To migrate tasks safely, first inventory what your team needs to preserve, choose an import or export route documented for your exact source and destination, map fields before moving everything, and validate a representative sample. Task names may transfer while relationships, private comments, custom fields, or attachments do not; what survives depends on the route.
What to check before choosing a migration method
There is no universal project-management migration format. Start by listing the source data your team relies on and confirming that the destination’s importer can accept it. A tool pair may support a native import while another requires a CSV or JSON export, a third-party service, or manual repair.
Inventory tasks and their connections
For each project or board in scope, note whether you need to move:
- Task names, descriptions, status, sections, labels, and custom fields
- Assignees, followers, collaborators, and due or start dates
- Parent tasks, subtasks, dependencies, and links to other tasks
- Comments, attachments, and any task IDs needed to reconcile records
Also decide whether archived and completed work is included. Record the source and destination accounts, who can administer the move, and who has permission to create work in the destination. Jira says most of its imports can be initiated by a user with permission to create work in the destination space; some routes are documented for organization administrators.

Compare the actual route, not just the products
Before committing, confirm support for the exact source-to-destination pair and check field mapping, custom-field handling, hierarchy, dependencies, comments and their visibility, attachments, permissions, test migration, and exception handling. The official vendor examples show these details vary by route, so a feature listed for one importer should not be assumed for another.

Prepare and map the data
Export the source data in the format the chosen route accepts, then inspect it before importing. Normalize inconsistent values—such as status names or labels—and prepare destination custom fields when the importer supports them. Match each source column to the intended destination field rather than relying on similarly named fields to map correctly.

Check dates and task hierarchy
Asana’s CSV preparation guidance specifies month/day/year for due dates. Its advanced CSV guidance covers dependencies and notes constraints when relating imported tasks to existing tasks. For that route, arrange parent tasks before subtasks if required by the importer, and review whether dependencies refer to records in the same import or to tasks already in the destination. Do not assume another tool uses the same date format or relationship rules.
Identify likely losses before import
For every field or relationship the destination cannot accept, decide whether to omit it, preserve it in another field or attachment, or repair it manually. Pay particular attention to comment visibility and authorship, private content, task links, custom fields, and large files. For example, ClickUp’s documented Jira route makes private comments public and does not import task links or user-defined Jira custom fields. Confirm whether those changes are acceptable before using that route.

Run a sample, then migrate the full scope
A limited trial helps expose mapping and data problems while the source remains available. Asana’s third-party integration listing explicitly offers a free test migration. For native importers, sampling is a prudent safeguard; do not assume the tool provides a separate test-migration feature.
- Choose a representative sample. Include ordinary tasks and edge cases: subtasks, dependencies, comments, attachments, custom fields, and unusual dates.
- Map and preview. Review the importer’s field mapping or preview where available. Correct column assignments and values before submitting the sample.
- Inspect the destination records. Check names, descriptions, statuses, owners, dates, hierarchy, dependencies, comments, and files against the source.
- Record exceptions. Note fields or records that failed, changed visibility, or need manual repair. Adjust the mapping or process before scaling up.
- Import the agreed scope. Once the sample behaves acceptably, import the remaining projects and task lists using the same verified mapping.
- Reconcile and repair. Compare expected and imported task counts, check assignments and relationships, and review attachments. Keep a list of exceptions and resolve them before directing the team to work in the destination.
Count comparison and record inspection are operational checks, not a guarantee that an importer performs reconciliation automatically.

Plan the cutover and retain a recovery copy
Set a clear point at which users stop editing the old workspace, or establish who will capture and transfer changes made during the move. Retain a source export or backup during cutover in line with your organization’s retention and access-control policies. Asana documents project export for backups and other external uses. Limit access to each system according to policy and keep both available only as long as the migration and verification require.
The reviewed official documentation does not prescribe one cutover window for every migration. Choose timing based on the team’s work and the process for handling edits that occur while data is moving.
