by matching its execution model to your work: managed workflows for coordinating service and API calls, a DAG scheduler for dependency-driven data pipelines, or a code-first durable orchestration framework when developers need workflow logic in ordinary code. Then compare how each option stores progress, handles failures and waits, integrates with your systems, and assigns operational responsibility and cost.

What workflow orchestration does—and what it does not decide for you

Workflow orchestration coordinates a sequence of tasks, including branches, waits, and failure paths, across services or workers. In a durable system, it also records enough progress to resume or recover after interruptions. It is distinct from the work performed by the tasks themselves: an orchestrator controls when and how steps run, while a service, function, or worker performs each step.

There is no single best platform for every multi-step task. AWS describes Step Functions as state machines for distributed applications, process automation, microservices, and pipelines; Google describes Workflows as a managed service for ordering service calls; Microsoft describes Durable Task as ordinary-code workflows with state persistence and recovery. Those descriptions establish intended capabilities, not independent proof that a product is best for a particular workload. Start by classifying the workflow

Service and API coordination

For a bounded process that calls APIs or cloud services in a defined order, branches on results, waits, or retries, consider a managed workflow service. Google Workflows is documented as coordinating HTTP-based services in a durable, stateful workflow. AWS Step Functions uses state machines to coordinate distributed application steps. Check that the required services can be invoked in the way your workflow needs, and that the platform’s definition model is comfortable for the team that will maintain it. Dependency-driven data pipelines and recurring schedules

If the central problem is resolving dependencies among data-processing tasks and running pipeline schedules, a DAG-oriented scheduler may fit better. Google’s comparison distinguishes declarative dependency resolution in Airflow from Workflows’ imperative flow control, and describes Airflow-style scheduling. This distinction matters: a DAG says which tasks depend on which others, while imperative orchestration expresses the sequence and branching logic directly. Code-first durable orchestration

If developers want to express coordination in ordinary code while the orchestration system manages persisted state and recovery, assess durable orchestration SDKs. Microsoft’s Durable Task documentation describes this approach as workflows in ordinary code with state persistence, automatic recovery, and distributed coordination. Verify supported languages and hosting arrangements against your application rather than assuming every code-first framework has the same runtime model. Microsoft Durable Task documentation.

Compare the operational requirements that determine fit

State, restart, and replay

Ask exactly what survives a process or host restart, where execution progress is checkpointed, and what happens when a step is replayed. Recovery can re-run work that already had an external effect, so the workflow’s tasks may need to tolerate duplicate requests or provide a way to detect them. Microsoft documents checkpointing durable orchestrations at await or yield points; use the product’s detailed semantics to understand what those checkpoints mean for your own code. Retries, permanent failures, and safe reruns

A retry policy is for failures that may clear on another attempt; it is not a substitute for handling permanent errors or designing safe reruns. Check which errors qualify for retry, how delay or backoff is configured, how many attempts are permitted, and what happens when retries are exhausted. Also confirm whether failures can be caught and sent down an alternate path. Google documents configurable retry predicates, attempt counts, and delays; AWS documents retry and catch patterns. Long waits and human approvals

For external events or approvals, establish how execution pauses and resumes, how long state can be retained, how a person’s decision is recorded, and who is responsible for continuing the process. AWS documents task-token waiting and human interaction; Google documents waiting and human-in-the-loop events; Microsoft describes orchestration that can wait for human input or approval. Google’s overview states that a Workflows execution can hold state, retry, poll, or wait for up to a year; treat this as a Google-documented product limit and confirm the current service documentation for the relevant configuration. Authoring, integrations, and observability

Compare whether a workflow is authored as code, a state-machine definition, or a DAG; which languages and SDKs the team can use; and how the platform connects to HTTP APIs and other services. Include local testing, deployment, execution inspection, logs, and error reporting in the evaluation. A platform is harder to operate if the team can define the flow but cannot efficiently see which step failed or why. Triggers and schedules

Determine how executions start: a schedule, an API call, an event, or another orchestration layer. A scheduler and a workflow engine can be separate products, so map the full trigger path rather than assuming scheduling is built into the workflow definition. Hosting and operational ownership

Compare the work your team must own as well as the features it receives. A managed service and a provisioned orchestration cluster have different operating responsibilities: the latter can require capacity planning and maintenance, while managed does not mean that workflow design, monitoring, integrations, or application failures disappear. Google’s comparison contrasts usage-based billing for Workflows with provisioned-capacity billing for Cloud Composer/Managed Airflow. Cost assumptions

Build an estimate around the workload you expect to run: execution volume, steps per execution, duration, concurrency, and any infrastructure capacity the platform requires. Use current vendor pricing calculators for the intended region and configuration; current prices and a workload-specific cost estimate are not established here. Compare the operational effort and infrastructure assumptions alongside the bill, not just a per-execution or per-step figure.

Use a proof of concept to test failures, not just the happy path

Take one representative workflow and evaluate the same cases on each shortlisted platform. This is a practical selection method, not a report of platform testing.

  1. Run the successful path. Confirm that steps execute in the intended order and that branches select the expected route.
  2. Cause a transient API failure. Check which errors retry, the delay between attempts, the attempt limit, and the resulting state.
  3. Cause a permanent error. Verify that it reaches a useful failure or catch path instead of retrying pointlessly.
  4. Replay a duplicate event or execution. Check whether work with external effects can run twice and what safeguards the application needs.
  5. Leave the workflow waiting. Exercise a long wait and, if applicable, an approval. Confirm how it resumes and how the decision is recorded.
  6. Restart an orchestrator or worker. Observe what progress survives, which steps run again, and what the team must do to recover.
  7. Record operational and cost assumptions. Note what your team must deploy and monitor, how state and errors are inspected, and which workload figures drive the estimate.

This comparison produces evidence for your own workflow shape and failure modes. Vendor feature documentation can confirm that a capability exists, but does not establish a head-to-head performance ranking or a universal winner.
