You can replace Gmail and Google Docs without deleting your Google account or changing every Android link at once. Set up the replacement services first, export and verify your documents, recreate sharing permissions, and test links from the apps you actually use. Keep the old setup available until mail, files, and collaboration work in the new one.
Know what you are replacing
Changing your default browser, switching email apps, and moving documents are separate changes. Replacing Gmail does not itself choose a browser for every link, and exporting a Google Doc does not automatically transfer its sharing permissions or recreate collaboration in another service.
- Email service or app: Your new provider and Android mail client need to support a compatible account setup. Android lists Exchange, Personal IMAP, and Personal POP3 account types for compatible clients; that does not mean every provider supports every type.
- Documents and collaboration: A downloaded copy can be portable, but another service may handle formatting, comments, revision history, or shared access differently.
- Browser: Android has a system default-browser setting, but some links may be handled by the app that created them or opened inside an app.
- Google account: You can stop using Gmail or Docs without deleting the Google account. The account may still matter for Android sync, recovery, Play services, or access to existing shared files.
Inventory dependencies before changing anything
Make a list of what relies on your current Google setup. This turns the migration into a set of checks rather than a single risky switch.
- Email addresses, aliases, important messages, and contacts; note any calendar, recovery, or Google sign-in dependency.
- Important Drive files and folders, including documents shared with you and files other people rely on you to maintain.
- Collaborators, their access roles, restricted or link-based access, and any settings that limit downloading or copying.
- Links embedded in email, chat, documents, or other apps, especially links to shared Google files.
Google says account email, contacts, and calendar events sync to Android; removing the Google account removes associated data from the device. Record what you need and confirm it is available elsewhere before removing an account.

Set up replacement email without removing the Google account
First confirm that the email provider and the Android mail client you plan to use support a compatible account type, such as Exchange, IMAP, or POP3. Provider support varies, so check its setup instructions rather than assuming a protocol is available.
Adding the replacement account is distinct from deleting the Google account. Android’s account setup supports the account types above in compatible clients, but that setup alone does not move old Gmail messages or contacts. Treat importing old mail and contacts as a separate task: verify the provider’s import options and check that the material you need is present in the destination before relying on it.

Before switching daily use, send a test message to an address you can check, reply to it, and confirm that incoming mail, attachments, search, and any aliases or custom-domain addresses you rely on behave as expected.
Export Google Docs and check the copies
Google Drive provides two useful paths: create an archive for records or use in another service, and download individual files when you need a portable copy of a particular document. Google Docs files can be downloaded as PDF or Microsoft Word DOCX. Choose the format based on what the destination needs: PDF is suited to a fixed-layout copy, while DOCX is a practical format to try when continued editing is required.

Start with documents that matter most: active work, shared reference material, and files linked from messages or other apps. Do not treat an export as proof that every document or feature made the move intact.
Recreate and verify sharing
For each important file or folder, record who needs access and what they need to do. Drive uses Viewer, Commenter, Editor, and Owner roles. Owners can choose Restricted access or Anyone with the link and set Viewer, Commenter, or Editor access; access to download or copy for viewers and commenters can also be controlled. Newly created Docs, Sheets, Slides, and Vids are Restricted by default, according to Google.

A person who receives a Google link but lacks access may need to sign in with the right account or request access. For each critical file, test both named-user access and link access where you use them. No seamless transfer of permissions between services is established here, so verify collaborator by collaborator and file by file.

On Android, the usual path is Settings > Apps > Default apps (or Choose default apps) > Browser app, then select the browser you want. Menu names can differ by device and Android version. Google’s Android Help says that setting a default browser makes it open links tapped in a browser; it does not establish that every app-specific link will follow that choice.

Google separately documents that links shortened by the Google app to share.google or search.app redirect to open in the Google app. Google says link shortening can be turned off. This is a specific Google-app behavior, not a rule for every Android App Link, email client, or in-app browser.
After selecting a browser, use this test matrix with links from your own messages and workflows. Record whether each opens in the selected browser, the destination app, or an in-app view.

Run both workflows before retiring the old setup
Keep the existing access available while you verify the replacement. A short parallel period lets you catch missing mail, inaccessible files, and link behavior that only appears in a particular app.
- Send and receive a test email in the replacement setup; check an attachment and any address or alias you depend on.
- Open representative links from email, chat, and documents using the test matrix above.
- Open imported copies of key documents and check their content and layout in the destination service.
- Ask a collaborator to test a restricted file and a link-shared file, including the role they need.
- Confirm your inventory’s important contacts, messages, documents, and account dependencies are accounted for before removing anything.
Only after those checks should you consider removing an account from the device or disabling an app. Disabling a preinstalled system app is optional; Google’s Android Help warns that doing so can make other apps misbehave and deletes associated app data. If you still need Google sync, recovery, Play services, or existing shared-file access, keep the Google account even if Gmail and Docs are no longer your everyday tools.
