Neither authorization date nor capture date is the right universal accounting date. Keep authorization, capture, settlement, bank-posting, and underlying recognition dates separate. For accrual accounting, recognize revenue or expense when the underlying event qualifies under the applicable accounting framework—not merely when a card is authorized or captured. Use capture and settlement records to reconcile processor activity, and the actual bank posting to reconcile cash.

The right treatment depends on your role, jurisdiction, accounting framework, and transaction type. The workflow below is a practical general approach, not a rule that names one card date for every ledger.

What each date records

A card transaction moves through several events. They can fall on different dates, and each date answers a different accounting or reconciliation question.

  • Authorization date and time: The payment request goes to the issuer for approval. Approval may reserve funds or available credit, but it is not capture or proof that the merchant has received funds. The U.S. Treasury’s description of its Card Acquiring Service explains authorization and settlement as distinct stages; Authorize.net’s authorization-only guidance describes the pending authorization status.
  • Capture date and time: The merchant submits an authorized payment for collection. Capture can be for an amount different from the original authorization. Authorize.net states, “A capture queues a transaction for settlement.” See its Payment Transactions documentation.
  • Settlement or batch date: The processor or acquirer submits or clears captured transactions. Batch cutoffs and time zones can put a capture into a later business-day batch. Treasury’s CAS explanation describes the relationship between capture and settlement for that service.
  • Funding or bank-posting date: Proceeds become available or appear as a deposit. This is a later funds event and may differ from settlement. Treasury reports next-day availability for its own Card Acquiring Service; that timing is not a general processor promise.
  • Underlying recognition date: The date the revenue, expense, asset, or liability qualifies for recognition under the applicable accounting framework and policy. For accrual accounting, that usually depends on when the item is earned or incurred, subject to the specific rules that apply.

Which date to use for each workflow

This is a workflow recommendation based on payment-lifecycle and accounting guidance, not an accounting-standard rule requiring one universal card date.

A practical reconciliation workflow

  1. Preserve the event dates separately. Store the order or transaction date, authorization timestamp, capture timestamp, processor batch or settlement date, bank funding or posting date, amount, currency, processor reference, and status. A single overloaded “transaction date” field makes it harder to trace what happened.
  2. Record the underlying item using your accounting basis. On accrual books, determine when the revenue was earned or the expense incurred under the rules that apply to the transaction. Goods delivery, services performed, inventory, and advance consideration can require different analysis. IRS Publication 538 says U.S. accrual-method taxpayers generally report income in the year earned and deduct or capitalize expenses in the year incurred; it is tax guidance, not a universal financial-reporting rule.   3. Keep authorization-only activity pending. Track an authorization hold operationally, but do not automatically treat it as settled cash or proof that a sale is complete. Follow whether it is captured, voided, or expires. Authorize.net says its authorization-only transactions expire after 30 days if uncaptured; that limit is provider-specific.   4. Link the capture to its authorization. Match the reference and compare amounts. Record partial captures, amount changes, reversals, voids, refunds, and duplicates as distinct events rather than overwriting the original authorization.
  5. Reconcile processor activity, then cash. Match captures to the processor’s batch or settlement report, accounting for fees and timing differences. Then match the payout to the bank statement using the actual deposit or posting data. For context, Treasury says its Card Acquiring Service provides next-day funds availability and settles prior-day transactions to Treasury’s Federal Reserve account before 2:00 p.m. ET. Those are details of that service, not a standard to apply to other processors. See How CAS Works.
  6. Review period-end timing differences. If recognition and payment settlement fall in different accounting periods, investigate the underlying event and accrue material earned or incurred items where required. Document a consistent policy rather than changing transaction dates just to make them match a statement cycle. The Federal Reserve’s Financial Accounting Manual describes accrual accounting for Reserve Banks; it is not a blanket rule for every private entity.

Cases that need a narrower rule

U.S. federal tax accounting

IRS Publication 538 discusses the all-events test and other limits alongside its general accrual-method timing guidance. Tax treatment should be determined under the taxpayer’s circumstances and applicable rules; do not assume a card authorization or capture timestamp settles the tax question.

Financial asset purchases and sales

AASB 9 Appendix B describes trade-date accounting in terms of the commitment to buy or sell a financial asset, and settlement-date accounting in terms of delivery. Those definitions concern financial assets; they do not set the recognition date for every card purchase or operating expense. See AASB 9.

Consumer credit-card statement dates

U.S. Regulation Z commentary includes statement-disclosure rules for transaction dates, with different treatment for in-person transactions and orders made by mail, internet, or telephone. These disclosure rules address consumer statements, not a business’s general-ledger recognition policy. See Regulation Z, 12 CFR 1026.7.

Processor timing and expiry

Processor cutoffs, settlement delays, time zones, and authorization lifetimes are service-specific. Authorize.net’s API documentation says settlement occurs within 24 hours after capture, while its support guidance gives a 30-day uncaptured authorization limit. Treasury’s next-day funding schedule applies to its own service. Verify the current processor configuration and agreement before relying on any of these timings.
