A PDF and a Word document can look different because they are not always displaying the same layout in the same way. Word continuously lays out editable text and objects; a PDF is designed to preserve their placement. Missing fonts, pagination settings, Word’s viewing mode, and the direction of conversion can all change line wrapping or page breaks.
First check which way the document was converted
Exporting a Word document as a PDF and opening a PDF in Word are different operations. Word’s PDF export is intended to create a shareable copy that preserves formatting. Opening a PDF in Word instead reconstructs editable Word content from a fixed-layout file, so the result may not match the original page for page.
Microsoft explains that a PDF records the placement of text, pictures, and graphics, but may not retain editable relationships such as paragraphs, tables, or columns. Word has to infer those structures when converting a PDF. As a result, lines and pages can break in different places. Check the Word view you are comparing
In Word for the web, Editing view does not show page formatting such as margins and page breaks. A document can therefore appear to flow differently there than it does in the PDF. Compare the PDF with Word’s Print Layout view, or use the web app’s print preview, rather than relying on Editing view alone. Microsoft notes that printing from Word for the web follows Print Layout and uses a browser PDF reader; available interface options can vary by version. Look for font substitution
If the computer or service displaying the document does not have a custom font, it may substitute another font. Differences in letter width and spacing can change line wrapping, which can push later content onto different pages. Microsoft says embedding custom fonts can help preserve fonts, layout, and styling when sharing a document and can help with online PDF conversion. Whether a font can be embedded depends on the permissions set by its creator.
- Check whether the document uses a nonstandard font and whether it is available on the computer or conversion service.
- If permitted, embed the font in the Word file; otherwise, use a font available consistently on the systems that need to open or convert it.

Inspect page and paragraph controls
Word has paragraph settings that deliberately keep lines or paragraphs together or force content onto a new page. These can affect where text falls, especially after edits or when a different font changes the number of lines in a paragraph.

- In Word, turn on formatting marks so you can see paragraph marks and manual page breaks.
- Check for page and section breaks near the point where the Word and PDF versions diverge.
- Select affected paragraphs, open the Paragraph dialog’s Line and Page Breaks settings, and review options such as Keep lines together, Keep with next, Page break before, and widow/orphan control.
- Make only the needed change, then check the document again in Print Layout.

If you are exporting from Word, create a fresh PDF after checking the view, fonts, and pagination. Open that PDF in a PDF reader to see the saved page layout rather than judging it from Word’s Editing view. Word for the web offers a PDF copy option and a separate option to include comments; check the export choices if comments are relevant to your copy.
