Authorization, capture, settlement, and payout dates mark different events—not four names for the same payment date. An authorization is an issuer’s approval, capture is the instruction to collect, settlement is movement through the payment system, and payout is when the processor or acquirer funds the merchant. For reconciliation, match each record to the event it represents, then link payout batches to their underlying transactions and fees.
What each payment date means
Start by identifying the source of the date: a processor dashboard, acquirer report, bank statement, or accounting system. Providers may define and label fields differently, so a field called “date” is not self-explanatory. Record the system’s definition and distinguish transaction events from balance movements, payouts, and bank postings. Stripe’s explanation of payment tracking describes monitoring payments across transaction and payout information, but it does not establish a universal data dictionary for every provider: How to track payments in real time.

Stripe describes settlement as the movement of funds through the system, while payout or merchant funding is the credit the business sees in its bank account. The stages can therefore land on different dates: How card payment processing and settlement works and How Payment Settlement Works and How Long It Takes.
Why the dates do not match
A card payment proceeds through a sequence, and each event can have its own timestamp. Authorization may happen when the customer pays, while capture waits until shipment, fulfillment, or confirmation of the final amount. Settlement follows capture; processor funding and the bank’s posting may follow later still. Batch cutoffs, business days, time zones, and bank processing can add apparent gaps or place events on different calendar dates.

Authorization is not money received
An authorization is the issuer’s approval of a request and may reduce the cardholder’s available balance or credit. It does not mean the merchant has received funds. Stripe says authorizations usually last 5 to 10 days and can sometimes last up to 30 days; those are Stripe’s general provider guidelines, not a universal deadline across card networks or providers. Capture can be delayed or adjusted
A business may capture immediately or wait until an order is fulfilled or the final amount is known. As a result, capture can fall on a later date than authorization, and the captured amount can differ from the initial authorized amount where the payment process allows an adjustment. Stripe’s guidance on authorization holds discusses how holds relate to capture.

Settlement is not necessarily the bank deposit date
Settlement concerns movement through the payment system between financial institutions; it is not the same event as the merchant’s bank posting a processor payout. Stripe describes settlement as typically taking 1 to 3 business days, but that is a typical interval in Stripe’s explanation, not a guarantee for every provider, market, or merchant bank. Payout schedules and bank posting can differ.
One deposit may cover many transactions
Processors and acquirers can group payments into payouts and deduct fees, so a bank credit may be a net amount for multiple transactions rather than the gross value of one sale. Reconcile the payout detail to its component payments and fees; do not expect a one-to-one relationship between card transactions and bank deposits.

How to reconcile transaction dates to a payout
- Classify the record. Decide whether you are looking at a transaction event, processor balance movement, payout record, or bank statement line. A bank deposit is not itself evidence of the authorization date.
- Identify what the date field means. Confirm whether the source labels the event as authorization, capture, settlement, or funding. Keep that definition with the record instead of treating an unlabeled date as interchangeable with another system’s date.
- Match references, amount, and currency. Use transaction IDs, authorization codes, and payout references available in the source records. Compare amount and currency, allowing for an adjusted or partial capture where relevant.
- Trace the payout batch. Match the bank credit to the processor or acquirer payout detail, then match the listed transactions and fees to the underlying payment records. A net payout need not equal any one transaction’s gross amount.
- Explain date gaps using the event sequence. Check for delayed capture, batch cutoff timing, business days, provider processing, time-zone differences, and bank posting. Preserve the original timestamps and their time zones when comparing records.
- Investigate exceptions by status and identifier. Review provider status history for unmatched, expired, reversed, failed, or duplicated records. Do not book an authorization hold as a completed sale merely because it appears in a payment feed.
What to compare when two systems disagree
- Lifecycle event: Does each date represent authorization, capture, settlement, funding, or bank posting?
- Reference: Do the transaction ID, authorization code, or payout reference connect the records?
- Amount and currency: Is there an adjustment, partial capture, fee, or net payout affecting the comparison?
- Timing convention: Are the systems using different time zones or processor cutoffs?
- Record level: Are you comparing one transaction with a payout batch that includes several transactions?
If the events and references match but the dates differ, the difference may reflect processing sequence or cutoff timing rather than a missing payment. If the references, amounts, currency, or status do not align, investigate the provider’s detailed transaction history before treating the records as reconciled.
