Work on copies, treat scanned PDFs separately from text-based files, use OCR when a scan has no text layer, and check both page appearance and search after processing.
What batch compression does—and what it does not do
Compression reduces a PDF’s file size by changing how its content is stored or represented. It does not create searchable text in a scan that contains only page images. Adobe explains that scanned pages may consist only of image data; OCR is the separate process that recognizes text and adds a text layer. See Adobe’s OCR guidance.
That distinction matters in a batch job: a file can become smaller while remaining unsearchable, and a PDF with OCR can still contain recognition errors. No single setting is established as safe for every document; outcomes depend on the source PDF and the compression and OCR settings used.
Choose a batch workflow
Adobe Acrobat desktop
Adobe documents a multiple-file compression workflow with choices for the output folder, filenames, and whether to overwrite files. Its multi-file OCR workflow also lets you choose a target folder and filenames, select a recognition language, and review the recognized text. Do not assume every Acrobat edition or platform exposes the same controls. Adobe’s documentation says advanced PDF optimization is available in Acrobat Pro, Premium, or Studio on desktop; check the current product and platform details before relying on a particular option.
Ghostscript command line
Ghostscript’s pdfwrite output device supports presets including /screen, /ebook, /printer, and /prepress. They bundle different settings: /screen targets smaller, low-resolution output, while /prepress targets higher-quality printing. These are Ghostscript-specific trade-offs, not universal safe settings. Its PDF optimization guidance notes there is no guarantee that processing will make a file smaller, and that rewriting can change the PDF’s underlying representation.

Ghostscript is best suited to users comfortable with command-line batch scripting and output checks. The cited guidance is not a version-pinned command reference, so consult documentation for the Ghostscript release you install before building a script. This article does not prescribe a one-size-fits-all command.
Batch-compress PDFs in a safer sequence
- Make a separate output set. Copy the source files or choose a distinct output folder. Do not overwrite the only originals. Adobe’s batch workflow includes output-location and overwrite choices; keeping originals lets you compare results and recover if a file loses quality or features.
- Sort text PDFs from likely scans. Open representative files and try selecting or searching for words. If page text cannot be selected or found, the document may be image-only and need OCR. A mixture of scans and text PDFs may need different settings.
- Run OCR where needed, with the right language. Adobe supports OCR across multiple documents and asks users to select a recognition language. After recognition, inspect the result: Adobe advises checking that recognized text is accurate and complete, then correcting errors or rerunning OCR if needed.
- Start with moderate compression. For mixed or important documents, avoid choosing the smallest-file option by default. Process a representative file first, then inspect small print, diagrams, and photographs at normal reading size and at zoom before applying the workflow to the full batch.
- Verify search and copying. Search the output for a known word on more than one page, then copy a short passage and check that the extracted text is usable. This is a practical quality check, not a guarantee from either vendor that all PDFs retain a working text layer.
- Compare size and appearance. Compare original and output file sizes, and decide whether the visual result suits the document’s actual use. Keep originals and use an appropriate document review process for legal, medical, technical, or archival material.
Set scan quality for the source—not just the target size
For its adaptive compression scan workflow, Adobe recommends input scans at 300 dpi for grayscale or color and 600 dpi for black-and-white. These are recommendations for that workflow, not a universal resampling prescription for every existing PDF. Adobe’s same settings guidance gives a minimum input resolution of 72 dpi for the text-recognition options it describes; that OCR minimum is not a quality target for readable pages. Adobe lists JPEG, JPEG2000, and ZIP as compression choices for color or grayscale images, with ZIP available when lossless compression is preferred. For monochrome images, it lists CCITT Group 4 and JBIG2 variants. Adobe says lossy JBIG2 can reduce size by up to 60% versus CCITT in its scan-settings guidance; that is a vendor-stated maximum, not an independently measured result, and lossy processing can alter image detail. Inspect fine text and line work rather than assuming a smaller file is acceptable.
Ghostscript likewise cautions that lossy JPEG recompression may reduce image quality, particularly when an image that is already JPEG-compressed is recompressed. Its preset names describe bundled choices, not a promise that every input will shrink or remain visually unchanged.

Check more than file size and search
Compression and OCR are only part of PDF preservation. Ghostscript’s pdfwrite recreates page drawing operations, and its guidance says metadata is generally not all preserved and describes limitations around structure information. Do not assume every PDF feature survives a rewrite unchanged.
- Inspect forms, signatures, bookmarks, links, accessibility tags, color management, and archival requirements if the document depends on them.
- Check the output in the software and context where it will actually be used, especially for forms, printing, or accessibility-sensitive material.
- Use software and settings appropriate to any compliance or preservation requirement, and retain the original as the authoritative copy.
A useful comparison therefore includes output size, page readability, OCR/search behavior, feature preservation, and the effort needed to review the batch. Privacy, price, and licensing vary by product and current terms; the cited product guidance does not establish a complete comparison on those points.
