Inventory the shared files, set business-specific recovery targets, isolate backup copies from everyday accounts, and regularly test real restores.
1. Identify which shared files and systems must be recoverable
Start with an inventory of shared drives, team folders, file repositories, and other collaboration locations. For each, record its business purpose, owner, sensitivity, and the systems or processes it depends on. Include the people who use the files and who can make recovery decisions.
Prioritize files whose loss or unavailability would interrupt operations or cause serious harm. CISA recommends identifying critical data and system dependencies to guide restoration priorities after an incident (CISA LockBit advisory, June 14, 2023).
2. Set recovery targets that fit the business
Ask the owners of each priority file set two practical questions: how much recent work could the business recreate, and how long could it operate without access? Use the answers to determine backup frequency, retention, and restoration objectives. These decisions will differ by business and by file set; the government guidance cited here does not prescribe one universal interval or retention period.

3. Keep separate copies outside everyday access
Use the 3-2-1 rule as a baseline, not as a compliance standard: keep three copies total (one primary and two backups), use two different media types, and store one copy offsite. CISA/US-CERT describes the approach in its Data Backup Options guide.

Copies should be separated so that a failure or compromise affecting shared files does not also reach every backup. CISA recommends offline backups and physically separate, segmented, secure locations in its LockBit advisory and StopRansomware Guide. A backup that remains mounted or writable through the same compromised account as production files may not protect against account compromise or ransomware.
Physical media such as an external drive can serve as one separate destination, but the device itself does not make the copy secure. Disconnect or otherwise isolate it when appropriate, protect it from loss or damage, and verify that files can be restored from it.

4. Protect backup data and administration
Encrypt backup copies and tightly restrict who can administer, delete, or restore them. Keep recovery credentials and encryption keys available to authorized responders during an incident, while protecting them from the same account compromise that could affect the shared files. CISA recommends offline, encrypted backups in its StopRansomware Guide.
Before choosing physical media, remote storage, or a managed backup service, check how the option handles isolation, administration, deletion, retention, version recovery, integrity checks, and restoration. Also establish who monitors the backups and who is responsible for recovery. NIST’s MSP backup guide addresses planning and buying backup services or products; platform-specific controls should be verified with the provider rather than assumed.

5. Test that people can restore usable files
A successful backup job does not prove that the business can recover. Schedule restoration exercises using representative files and folders. Check that restored data is readable, complete, and appropriate for the intended recovery point. Test the full path from the protected copy to the users and systems that need the files, and record who can carry out each step.
CISA recommends regularly testing backup availability and integrity in a disaster-recovery scenario in its StopRansomware Guide. NIST likewise advises organizations to “Carefully plan, implement and test a data backup and restoration strategy” in its ransomware tips, published May 13, 2021. NIST’s SP 1800-11 project page discusses recovering trustworthy data; the page was updated May 7, 2026.

6. Assign ownership and revisit the plan
Name the people responsible for maintaining the file inventory, monitoring backups, reviewing access, running restore tests, and making recovery decisions during an incident. Update the plan when collaboration platforms, permissions, important files, or retention needs change. Check applicable retention requirements separately for the business’s industry and jurisdiction; the sources cited here do not establish those legal obligations.
